Existing System

Existing system of the university: The existing system of the university is an outdated system. The existing system of the university is handled manually. Due to manual system a lot of time is required to handle the work. Due to manual nature of the existing system is slow and laborious. Since all the information is stored on the papers then in order to look up a record they have to go through a tiresome and tedious exercise. So it involves the time factor. It requires a lot of energy. In this system the manpower required is enormous. Manually operated existing system is very time consuming. A small extent of work is accomplished in relatively large amount of time. In the existing system the records are not up-to-date at times. When the worker maintaining a particular record is on leave all the work piled up and making all previous registration may become a work of days. The existing system is not a permanent method of maintaining the records because the register can be damaged if not properly maintained. A number of the pages can be easily damaged and a specific portion of the record may be wasted. In this system the storage of the records needs a huge space. The registers make a good heap of paper after the records of a few months. Large cupboards are required to keep and maintain the registers systematically.

National University of Sciences and Technology, or NUST, is a public university that was founded by the government of Pakistan in 1991 to train members of the Pakistani Armed Forces after merging established military institutes and colleges. It was chartered in 1993; NUST is a multi-school university with its headquarters initially located in Rawalpindi, Pakistan. In 2008, the headquarters were shifted to the newly constructed campus in Islamabad. Other campuses are situated in Karachi, Rawalpindi and Risalpur.

The university is co-educational, established to promote higher scientific education in the country especially in the field of sciences and technology. It offers undergraduate and postgraduate degrees leading to PhD in the fields of engineering, information technology, medical sciences, and management sciences. NUST is affiliated with Pakistan Engineering Council and Higher Education Commission Pakistan. In 2009, THES World University Rankings ranked NUST as 350th best University in the world. Nust is the best university in Pakistan. The stated aims and objectives of the NUST are: To provide for all- around and harmonious development of individuals and society

Campuses
NUST is a multi-campus university, with the headquarters located in Islamabad. Campuses of NUST are located in the following cities: Rawalpindi Army Medical College (AMC): AMC is also known as the College of Medical Sciences and is located on Abid Majid Road in Rawalpindi. Separate computer labs are available for both post-graduate and undergraduate students. Other facilities in the campus include a library, cafeteria, college mosque, swimming pool, gym, squash court, and auditorium. There are seven hostels for male and female students near the college campus. College of Electrical and Mechanical Engineering (CEME): Located on Grand Trunk Road in Rawalpindi, EME is the largest constituent college of NUST. The campus includes all on-campus facilities, auditorium and conference hall, and accommodation and mess facilities. The library is fully computerized, with a collection of 70,000 volumes. Sports facilities at EME include three tennis courts, a basketball court, a squash court, a badminton court, and a gymnasium. Military College of Signals (MCS): Located on Hamayun Road in Rawalpindi Cantt, it is the oldest constituent college of NUST, founded in 1947 after the independence of Pakistan to train the members of Pakistan Armed Forces. The College of Telecommunication Engineering is located on this campus. The MCS library is computerized, with over 55,000 volumes.

The college comprises four departments; Aerospace Engineering Department, Avionics Department, Industrial Engineering Department, and Humanities and Sciences Department. Aerospace Engineering Department has five major labs; aerodynamics lab, structure lab, propulsion and heat transfer lab, material science lab, and numerical analysis lab. Avionics Department has six labs which include guidance lab, navigation and control system lab, antennal lab, communication lab, radar, microwave and digital system lab, and embedded system lab. The campus is equipped with a library, auditorium, conference hall, dining facilities, and hostel facilities. The college library has a collection of 80,000 technical and reference books. Sports facilities at the campus include table tennis, badminton, basketball, tennis, volleyball, football, hockey, and cricket. Military College of Engineering (MCE): College of Civil Engineering and National Institute of Transportation are located in this campus. MCE is one of the oldest constitute colleges of NUST, founded in 1948. The campus houses laboratories, a computer center, library with 41,000 books, sports facilities, and hostels.

Karachi
Pakistan Navy Engineering College (PNEC) The college campus is spread over an area of about 75 acres (300,000 m2) comprising the administration block, four academic blocks, postgraduate studies center, labs and workshops, professional development center, an auditorium, a mosque, a dispensary, hostel and dining facilities. The campus is home to the Computer Aided Designing and Manufacturing Center and the Professional Development Center. The campus has a library. A section known as the "Book Bank" stocks used textbooks, loaning them out to undergraduate students for a whole semester, charging 10% of the original cost of the book.

Drawbacks of the Existing System:


The existing system is handled manually so there is some limitation in the work.
1. Time factor: With the passage of time the number of students and employees are

increasing and if the university wants to look up on and old student or an employee, it takes the time as they have to go through every record of the student or employee. Also the registers and the files are maintained again and again which again requires a lot of time.
2. Security: The system only allows the authorize user to enter. An unauthorized

person cannot access the system.


3. Lack of accuracy: The work done is not accurate enough. There are many

problems during manual work. Sometimes wrong information is also being written causing hectic problems for the organization.
4. Money & Burden: A huge amount of paper, pens, registers and other related

stationary material is required so a lot amount of money is needed and it also becomes burden.
5. Effort: A large amount of effort is required in order to complete a huge amount

of a task so that the work should be done in time. It is also very difficult to collect the scattered data from various different locations.
6. Privacy: Manual system is unreliable because any one for any reason can access

the records and this result in lack of privacy and also a risk losing data.
7. Lack of training: As existing system is handled manually so the staff is not

trained enough to control all the data and records about different areas.
8. Slow data Processing: As manual work is done by hand so the data processing is

very slow. It requires a lot of time to collect the information about a single person. If management asks for up-to-date order information of any department, response is delayed because of large number of calculation.

9. Redundancy: Same information is being stored at different places in the manual

system which causes redundancy.

Man Power: More man power is utilized in checking the records and maintains the information. Inconsistency: When the same data is stored at multiple locations, then there is a chance of inconsistencies which in result causes difficulties in changes in the data and record. Uncontrolled replication: Most of the data is written by hand on registers so duplication of the record and data is most likely to happen. Urgent report: It is quite impossible to avail reports and information immediately due to the replication of record and inconsistency. It takes a lot of time to search a desired report. Large space: In manual system a large amount of space is occupied by registers and other related stationeries. Lack of tidiness: There is also lack of neatness in manual work because all the work is done by hand. If any mistake and error occurs then erasers and white-outs are used which makes it untidy.

Proposed System
How to overcome the problem? The basic scope of this project is to change the manual system into a new computerized database system to give the solution of problems and to make the system more efficient and effective. The problem can be overcome by producing and introducing a database system which is based on the following objectives: Objective of the computerized system: We have established some objectives that the proposed system should meet. The proposed system should process the following capabilities. Entry of Data: In the designed developed system, the entry of the data is quite easy and online. Users can enter data which can be seen on the screen.

Authorize access: The system will allow entering the authorized persons only. All the data will be password protected. The system will restrict the unauthorized user and provide fully secured data.

Efficiency: As all the data will be computerized, so it will be more efficient and reliable as compared with the old manual system, which is being used in the organization.

Time reduction: The proposed system will be faster and user will have a quick access to the data, which will save time and will more responsible.

Ease of Use: The system will provide a user friendly environment, so that the user will quickly know how to use the application software.

Reduced Redundancy: Same information is stored and maintained at different places in the existing system. The proposed system will reduce the redundancy of data occurring in the existing system.

Foreign Searching: This new system makes it easy to search the information of particular person located at different places. According to the future needs: New system is according to the future needs whereas in candidate or computerize system this aspect of space occupying is relatively needed.

No duplication: There are any chances of duplication in candidate system as it is accurate and smooth.

Amendment of data: The process of amendments of the records in the manual existing system is time consuming and inefficient process and up-to-date data is not always available. In the new computerized system, which is developed in MS ACCESS, the amendment of data is quite easy.

Deletion of records: In the file designing, it is very important to see how to adopt the methods of deletion of records. Deletion of records is made with the help of records key. It is easy to delete record when necessary and safety is also provided in the new system.

INFORMATION Processed data obtained as the output of data processing. It is used by people to enhance understanding and achieve specific purpose. KEYBOARD An input device, which enables data entry into a computer by pressing a set of keys (labeled buttons), which are neatly mounted on the key board connected to a computer system. A list of processing choices displayed on the screen from which a user may select. A popular output device used for producing soft copy of output. It is the output on the television like screen.
