If you are familiar with other Windows word processors, start with Chapter 4, Working with different languages, to find out about DageshPros multilingual utilities and advanced features. If you are new to Windows word processors, continue reading through the users guide.

How the users guide is arranged

We know that many of our users are already familiar with other word processors. Therefore, the users guide covers basic skills and advanced skills separately; read only those sections suitable to your background. The later chapters are entirely devoted to DageshPros advanced features. If you are new to word processing, you can work through the entire tutorial, learning basic word processing skills in the first chapters: Chapter 1 discusses the essentials of a Windows word processor: Installation, starting and closing the program, entering text, navigating documents, selecting text, copying, moving and pasting text, and erasing errors. Chapter 2 walks you through the basics of creating and editing documents: Opening, saving, and printing documents, and using utilities such as find and replace, go to, and spell check. Chapter 3 shows you character and paragraph formatting. It also introduces document layout options, including features such as columns and footnotes. Chapter 4 presents formatting options that enhance the look of your document: Creating bulleted and numbered lists, formatting text as tables, adding graphics, and creating paragraph styles that help you format your documents consistently. Advanced users can skip these chapters, going straight to the advanced topics that follow: Chapter 5 introduces DageshPros multilingual capabilities. Youll see how to change DageshPros menu language and typing languages,

combine multiple languages in a single document, type with online keyboards, and work with Hebrew and Arabic text. Chapter 6 shows you advanced features: Bringing text created by other word-processing programs into DageshPro, creating new documents with often-used text and graphics already included in the document, generating form letters, maintaining consistent formatting across different documents, and creating character styles. Chapter 7 shows you how to customize DageshPro. In Chapter 8, youll find troubleshooting, and where to turn if you need extra help. In the Appendices, youll find explanations of the action bar, style bar, and status bar; a list of keyboard shortcuts; and coding tables for inserting special characters from different language sets. For the most recently available information about program features, read the ReadMe file in the DageshPro program folder.

Installation
The DageshPro installation program lets you customize DageshPro for your environment. You can choose the utilities and languages to install, based on your language needs and available disk space. For example, you can choose to install only the menu language that is useful to you.

Upgrading from an older version of Dagesh

The DageshPro installation program will, by default, create a new folder for DageshPro. Installation of the upgrade version of DageshPro requires a previous of Dagesh to be installed on your computer. Therefore, if you want to uninstall the previous Dagesh version, please do it after the installation of DageshPro is done. Before you delete your old Dagesh folder, make sure that you moved any files you created ( *.dgs,*.dgt, or *.sty files) to a different folder so you can access them after the upgrade.

DageshPro Users Guide

To uninstall an older version of Dagesh: 1. From the Windows desktop, click the Start button, choose Settings, then choose Control Panel. 2. Double-click Add/Remove Programs. 3. Select Dagesh, and click Change/Remove. 4. After removing Dagesh, click OK.

Tips for typing in a word processor

Keeping these tips in mind will help you get the most out of DageshPro: The breaks DageshPro inserts at the end of a line of typed text are called soft breaks. DageshPro automatically adjusts soft breaks to changes in text. The breaks you insert when you press the ENTER key are called hard breaks. You can also insert hard page, column, and section breaks by choosing Break from the Insert menu. When you insert a hard break, DageshPro automatically adjusts the soft breaks that follow. DageshPro does not automatically adjust hard breaks to changes in text; you must adjust them manually. Use them sparingly. Do not use spaces to align text. Alignment done with spaces may produce unexpected results because the size of a space varies according to the font used, its point size, and the alignment of the paragraph. Instead, use tabs for precise results. To set paragraph indentation, the indent of the first line of a paragraph, paragraph alignment, and space between paragraphs, choose Paragraph from the Format menu, then adjust settings.

Scrolling through documents using the keyboard

Selecting text
In many cases, you will need to select a portion of your document and then choose a command (such as cut, copy, or format) to apply to the selected text. Select text as in any Windows application: 1. Place the insertion point at the beginning of the text you wish to select 2. Press and hold down the left mouse button 3. Drag the mouse to the end of the text you wish to select 4. Release the button The following shortcuts make selecting text even easier:

To select the entire document, choose Select All from the Edit menu or press CTRL+A. If you select text, then begin typing (before selecting a command), the typing replaces the entire selection. If you accidentally type over selected text, you can restore the selected text by: Choosing Undo from the Edit menu, Clicking the Undo button, or Pressing CTRL + Z.

Copying, moving, and deleting text

Cut, copy, and paste are standard editing utilities that use the Windows Clipboard to delete, copy, and move text and graphics. The contents of the Clipboard may be reinserted in the same document, in another document, or in another Windows application. To use cut, copy, and paste, first select the text that you want to edit. Then, choose from the Edit menu, use Cut to delete, Cut and Paste to move, and Copy and Paste to duplicate text and graphics. Use Paste Special to paste Clipboard contents into your file in a specific format. A box tells you what formats are available. (They vary depending on the current contents of the Clipboard.) To copy, move, or delete text quickly, use the action bars cut, copy, and paste buttons:

10

DageshPro Users Guide

Selecting Delete from the Edit menu is the same as pressing the DEL key. Deleting, as opposed to cutting, is useful when you want to remove portions of your document but leave the contents of the Clipboard intact. If you want to move text a short distance, you might prefer DageshPros drag & drop option instead of cut and paste. After selecting the text you want to move, left-click, and drag the insertion point across the page.

Undoing changes
Undo and Redo are standard Windows functions that make it easier for you to edit your document. You can erase (Undo) your most recent actions. You can also recover (Redo) the actions that you erased. To erase the last change that youve made to your document, click Undo. To erase additional changes, click Undo again. To recover the action that you erased, click Redo.

Creating and editing documents

Document basics
Creating new documents
A new document is automatically created every time you start DageshPro. It is automatically named Dagesh1, but you can give the document a more appropriate file name when you save it the first time using Save As, under the File menu. If additional new documents are created, they will be titled in succession Dagesh2, Dagesh3, etc., until you save them with your own file names. To create another new document, choose New or New From Template from the File menu, or click the new document button on the action bar.

Opening documents
To open an existing document, choose Open or Open From Cliptext from the File menu, or click the open document button on the action bar.

DageshPro Users Guide

13

By default, DageshPro lists all the *.dgs files in the default working folder or in the last folder used. Double-click the name of the file you want to open, or select it from the list of files. Then click OK. If the file that you want is not displayed: To find a file with a different extension, click the arrow next to the Files of type box. Then, select a file type. To find a file in a different folder, click the Look in box, then select a new folder from the list. To move to a folder on a higher level, first click the Up One Level button (next to the Look in box). To open a file as read-only, click Open as read-only. To open one of the four most recently opened documents, click the File menu. Choose a file name from the list of documents at the bottom of the File menu.

Saving documents
To save a document, choose Save from the File menu, or click the save button on the action bar. Then, choose one of the following: To save a document in a different file format, click the arrow next to the Files of type box, then click a file type. To save a file to a different folder, click the Save in box, then select a new folder from the list. To move to a folder on a higher level, first click the Up One Level button (next to the Save in box). To compress a file so that it uses less space on your disk, click (check) the Compress box. It is recommended that you compress large files. To encrypt a file so that it can be opened only with a password, click (check) the Encrypt box. In the Document Security box, enter a 5-to-10 character password of your choice. An asterisk (*) appears in the box for each character you enter. Click OK. As an added security measure, you are asked to re-enter the password.

14

DageshPro Users Guide

Once you encrypt a file, you must remember the password. If you forget the password you will not be able to open it again!

You can also save part of a document as another file. To do so: 1. Select the text that will be in the new document. 2. From the File menu, choose Save Selection As. 3. Press ENTER or click OK. To save an existing document under a new name, choose Save As from the File menu.

Closing documents
To close a document, choose Close from the File menu. If you made any changes to the document since it was last saved, DageshPro asks if you want to save the changes. Click one of the following: Yes saves changes, then closes the document. No closes the document without saving changes. Cancel returns you to the document, without saving any of the changes.

Printing documents
To print your document, choose Print from the File menu, or click the print button. The Print dialog box appears. To print one copy of the entire document, click OK. Printing options In the Print box, you can do any of the following: To print more than one copy of a document, enter the number of copies in the Copies box. To collate your copies, select (check) the Collate box.

DageshPro Users Guide

15

Collating copies sends each copy to the printer individually, and slows the printing process significantly. To print a range of pages, click the Pages button, and specify the page range. To print the current selection, click the Selection button. This option is not available if nothing is selected in the document. DageshPro will print all pages in the document as a default. To print only the odd pages or only the even pages, choose Print odd pages or Print even pages from the drop-down box. If you selected (checked) Field Codes in the View menu, DageshPro prints field codes and not field results. To hide field codes, choose the View menu, then choose Field Codes again to de-select (uncheck) it.

Previewing printed documents

To view multiple pages of your document and see how it will look when printed, choose Print Preview from the File menu or click the print preview button on the action bar. Print Preview displays a picture of your document page by page, making it easier for you to check page layout and spot formatting errors that you might have overlooked.

Deleting documents
To delete a document: 1. Choose Delete from the File menu. 2. Select the document you want to delete and click delete. (You cannot delete an open document.) 3. DageshPro asks you if you are sure. Click OK or Cancel.

Dividing documents into sections

With DageshPro, you can format an entire document consistently, or you can divide your document into sections and choose a different layout for each section. Each section in a document can have different headers or footers, page layout, numbering formatting, or margins. You create sections by inserting page breaks in your document. For example, if you are writing a research paper it might be helpful to divide it into separate sections for the front matter, introduction, body, appendices, and an index. The first section might be a title page, with portrait orientation, and no headers, footers, or page numbers. The second section might be an introduction, with the same orientation, a header with the papers title, and a footer with page numbers, using lowercase roman numerals (i, ii, iii, etc.). The third section might be the body, with the same orientation and header, but with new page numbers, using standard numbering (1, 2, 3, etc.), in the footer. The fourth section might be an appendix of graphs and tables, with the same header and footer, but landscape page orientation. Finally, the fifth section might be an index, with the same header and footer, portrait page orientation, and the text formatted in two columns. Inserting section breaks To insert a section break: Choose Break from the Insert menu, then choose Section (Continuous) or Section (New Page). Or, Choose Document from the Format menu. In the Apply to box, click This point forward. (For details, see the section on document formatting, below.) Section breaks ( ), like line breaks ( ), page breaks ( ), and column breaks (), can be cut, copied, and pasted, and can be viewed by selecting Special Characters from the View menu or clicking the view special characters button on the action bar. When you insert a section break, you are defining a new section at the insertion point. Any formatting options that you set for the section are stored in the section break and will be applied to the new section.
DageshPro Users Guide 17

Deleting a section break is similar to deleting a paragraph mark. When you delete a paragraph mark, the paragraph preceding the mark takes on the formatting of the following paragraph. When you delete a section break, the section preceding the break takes on the formatting of the following section.

Navigating documents
Using Go To
With the action bars Go To button or the Go To option in the Edit menu, you can move the insertion point to one of the following: Beginning or end of the text Page, line, or footnote you specify by number Header or footer Bookmark you specify (described in the section below) To use Go To: 1. Choose Go To from the Edit menu, or click Go To. The Go To box appears. 2. Select a destination. If it is a page number, line number, or footnote, enter the number in the adjacent text box. If it is a bookmark, enter the bookmark name, or select it from the list. 3. Click OK. The insertion point jumps to the specified destination.

Using bookmarks
You can jump to specified places in your document by adding a bookmark, then using Go To as described above. To add a bookmark: 1. Place the insertion point where you want to insert the bookmark. 2. Choose Field from the Insert menu. 3. From the Field box, select Bookmark.

18

DageshPro Users Guide

4. Enter a bookmark name. You can choose any combination of up to 40 letters, numbers, spaces, and special characters to name a bookmark, but each bookmark in a single document must have a unique name. 5. Click OK. To delete a bookmark: 1. Choose Field Codes from the View menu. This displays the bookmarks in your document. They appear in the text inside angle brackets. 2. Select the bookmark you want to delete. 3. Press DELETE on your keyboard. Before printing your document, be sure to turn Field Codes off (in the View menu). If Field Codes are on (checked in the View menu), the field codes appear in the printed document rather than the field results.

Finding and replacing text

The Find command searches your document for a string of text that you enter. The Replace command finds the string, then replaces it with a new string that you enter. To find text, choose Find from the Edit menu. To replace text, choose Replace from the Edit menu. Enter the text that you want to find in the Find What box.

Options for finding and replacing text

In the Find or Replace box, you can choose the following options: Match whole word only tells DageshPro to ignore text that is embedded in other words. If the Match whole word only option is on (checked), the search string nation will not be found in the word national. Match case tells DageshPro to find the search string if each character and its case (upper or lower) match. If the Match case option is on and you enter the word Nation, DageshPro will not find NATION or nation.

DageshPro Users Guide

Find in Fields (only in the Find box) will search inside field codes in addition to searching text. Direction (only in the Find box) tells DageshPro whether to search forward or backward from the insertion point. Edit Box Language defines the typing language for entering text in the Find and Replace boxes. After replacing a string, DageshPro finds the next matching string automatically. To replace all instances where the string appears, click Replace All.

Spell checking
To start the spell checker: From the Utilities menu, choose Spell Check. Or, Click the spell check button. As DageshPro scans the document for spelling mistakes, the Spelling box appears. Any word in the document that is not found in the dictionary is displayed in the Not in Dictionary box at the top of the Spelling box. If DageshPro has any suggestions to replace the misspelled word, it will display them in the Suggestions box.

20

DageshPro Users Guide

When the spell checker finds a misspelled word, you can: Click Ignore, so that the current occurrence of the word is left unchanged, but the word continues to be recognized as misspelled if it appears later in the document. Click Ignore All, so that the word is left unchanged and later occurrences of the word will not be treated as misspelled during the current spell check. Choose one of DageshPros suggestions by clicking it in the Suggestions box, or type your own suggestion in the Change To text box. Then, click Change to replace the current occurrence of the word, or click Change All to replace this and all later occurrences of the word. Click Add to add the word to the user dictionary (see below). Click Options to see a list of words in the user dictionary. Click Done to exit the spell checker and return to your document. The spelling checker starts its scan at the insertion point. When it reaches the end of the document, it asks you if you wish to continue checking from the beginning. When the whole document is scanned, the spelling checker tells you that the check is complete. If you select an area of text and then activate the spelling checker, only the selected text is checked.

Adding words to the spell checker dictionary (user dictionaries)

You can create a user dictionary for each language that the spell checker supports. A user dictionary is a list of words which are not in the default dictionary, but that you want to be recognized as correctly spelled. For example, you might want to add your name or your companys name to a user dictionary. Once a word is added to the user dictionary, it will no longer be treated as a misspelled word in the document you are currently working on or in any future documents. You can add or delete words in a user dictionary while you are running a spell check. In the Spelling box, click the Options button, then click Add or Remove.

Formatting documents

DageshPro allows you to format each character and paragraph in a document. You can adjust: Character formatting: Choose color, kerning (space between characters), font, and point size. Paragraph formatting: Choose spacing, alignment, indentation, borders, and tabs. Document formatting: Choose page size, orientation, and margins, and add columns, headers and footers, page numbers, and footnotes.

Adjusting character formatting

Character formatting provides an easy way to create subtle or dramatic effects with text. You can take advantage of the many fonts provided by DageshPro to emphasize text. You can also make characters stand out by changing their color, size, and kerning (the space between the characters), or by making them bold, italic, underlined, and hidden. You can set the format before you type or apply the format to existing, selected, text.

Currency Exchange $

You can save frequently used text formatting as a character style and reapply the formatting to text elsewhere in the document, or in other documents. For more information about character styles, see the section on character styles in Chapter 6, Advanced Features. To format characters: Select the text that you wish to format, then do one of the following: On the style bar, click the Bold, Italic, or Underline button You may use the options together. Choose Character from the Format menu.

In the Attributes box, select (check) Bold, Italic, Underline, Strikethrough, or Hidden. To remove the formatting: On the style bar, click a button again. Or, In the Format Characters box, clear the Bold, Italic, Underline, Strikethrough, or Hidden box(es).

Changing fonts
Characters letters, numbers, and symbols of the same typeface are called a font. Fonts may be proportional or mono-spaced, serif or sans serif. Fonts that you may be familiar with include Courier New, Times New Roman, and Arial.

24

DageshPro Users Guide

To choose a font: Click the arrow on the style bars Font box. A list of fonts, grouped by language, appears. The Font Preview box shows samples of each font as you scroll down the list. Select a font from the list. Or, Choose Character from the Format menu. Click the arrow next to the Font box, then choose a font from the displayed list. If you selected text before changing a font, the selected text is formatted in the new font. If no text is selected, the new font is applied to the next character typed.

Changing point size

The size of a character is measured in units called points. You can use point size to distinguish among different kinds of text, using larger sizes for headings and titles, for example. DageshPros default character size is 12 points. Text which is 72 points is one inch tall. To choose a character size, select the text you wish to format. Then: Click the arrow to the right of the Points box, then select a new point size from the list. Or, Choose Character from the Format menu. In the Character Format box, click the arrow to the right of the Point Size box, and select a new point size from the list. Click OK. The selected characters now appear in the new point size. You can also click the action bars Point Size buttons to incrementally increase or decrease point size.

Marking text with a language

You can set the language of the words you are about to type, or of selected text. To mark text with a language: Click the arrow to the right of the Language box on the style bar. Then, select a language from the list. Or, Choose Character from the Format menu. In the Format Character box, click the arrow to the right of the Language box, then select a language from the list.

By marking text with the appropriate language, you enable the DageshPro spelling checker to correctly identify misspelled words. You also signal DageshPro to automatically switch into the appropriate font and keyboard for the language chosen.

Working with more than one character format

When you add new text to a document, the character format of the new text is determined by where you place the insertion point. Look at the diagram with the text coWS above. If you position the I-beam on the right half of the o (the first picture) and click, the insertion point will be between the o and the W, and the next character you type will have the attributes of the o. If you position the I-beam on the left half of the W (the second picture) and click, the insertion point will again be between the o and the W, but the next character you type will have the attributes of the W (in this case, a larger point size).

Adjusting paragraph formatting

DageshPro allows you to set formatting attributes differently for each paragraph in your document. You can set paragraph indentation, tab stops, spacing before and after paragraphs, spacing between lines within a paragraph, alignment of text, and paragraph direction. For Dagesh, a paragraph is any text between two hard paragraph breaks. This means that every time you press Enter you create a new paragraph, even if it is only one line or one word long. If you do not press ENTER when you are entering text, DageshPro wraps to the next line automatically when you reach the end of a line. When you press ENTER to create a new paragraph, the attributes of the former paragraph are copied to the new one. Paragraph formatting information is stored in the paragraph mark at the end of the paragraph. This is what allows you to format an empty paragraph (one with no text). This is also why a paragraph may suddenly lose all of its formatting if you hit BACKSPACE and erase the paragraph mark. If you backspace and delete a paragraph mark, the paragraphs immediately before and after the deleted mark are joined, and the new paragraph takes on the attributes of what was previously the second paragraph. (To see paragraph marks and other non-printing characters, select Special Characters from the View menu, or press the action bars View special characters button.) You can also format paragraphs by creating paragraph styles. See the section on maintaining consistent paragraph styles (in this chapter) for details. Changing the paragraph format affects only the paragraph in which the insertion point is located. No text in the paragraph needs to be selected. You can, however, select text in several contiguous paragraphs and format all those paragraphs at one time.

Aligning paragraphs
To align text within a paragraph, select the paragraph you wish to format. Then: Choose an alignment option from the style bar. There are four types of alignment to choose from: left-aligned, centered, right-aligned, and justified. Or,
DageshPro Users Guide 27

Choose Paragraph from the Format menu. Then, choose an alignment from the Alignment list.

Spacing before and after paragraphs

To change spacing between paragraphs: 1. Select the paragraph you wish to format. 2. Choose Paragraph from the Format menu. 3. In the Line Spacing box, enter a number by clicking the arrows to the right of the Before or After boxes. 4. Click OK.

Line spacing within paragraphs

Increasing the space between lines in a paragraph can make text more readable. Decreasing the space between lines fits more text into the available space. The space between lines of standard text should normally be about 2 points more than the size of the font. DageshPro sets this space for you automatically.

28

DageshPro Users Guide

To change line spacing: 1. Select the paragraph you wish to format. 2. From the Format menu, choose Paragraph. 3. In the Line Spacing box, set line spacing by clicking the arrows to the right of the Line box. 4. Click OK.

Indenting paragraphs
You can set paragraph indentation by clicking and dragging the rulers left and right indentation carets. In left-to-right paragraphs, the left indentation caret is a double-triangle. If you move just the upper triangle, the indentation of the first line will be different from that of the rest of the paragraph.
Caret Description
The upper caret indicates the indent of the first line of a paragraph The lower caret indicates the indent of all subsequent lines of text. Moving the lower caret moves the upper caret so their relative distance to one another is maintained The right caret indicates the right indent of the paragraph

For right-to-left paragraphs, the caret positions are reversed. To indent paragraphs: 1. Place the insertion point in the paragraph that you wish to indent. 2. Move the pointer to the lower left caret of the ruler. 3. Hold the left mouse button down and drag the caret to the new indentation. 4. Release the mouse button. You can also set paragraph indentation by choosing Paragraph from the Format menu, then entering indentation size in the Indentation box. Paragraph indents are defined relative to the sections left and right margins.

Adding paragraph borders

A paragraph can have a border on any or all of its sides. To place a border around a paragraph: 1. Select the paragraph you wish to format. 2. From the Format menu, choose Paragraph. 3. Click the Borders button. 4. To select a top, bottom, left or right border, click (check) the appropriate box(es). 5. To set adjust the thickness of the border, change the value in the Width box. The width of the borders can be between 0.1 and 6 points. 6. Click OK. 7. In the Format Paragraph box, click OK. For additional border options, first put the paragraph(s) that you want to surround by a border into a single-celled table. Then, choose Borders and Shading from the Tables menu. For details, see the section on tables in Chapter 4.

Or, Choose Paragraph from the Format menu, then click Tabs. Select a number in the Tab Positions box, click Clear, then click OK.

Creating consistent paragraph styles

A style is a name for a collection of format settings. You can give your document a consistent look by creating several different styles one for headings, one for body text, and one for numbered lists, for example then applying these styles throughout your document. Each style you create has the attributes that you want for spacing, indentation, alignment, font, size, etc.

32

DageshPro Users Guide

You can maintain consistency among different styles by basing each new style on an existing style. For example, you might be writing a company newsletter with three levels of headings and want each of these headings to be a different size, but otherwise to look the same (same font, all bold, and all centered):

Headline
Column Title
Section Header
You can define the Headline style as Arial, bold, 24 points, and centered. Then you define the ColumnTitle style as based on Headline, and keep every attribute the same except the point size, which you change to 18 points. Similarly, the SectionHdr style can be based on Headline, maintaining every attribute except point size, which will be set to 14. Now, if you wanted to make all three styles italic, you just change the base style (Headline) to italic. The other two styles will copy the italic value from the base style:

Headline
Column Title
Section Header Creating paragraph styles
To create a paragraph style: 1. Place the insertion point where you want to apply the new style; or select text that you want to reformat with the new style. 2. From the Format menu, choose Define Paragraph Style.

3. Enter a new name in the name box and click Add. If the Add button is dim, you did not enter a new style name in the Name box. Enter one, and continue. 4. Click Par.

34 DageshPro Users Guide

but then allows you to make changes. For example, you might want to base your Heading 2 on Heading 1, and maintain all attributes of Heading 1 except point size. Alignment: Set a left, right, centered, or justified paragraph alignment. Last Line: Set the alignment of the last line of each paragraph. Line Spacing: Set the line spacing before, after, and within each paragraph. Indentation: Set the left and right indentations for each paragraph. You can also set a different indentation for the first line of each paragraph, and specify one or more lines with first line indentation. Direction: For paragraphs that read from left to right, click Left-toright. For Hebrew or Arabic paragraphs, click Right-to-left. Tabs: Set tab stops for the paragraph style. Borders: Add top, bottom, left, or right borders.

6. When you are done, click OK. In the Paragraph Style box, click Close to return to your document. The new style that you created is automatically applied to the current paragraph.

Applying paragraph styles

To apply a paragraph style, place the cursor anywhere in the paragraph you want to format. Then: Choose the style name from the Style drop-down list on the style bar . Or, Choose Paragraph from the Format menu, then choose a style in the Style box. If you select text across several paragraphs, all paragraphs with selected text will be formatted with the style you choose.

Updating paragraph styles

What if you decide later that you want all the paragraphs of a certain style to be in Courier New instead of Arial? Instead of searching for and changing every paragraph individually, you just change the styles font to Courier New. Choose Define Paragraph Style from the Format menu, select the style that you want to
DageshPro Users Guide 35

change, and adjust its formatting. DageshPro will automatically update every paragraph that you formatted with that style, changing the font to Courier New.

Adjusting document formatting

Document formatting includes: page size and orientation, section breaks, columns, headers and footers, margins, and footnotes. Each of these is explained below. To format a document, choose Document from the Format menu. In the Format Document box, there are five tabs: Page, Start, Columns, Header, and Margins. You can click each of these tabs to view different layout options.

In each of the Format Document tabs, you can choose to apply settings to: This Point Forward. A new section is created starting from the insertion point, and the changes that you make apply from the beginning of the new section to the end of the document. This Section. The changes that you make apply to the current section only.
36 DageshPro Users Guide

Selection. The changes that you make apply to each of the selected sections. The selection must be made across two or more sections; otherwise, the Apply to Selection option will be grayed out. Changes are made to the entire sections that contain selections, and not just the selected portion of those sections. For example, if you select the last word of section one and the first word of section two, any changes apply to all of sections one and two. Attributes that are not redefined for the selection remain unchanged, i.e., each of the selected sections retains its previous settings. Whole Document. The changes that you make apply to all sections in the document.

Changing page size and orientation

To change the page settings: From the Format menu, choose Document. The Format Document box shows the current page settings. To change paper size, click the arrow on the side of the Page Size box. Or, enter numbers in the Width and Height boxes to create a custom page size. Click Portrait or Landscape to change the paper orientation. Portrait orientation means that the short sides of the page are at the top and bottom; landscape orientation means that the long sides are at the top and bottom. When you change from portrait to landscape orientation, the page shifts 90 clockwise, so that the top margin becomes the right margin, the right margin becomes the bottom margin, etc. When you change from landscape orientation to portrait orientation, the page shifts 90 counterclockwise. The Width and Height boxes adjust automatically to your choice of orientation.

Determining where new sections start

When your document is divided into sections, you can decide whether each section begins on a new page or continues on the same page where the previous section ended. You can also decide whether to begin numbering the pages of each section at page 1, or to continue numbering from the previous section. These options are set using the Start tab in the Format Document dialog box.
DageshPro Users Guide 37

Inserting columns
To set columns: 1. From the Format menu, choose Document, then click the Columns tab. The Format Document box changes to show the current column settings. If you want to change the number of columns in the middle of a page of text, you should insert a continuous section break (choose Break from the Insert menu, then select Section Break Continuous) first, then change the number of columns in the new section. 2. In the Columns box, choose the number of columns that you want; the column width; and the gutter width (the space between columns). You can click the arrows on the side of the boxes, or enter your own numbers . 3. You can choose a gutter line style by clicking the arrow on the side of the Gutter Style box. There must be text on both sides of the gutter for the gutter line to show. (By default, DageshPro leaves the gutters blank.) All columns in a section are equal in width, and together with the gutters, fill the entire width of the printable page (the page width minus the margins). The number of columns, column width, and gutter width are interdependent, and adjust automatically. Their possible values and combinations depend on the width of the printable page. Columns can run from left-to-right or from right-to-left. In left-to-right columns, the text begins at the top of the leftmost column, continues to the bottom of the page, and then snakes to the top of the next column to the right. The direction of columns is independent of the direction of paragraphs and typing languages. For example, both Hebrew and English text can appear in either a left-to-right or right-to-left paragraph, which can be part of either a left-to-right or right-to-left column. (For more information on multilingual documents, see Chapter 5.) You can also insert columns by clicking the Columns button on the action bar, then dragging the mouse to indicate the desired number of columns.

Adding headers and footers

A header or footer is descriptive text that is printed at the top or bottom of every page of your section or document. You can put a unique header or footer on the first page of a document or section, or have different headers and footers on odd and even pages. For example, the title of a book may appear in the even page header and the chapter number and title in the odd header.

To set a header or footer: 1. Choose Document from the Format menu, then click the Header tab. The Format Document box changes to show the current header and footer settings.

2. In the Header & Footer tab: To set different headers or footers on odd and even pages, click the Different even and odd box. To set a different header or footer on the first page of the document or section, click the Different first page check box. To use the same headers and footers as the previous section, click the Same as previous section box. (This option is grayed out if your document has only one section.) 3. When youve returned to editing your document, you can place text in a header or footer by: Clicking your mouse in the header or footer area at the top or bottom of the page; or Clicking the Go To button, then clicking Header or Footer. DageshPro moves the insertion point to the nearest header or footer, and you can begin typing.
40 DageshPro Users Guide

On the DageshPro screen, the header appears at the top of each page and the footer at the bottom of each page, so that you can see how your printed document will look. To adjust the distance from the top of the page to the top of the header text (Header distance), and the distance from the bottom of the page to the top of the footer text (Footer distance): 1. From the Format menu, choose Document, then click the Margins tab.

2. Enter the desired distance in the Header Distance and Footer Distance boxes. 3. Click OK.

Changing margins
The top, bottom, left, and right margins, as well as the header and footer distances, set the boundaries for your text. The margins are relative to the edge of the page: A one-centimeter margin means the text begins or ends one centimeter from the edge of the page. The header distance is the distance from the top of the page to the top of the header. The footer distance is the distance from the bottom of the page to the top of the footer.
DageshPro Users Guide 41

The left and right margins are interdependent. Their possible values and combinations depend on the page width. The top and bottom margins and header and footer distances are also interdependent, and adjust automatically. Their possible values and combinations depend on the page height. While editing a document, you can change your margins either by dragging the margin areas displayed on the screen, or by using the Format Document box. Dragging the margin areas The ruler on your screen has margin areas that illustrate the size of your left and right margins. To adjust your documents margins by dragging the areas displayed on the ruler: 1. Place the pointer at the inner edge of the margin area. 2. Press the left mouse button until a dotted vertical line appears on the screen. Drag the pointer to the margin setting that you want. Using the Format Document box You can set margins more precisely using the Format Document box. To do so: 1. Choose Document from the Format menu, then click the Margins tab. The Format Document box changes to show the current margin settings. 2. To change the left, right, top, or bottom margins, the header or footer distances, or the default tab stops, click the arrows next to the boxes, or enter your own numbers. When calculating the top and bottom margins, make sure to leave enough room for the header and footer text. Any text in the header or footer that overruns the allotted space will not be displayed. To hide a header (without deleting it) set the header distance equal to the top margin. To hide a footer, set the footer distance equal to 0.

After formatting the different levels that you need, click OK. The insertion point returns to the active document, and the new formatting is applied to the outline.

Adding footnotes
You can add footnotes to provide your reader with details that you do not want to include in the body of the document. Each note is marked with an index, or number, which you can format in various ways. The text of the footnote is displayed at the bottom of the page. To add a footnote: 1. From the Insert menu, choose Footnote. 2. By default, DageshPro indexes are Latin numerals (1, 2, 3). To choose a different numbering format or to adjust the attributes of the numbers, click Options. Then: To change the numbering format from Latin numerals to Roman numerals, Hindi numerals, or English or Hebrew letters, click the Numbering box and select a new format. To change the character format of the numerals, click Character. Select the font format, point size and character spacing that you want, and click OK. 3. After adjusting formatting options, click OK. 4. In the Footnote box, click OK. 5. DageshPro automatically moves the insertion point to the footnote area at the bottom of the page. Enter the text of your note, then move the insertion point back to the body of the document. After adding footnotes, you can easily jump back and forth between the text of your document and the text of your footnotes: To jump from an index to a footnote, right-click the index, then choose Go To Note.
48 DageshPro Users Guide

To jump from a footnote to an index, right-click the footnote, then choose Go To Index. To format footnotes: 1. Choose Footnotes from the Format menu. 2. Set the number format, and starting number. 3. Set the paragraph direction for the note text. 4. Choose a numbering style. You can number your footnotes continuously through the entire document; restart at number 1 for each section or chapter; or restart at number 1 for each page.

Inserting page breaks

Inserting page breaks allows you to start a new page wherever you choose. DageshPro normally breaks pages according to the flow of the text, but inserting a page break overrules DageshPro and places the break where you want it. Once a page break has been inserted, a new page will start at the break no matter how much text is added or deleted before the break. As you add and delete text (and pages), DageshPro updates the page numbers.

To insert page breaks: 1. Place the insertion point at any location you choose for the break. 2. Choose Break from the Insert menu, then choose Page Break. Or, insert a page break by pressing CTRL + ENTER. To delete a page break, delete the page break marker. To see the page break markers, choose Special Characters from the View menu.

Creating tables
Tables give you an easy way to organize information on the page.

Inserting tables
To insert a table: Click the Create Table button on the action bar and drag the mouse to determine the number of columns and rows. Or, 1. Place the insertion point where you want the table to appear. 2. From the Tables menu, choose Insert Table. The Insert Table box appears.

3. Click the arrows to set the number of rows and columns, and the cell width. Remember that you can always add rows and columns or change the cell width later. To format the table, click Format.
50 DageshPro Users Guide

To add borders and shading to the table, click Borders. 4. Click OK. A new table is inserted in your document. Initially, the table takes its formatting from the paragraph in which it is inserted. But all the features of the table paragraph formatting, character formatting, the number of rows and columns, cell width, row height, borders, and shading can be adjusted using the Tables menu commands, discussed in the sections below.

Adding rows and columns

After inserting a table in your document, you can enlarge it by adding new rows or columns. To add a row at the end of the table: Place the insertion point in the last cell of the table and press TAB. To add a row inside a table: 1. Position the insertion point in the row below where you want to add a new row. 2. From the Tables menu, choose Insert Row. A new row is inserted above the insertion point. The inserted row has the same formatting as the current or selected row. Adding columns is similar to adding rows. DageshPro inserts a column before the column where the insertion point is located. To add a column to a table, position the insertion point in the column after which you wish to add a new column. Then, choose Insert Column from the Table menu. The inserted column has the same formatting as the current or selected column. You can click the Table button on the action bar, and drag the mouse to select the desired number of rows and columns.

Working with tables in Hebrew and Arabic

For left-to-right tables, DageshPro adds a column to the left of the current selection or column. For right-to-left tables, DageshPro adds a column to the right of the current selection or column. If your table contains both left-to-right and right-to-left paragraphs, DageshPro adds a column based on the insertion point. If more than one column of text is selected or if the selection contains both left-to-right and right-to-left paragraphs, DageshPro adds a column to the right or left based on the default language of the documents.

Navigating cells
To move between cells in a table, use the arrow keys or press TAB . From the last cell in the table, pressing the left or right arrow key (depending on table direction) or the down arrow moves the insertion point out of the table. TAB inserts another row at the bottom of the table and moves the insertion point to the first cell in the new row. To move to the previous cell, press SHIFT + TAB.

Selecting cells
To select cells, rows, or columns: From the Tables menu, choose Select Table, Select Row, Select Column, or Select Cell. Or, Use the mouse: To select a single cell, click in the cell margin To select multiple cells, click in a cell or a cell margin, and drag the mouse across the other cells To select a single row, click in the margin To select multiple rows, click in the margin and drag the mouse up or down across other rows To select a single column, position the mouse pointer on top of the column (a down arrow will appear) and click To select multiple columns, position the mouse pointer on top of a column and drag across the other columns

To select the entire table, double-click in the margin or cell margin or at the top of a column

Splitting and merging cells

You can split a table cell into several smaller cells, and merge them back into a single cell. Cells from different columns cannot be merged together. To split a cell: 1. Select the cell. 2. Choose Split Cell from the Tables menu. 3. Set the number of smaller cells you want number of columns and rows to create. All the smaller cells will be created as equal-sized cells within the space of the selected cell. 4. Click OK. To merge cells: If you have split a cell and want to merge the smaller cells back into a single cell, select the cells and choose Merge Cells from the Tables menu.

Deleting cells
DageshPro differentiates between deleting rows, columns, or whole tables, and deleting their contents. To delete a row, column, or whole table, choose Delete Row, Delete Column, or Delete Table from the Tables menu. To delete only the contents of rows, columns, or tables, choose Delete from the Edit menu, or press DEL.

53

Sorting tables
You can sort tables according to the contents of any column. To sort tables: 1. Place the insertion point in the table, and choose Sort from the Tables menu. 2. Choose which column to sort by, whether to sort in ascending or descending order, and whether to sort alphabetically or numerically.

Formatting within a table

Within each table cell, paragraphs can be formatted the same way you format paragraphs outside of tables. Text can be selected, and then cut, copied, pasted, deleted, or formatted. The cells, rows, columns, and tables can be cut or copied and pasted anywhere outside of an existing table. Each table has its own alignment, indentation, and spacing between paragraphs. When you first create the table, formatting is taken from the paragraph with the insertion point. To format a table: 1. Choose Format Table from the Tables menu. The Format Table box appears, showing the current table format settings.

54

DageshPro Users Guide

2. To change the table alignment, click the down arrow in the Alignment box. Click Left, Right, or Center. 3. To change the tables indentation, click the arrows next to the From Left Margin and From Right Margin boxes Use the ruler to change a tables indentation. If the table is left aligned, dragging the leftmost margin marker will change the tables indentation. If the table is right aligned, dragging the rightmost margin marker will change the tables indentation. 4. To change spacing before or after tables, click the arrows in the Before Table and After Table boxes. 5. To change table direction, click Left to Right or Right to Left in the Direction box. Table direction does not affect the direction of paragraphs within a table. For example, you could have a right-to-left paragraph inside a left-to-right table.

Choosing borders and shading

Border styles and shading may be applied to the whole table, the current cell, or a selection. The frame around a table, cell, or selection (its top, bottom, left, and right borders) may be formatted as a whole, or each of its component lines may be formatted independently. The lines between cells in the table or selection may be formatted separately from the frame.

DageshPro Users Guide

55

Border and shading options To add borders and shading to a table, choose Borders and Shading from the Tables menu. The Borders and Shading box appears:

56

DageshPro Users Guide

To format a frame around a table, cell, or selection, choose a setting in the Style and Color boxes that appear next to the word Frame.

To format the inside lines (the lines that separate cells), choose a setting in the Style and Color boxes that appear next to the word Inside.

DageshPro Users Guide

57

To add shading to a table, cell, or selection, choose a color and brightness in the Shading box.

Working with invisible borders (Gridlines) Viewing your table on the screen can be difficult if you do not have a visible border or inside lines. Gridlines, non-printing dotted lines between the cells of your table, can assist you in viewing and editing the portions of your table that do not have borders or inside lines. To view gridlines, choose (check) Gridlines from the Tables menu.

Splitting tables
To split a single table into two tables, position the insertion point in the row where you want to start the second table, and choose Split Table from the Tables menu. Whole rows are always kept together when tables are split.

Changing table column width

Unless you specify a column width for a table, DageshPro automatically expands the columns to fill the space between left and right margins. To change column width: 1. Choose Size from the Tables menu.

2. Click the arrows next to the Column Width box. 3. In the Apply To, box, choose to change column width for the current cell (this applies the new width to the entire column where the insertion point is located), the selected columns, or the whole table.

DageshPro Users Guide

59

You can also change column width by using the ruler. For leftand center-aligned tables, dragging a columns left margin marker adjusts the column width of the two adjacent columns (i.e., one column gets wider while the other gets narrower), but the overall width of the table remains unchanged. Dragging a columns right margin marker adjusts only the width of the current column. The width of the table increases or decreases proportionally. For right-aligned tables, the function of the left and right margin markers is reversed, i.e., moving the right margin marker adjusts the width of the two adjacent columns, while moving the left margin marker changes the width of both the column and the table.

Changing row height

By default, row height in a table adjusts automatically to accommodate the text and graphics in the cells. To set a fixed row height: 1. Choose Size from the Tables menu. 2. From the Attributes list (in the Row box), choose one of the following: At Least ensures that row height will never go below the specified measurement. For example, if you set row height to At Least 1 cm, the row will never be less than 1 cm high. It will, however, grow taller, if necessary, as you add text and graphics. Exact ensures that row height will be neither more nor less than the specified measurement. If text or graphics are too large to fit in a cell, they will be partially hidden. 3. Click the arrows next to the Height box. 4. In the Apply To box, select Whole Table, Current Cell, or Selection. If Apply To Current cell is selected, changes in row height will be applied to the entire current row (the row where the insertion point is located).

2. Click and drag the handles until the graphic is the size that you want, then release. Corner handles maintain the graphics proportions as you increase or decrease the size. Center handles stretch the graphic horizontally or vertically. To delete a graphic, click the graphic. The graphic is highlighted. Press DEL or BACKSPACE, or choose Cut from the Edit menu. You can also cut or copy graphics from other Windows applications, such as Paintbrush or Excel, and paste them into DageshPro documents using the Clipboard and the Cut, Copy, Paste and Paste Special commands.

Linking graphics
Linked graphics are graphic files that can be displayed in your DageshPro file, without increasing your file size. The same graphic can be linked to many different documents at the same time. If you alter the graphic, DageshPro updates the graphic in every document to which it is linked. To insert a linked graphic: 1. Place the insertion point where you want to insert the graphic. 2. Choose Picture from the Insert menu. From the submenu, choose From File. 3. From the Insert Picture box, use the Drives, Directories, List Files of Type, and File Name boxes to navigate to the graphic file you wish to insert. 4. Click Linked Graphic, then click OK.

Working with different languages

As someone who lives in a multilingual environment, you might need to create a document that includes two or more languages. Perhaps you are writing a letter in Hebrew but prefer to leave your work environment and menu items in English. Or, perhaps you are writing a research paper in English but want to quote sources in German and Russian. With Dagesh, you can change languages with only a few clicks of your mouse. It is easy to incorporate into your document one, two, or several of the languages that DageshPro supports.

Changing languages
No matter what version of Windows you are using, DageshPro allows you to freely mix languages and character sets in your documents. You can set your work environment to your native language, while you type in a different language. As an aid, DageshPro includes more than 50 keyboard maps to use as a reference while you type in different languages.

Changing the menu language

With Dagesh, you can set the language of your work environment so that menus, dialog boxes, and message boxes appear in the language of your choice. DageshPro lets you choose English or Hebrew menus and dialog boxes. To set the language of your work environment: 1. From the File menu, choose User Interface Language, or click the menu bars globe button. 2. In the Language box, choose one of the listed languages. 3. Click OK. You can only select a menu language if that language is supported by the version of Windows you have installed.

DageshPro Users Guide

65

Changing the typing language

To change the typing language, click the arrow on the right side of the Language box, then select a language from the list. You can find the Language box on the left side of the style bar, or by choosing Character from the Format menu.

Using online keyboards (KeyMaps)

Each language has an associated keyboard configuration, even languages which use the same character set. If you work with more than one language, especially if you use languages with different character sets, you might not know where to find the letters, accents, and other characters you need. To help you type in all of the languages that it supports, DageshPro provides online keyboard maps, called KeyMaps. DageshPro KeyMaps are interactive you can actually use them to type your documents. When you click on a letter on the KeyMap, DageshPro types that letter on the screen. To use KeyMaps, choose Keyboard Maps from the Utilities menu. Or, click the action bars KeyMaps button to open a KeyMap. The KeyMap that appears first will be the one which matches the keyboard associated with your current typing language. For example, if you are typing French, a French KeyMap is displayed. For a different KeyMap, click the Keyboard menu on the KeyMap. Choose a language group, such as Western Keyboard, and from the fly-out menu, choose a language.

66

DageshPro Users Guide

With KeyMaps open, you can choose the following from the Options menu: Size. Changes the size of the KeyMaps window and its text to one of three preset sizes. To crop the Keyboard Map window to any size you want, resize its window as you would any window. 102Keyboard Layout. Toggles between the 101-key and 102-key keyboard layouts. Keep at Front. Keeps the KeyMaps window on top of whatever you are doing so that you can see it easily. To type using KeyMaps, click any key(s) on the displayed KeyMap. DageshPro adds the character(s) you selected to your document. When you finish using KeyMaps, choose Exit from the KeyMap menu bar.

Changing fonts when working with multilingual text

Fonts are arranged in the Font box by language group (including Western, East European, Cyrillic, Greek, Turkish, Hebrew, Simplified Arabic, Traditional Arabic, and Symbol). DageshPro includes several fonts in each language group. Some fonts support characters in more than one language group. You should be careful when changing fonts in multilingual documents, as changing the font could affect your text language:
DageshPro Users Guide 67

If no text is selected, choosing a font from the font list sets DageshPros language to the last language used from the new fonts language group. If text from a single language is selected, choosing a font from a different language group changes the font and language of the selected text. If text from multiple language sets is selected, then choose a new font, the new font will only be applied to text in its language group. Text in languages from other language groups is not affected. This helps to ensure that you do not accidentally change the language of your text. For example, if you select the text:

and you change the font to Times New Roman, only the English (Western group) text will be changed to Times New Roman:

Typing in Hebrew and Arabic

With Dagesh, you can create documents that easily combine left-to-right languages, like English and Russian, with right-to-left languages, like Hebrew and Arabic. With a few clicks of the mouse, you can change the direction of your text and choose a new typing language. DageshPro also includes special formatting options for Hebrew and Arabic: You can add nikud (vowels) to Hebrew text, and to format Arabic text that includes kashida justification, ligatures and diacritics (vowels and accents).

Changing typing direction

If you are entering text using a left-to-right language, and want to switch to Hebrew or Arabic (or vice versa), you can do so by clicking the Last Bi-directional or Last Latin button. Alternatively, you can select a new language from the Language box. If you change from a left-to-right language to a right-to-left language, or vice versa, the new text you type will automatically change direction. Note that if your default language is a left-to-right language, and you want to type a new document or paragraph in right-to-left text (or vice versa), you should
68 DageshPro Users Guide

change the paragraph direction before you begin typing. For example, if your default language is English and you want to type a Hebrew paragraph, you should set the paragraph direction to right-to-left before you start typing the Hebrew text. Choosing paragraph direction Every paragraph in a DageshPro document has a defined direction, either rightto-left or left-to-right. In a left-to-right paragraph, the insertion point starts each line at the left margin. In a right-to-left paragraph, the insertion point starts each line at the right margin. To choose paragraph direction: Use the arrow keys on the style bar. The highlighted arrow indicates the paragraph direction. Or, From the Format menu, choose Paragraph, then choose a direction in the Direction box. When choosing a paragraph direction for a bilingual text, decide which is the dominant language in the paragraph. Use left-to-right when the dominant language in the paragraph is left-to-right, and right-to-left when the dominant language in the paragraph is right-to-left. Choosing character direction Just as each character has its associated size, font, and language, it has a direction. You must set the character direction to the correct (left-to-right or right-to-left) setting, to match the direction of your typing language. To set character direction: 1. From the Format menu, choose Character. 2. In the Direction box, choose one of the following: Automatic mode. When you are typing in a Western font, all characters are entered from left to right; when you are typing in a Hebrew or Arabic font, all characters are entered from right to left. (Numbers, however, are always automatically entered from left to right, even in Hebrew or Arabic fonts.)

DageshPro Users Guide

69

Font dependent mode. Font-dependent character direction is very similar to automatic, except that numbers are treated the same as letters. That means that in a Hebrew or Arabic font, all characters, even numbers, flow from right to left. Therefore, to type 1995, you would need to type 5, 9, 9, 1. Left-to-right and right-to-left mode. Sometimes youll want DageshPro to treat a particular character, especially a weak character (i.e., space or punctuation mark), as left-to-right or right-to-left, overriding DageshPros automatic layout mechanism. For example, if you want to type Example 1:47 in Hebrew, you would type :1 , then 47. But on the screen, you would see that DageshPros automatic layout has interpreted the weak colon as left-to-right, giving you 1:47 . If you want the line to be formatted 47:1 ,select the colon, choose Character from the Format menu, then change the colons direction to right-to-left. You can also change character direction by clicking the Last Left-to-right or Last Right-to-left buttons on the style bar. Direction can be applied to selected text or chosen as an attribute of the next text you type, just like any other character attribute. To change the character direction of an entire document, choose Select All from the Edit menu, then change the character direction.

Combining left-to-right and right-to-left text in one paragraph

In some cases, you may want to use two languages in one sentence. For example, you may want to insert a Hebrew word in an English sentence. At other times, you may want to change the direction of a numeral or punctuation mark so that it is placed correctly in your sentence. With Dagesh, you can add Hebrew or Arabic text to a left-to-right paragraph, or vice versa. DageshPro keeps the left-to-right (or right-to-left) paragraph direction, but allows you to type in the opposite direction. If, for example, Hebrew or Arabic text is entered in a left-to-right paragraph, the text is pushed away from the insertion point as the insertion point stands still. This effect is called push mode. Likewise, left-to-right text (like English or Russian) in a rightto-left paragraph is entered in push mode.
70 DageshPro Users Guide

To change your typing direction without changing the paragraph direction: To quickly change from a left-to-right typing language to Hebrew or Arabic, click the Last Bi-directional button. To change from Hebrew or Arabic to a left-to-right language, click the Last Latin button. When you click Last Latin or Last Bi directional buttons, DageshPro restores the last left-to-right or right-to-left language that you used, with the character attributes (such as font, point size, color, bold, italic, etc.) that you used. DageshPros insertion point is specially designed to help you work with text that reads in two directions. The direction of the insertion point indicates typing direction, which may be the same or different as the paragraph direction. If you choose Last Left-to-Right, the insertion point looks like this, with a small triangle at its foot, pointing to the right. If you choose Last Right-to-Left, the triangle points to the left. The insertion points appearance is not dependent on paragraph direction. If, for example, you type a Hebrew (right-to-left) word in the middle of an English (left-toright) paragraph, the insertion point will take on the rightto-left appearance. When you switch back to English, the insertion point will revert to left-to-right.

Copying Hebrew or Arabic text to other applications (Copy Visual)

DageshPro stores characters in logical order, that is, in the order they are typed. For example, the Hebrew word is stored as a string of characters , , , , . If you copy this string to another application that does not support Hebrew and Arabic, the characters will be inserted from left to right, and will appear on the screen as . To avoid this problem, use Copy Visual to copy Hebrew or Arabic text: 1. Select the text. 2. From the Edit menu, choose Copy Visual.
DageshPro Users Guide 71

Copy Visual converts the character order from logical to visual, so that when you paste the text into another application, the letters appear in the correct sequence.

Adding vowels (nikud) to Hebrew text

Nikud is the Hebrew vowel system, consisting of dots and dashes that are placed under or next to Hebrew letters. DageshPro offers several options for adding nikud to Hebrew text. You can: Add nikud while entering text, using DageshPros active (default) mode. Work in nikud mode. Nikud mode lets you add nikud symbols more easily, but it does not allow you to add or edit text. Use AutoNikud. With AutoNikud, DageshPro automatically adds its own nikud symbols to selected text. In addition, if you add nikud (in DageshPros active mode or in nikud mode) and you dont have nikud symbols painted on your keyboard, you can use DageshPros interactive keyboards (KeyMaps). Adding nikud while entering text In DageshPros active (default) mode, you can add nikud while you are entering or editing text. The nikud symbols are inserted using the number keys across the top of the Hebrew keyboard. Nikud can only be entered when using fonts which include vowels. Nikud symbols are located on the following keys:

Before adding nikud, choose the Hebrew keyboard that you want to use: If you are using the Israel (numbers) keyboard map (DageshPros default setting), pressing a number key gives you a number. To type nikud, use CTRL + number key.
72 DageshPro Users Guide

If you are using the Israel (nikud) keyboard map, pressing a number key gives you nikud. To type numbers, use CTRL + number key. To change Hebrew keyboards: 1. Click the KeyMaps button on the action bar. 2. From the Keyboards menu, choose Hebrew, then choose Israel (numbers) or Israel (nikud).

With either keyboard, to add nikud to text, do the following: To place nikud with the correct character, type the character first and then add the nikud. To insert nikud into an existing word, position the insertion point after the character that requires the nikud, and then type the nikud symbol. To delete nikud, position the insertion point after the character (i.e., to the characters left) and then press BACKSPACE. The nikud is erased, but the letter remains and the insertion point stays at the same location. To delete a letter and nikud at the same time, use the DELETE key. Position the insertion point before the letter you wish to delete, then press DELETE.

Working in nikud mode When you work in DageshPros active (default) mode, after each nikud symbol that you add to the text, you must use the mouse to move the insertion point to the next character. In nikud mode, DageshPro automatically moves the cursor for you, making it easier to add nikud to text. While working in nikud mode, all keys are disabled except for the nikud symbols. You cannot enter or edit text while nikud mode is on. To work in nikud mode: 1. Enter the Hebrew text that requires nikud. 2. From the Edit menu, choose Nikud Mode. A check appears next to the words Nikud Mode while nikud mode is on. 3. Place the insertion point after the first letter that requires nikud. 4. While pressing the CTRL key, add nikud symbols by pressing the associated numbers. To turn off nikud mode, choose Nikud Mode (again) from the Edit menu, and make sure that the check next to Nikud Mode has disappeared. Using DageshPros KeyMaps to add nikud If you dont have nikud symbols painted on your keyboard, you can refer to the nikud symbols on KeyMaps (interactive keyboards). Since KeyMaps are interactive, when you click the nikud symbols on the KeyMaps, nikud is automatically added to the text of your document. To use KeyMaps: 1. Click the KeyMaps button on the action bar. 2. Click the Nikud symbols on the KeyMap. If you are using the Israel (numbers) keyboard, or if you are working in Nikud Mode, you must press CTRL while clicking the nikud symbols. As you click, nikud is added to your text.

7. Click OK to return to your document. You can use the arrows on the left side of the dialog box to zoom in or out, making it easier to see the letter and the nikud symbol.

Working with Arabic text

Unlike printed letters in Western alphabets, Arabic letters may change shape at different positions in a word. A letter might have up to four different shapes, depending on whether it stands alone or comes at the beginning, middle, or end of a word. DageshPro fully supports these contextual changes, automatically changing the form of a letter to the appropriate shape as a new character is inserted before or after it. Kashida justification In Western languages, when a paragraph of text is justified on both sides, space is added between words to fill out lines and make them align to the left and right margins. However, justification in Arabic is done by lengthening the characters to stretch out the words and fill out the length of a line of text. The extra length added to a character is called a kashida. Kashida justification is available in DageshPro by: Clicking the justify button (under alignment on the style bar). Or, Choosing justify in the Format Paragraph box. In a mixed-text paragraph, kashida justification is used where possible. In lines containing no Arabic text, spaces are used for justification. Using ligatures A ligature is a combination of two or three characters into one shape, such as joining an a and an e into the shape. DageshPro supports 61 Arabic ligatures in its Traditional Arabic font, forming them automatically when the component characters are typed in succession. Simplified Arabic supports far fewer ligatures than Traditional Arabic. If one character of a ligature is deleted, the remaining character(s) automatically revert to the correct shape according to context. Individual characters within a ligature can be deleted using the BACKSPACE or DELETE key.
DageshPro Users Guide 77

Inserting diacritics (Arabic vowels and accents) Diacritics are vowel or accent marks that appear above or beneath a letter, like nikud in Hebrew. When entering Arabic text, the vowel character is typed after the letter character with which it should appear. DageshPro automatically positions the diacritic correctly in relation to the letter and kerns it vertically, when necessary. Hindi numerals The numerals most familiar to Westerners (1, 2, 3, etc.) are known variously as Latin, Arabic, or Hindu-Arabic. Arabic-speaking countries use different numerals that are sometimes called Hindi or Arabic-Indic. To avoid confusion, DageshPro refers to the former as Latin, and the latter as Hindi. In Traditional Arabic fonts, only Hindi numerals are available. To get Latin numerals, temporarily switch to another font. Simplified Arabic allows both Latin and Hindi numbers. To choose the number set you want to display: 1. From the Utilities menu, choose Options, then choose the Languages tab. 2. Choose Hindi or Latin from the Numerals section, and click OK.

Spell checking multilingual documents

DageshPros multilingual editing utilities automatically keep track of the languages in your documents. This enables the spell checker to use the correct dictionary when checking each word in your document. DageshPro knows the language of your text because of the language marking you have given it. For the DageshPro utilities to work to your advantage, be sure to mark all your text in the proper language. This can be done in either of two ways: Select the appropriate language in the Flag box on the style bar, then enter text. Or, Enter text. Then, select it, and choose the appropriate language from the Language box on the style bar. When the spell checker finds a word of a different language, it switches dictionaries automatically. When a word is marked in a language not supported by the spell checker, the spell checker skips the word. If a word is not marked in the correct language, the spell checker reads it as a misspelled word in the language in which it is marked. You can mark the word with the correct language, while the spelling check runs. To do so, click the Language box inside the Spelling box, and select the new language.

Sending non-English e-mail messages

If you have an e-mail program and it is MAPI-compliant, you can send and receive messages in many languages with DageshPro. A Send Mail icon automatically appears on the action bar if you have a MAPI-compliant e-mail program. To send an e-mail message, click Send Mail, or choose Send Mail from the File menu. Note that DageshPro Send Mail does not work with Outlook Express. In your mail client program, a new window appears for your e-mail message. Your DageshPro document is automatically included as an attachment. Address the message as you do normally, and send.

Advanced features

Importing and exporting files

DageshPro can directly import files from a number of word processors, and can import standard formats such as Rich Text Format (RTF), ASCII, JPEG, HTML, and Unicode. DageshPro can also directly export files to a number of word processors, and can export to standard formats including Rich Text Format (RTF), ASCII, and Unicode. For example, you can import a Hebrew Word document, update it in Dagesh, then save it as a DageshPro document, a Word document, or even something else entirely perhaps an RTF file that will later be imported into another application.

Importing files
To import a file into DageshPro, you can either: Open it directly in DageshPro. Or, Save the file in another word processor in a format that DageshPro can import, such as RTF or ASCII, and then open the file in DageshPro. In addition, you can copy text from any Windows application to the Windows Clipboard, and then use Paste or Paste Special to insert it into a DageshPro file. To import a file: 1. Choose Open from the File menu. 2. Choose a file format from the List Files of Type box and open the file as you would any DageshPro file. DageshPro detects the non-DageshPro file format and prompts you with the Convert box. 3. Select the appropriate file format. The related Import Filter Options box appears (if necessary). After you make the appropriate selections, the file appears as an untitled document in the DageshPro window. After importing a file into DageshPro, you can edit and save it as you would any DageshPro document.
DageshPro Users Guide 81

When DageshPro imports or exports a file, it maintains as much formatting information as possible. You can import files directly from Hebrew Word to DageshPro only if Hebrew Word is installed on your computer. If you do not have Hebrew Word on your computer, you must first save your Hebrew Word files as RTF files, then open the RTF files in DageshPro. (See Importing files in RTF format, below.) Importing files in RTF format If you find that a document is losing some if its formatting, try exporting your file from another word processor into Rich Text Format (RTF), and then importing the RTF file into DageshPro. In some word processors, opening the file as an RTF file results in a better reading of the file. For example, reading a Word document directly into DageshPro will lose language markings, but reading into DageshPro the RTF file generated by Word will retain this information. To open the file in DageshPro as an RTF file, you must first save it as an RTF file in its original word processor. Pasting text into DageshPro files Another option is to copy the text of your file to the Clipboard, and then paste it into your DageshPro file with Paste Special. You can use Paste Special, located under the Edit menu, to paste Clipboard contents into your file in a specific format, which varies according to the contents of the Clipboard. A dialog box tells you what formats are available. When you use Windows Clipboard, first copy the file from its original word processor. Switch to DageshPro and choose Paste or Paste Special from the Edit menu. If you choose Paste Special, select Rich Text Format (RTF) from the available options. Again, the quality depends on how well the other word processor reads and writes RTF.

Exporting files
Exporting files is analogous to importing them. However, exporting a Hebrewlanguage file to an English-only word processor might make the Hebrew text appear backwards.
82 DageshPro Users Guide

To export a document: 1. Choose Save As from the File menu. The Save As box appears. 2. In the Save As Type box, choose the export format you want to use. 3. In the File Name box, name the file. 4. Click OK. If necessary, the related Export Filter Options box appears. Make the appropriate selection, then click OK. DageshPro saves the file with the name and format you specified.

Sending files as e-mail

You can easily send your DageshPro files as e-mail attachments by clicking the Send Mail button, on the action bar or choosing Send Mail from the File menu.

DageshPro Send Mail does not work with Outlook Express.

Generating form letters

DageshPro lets you automate the creation of form letters with its Print Merge utility. You write one letter (the form file), and DageshPro creates multiple versions of it, with names and addresses that you supply from a different file (the data file). Print Merge takes the data file and merges its contents into the form file. The result is a third file that is either saved to disk or printed out directly. The original form file and data file stay intact and you can always use them again when needed.

Creating form files

A form file is different from a regular file only in that it contains data fields. Data fields are variables (place holders), such as customer and product, that you define. Anywhere that you wish to insert a variable some item that will change with each letter you insert a data field.

DageshPro Users Guide

83

Dear <DATA CUSTOMER>, <DATA PRODUCT> . Thank you for buying Please remember to send in your registration card. Registering entitles you to free technical support. To create a form file: 1. Open a new document. 2. Begin typing. When you want to insert a variable, choose Field from the Insert menu. The Field box appears. 3. Select Data. The Formats box will be empty. 4. Position the insertion point in the Formats box and type in a name for the data field, such as customer or product. 5. Click OK. The data field is inserted into the document. 6. When you are finished typing and inserting data fields, save the form file as you would any other document.

Creating data files

The data fields that you defined in the form file, such as customer and product, become the first paragraph (the header record ) of the data file. The subsequent paragraphs of the data file list the variables that DageshPro is to insert in each letter. For example, if the header record of a data file is named customer, the subsequent paragraphs of the data file list the names and addresses that DageshPro is to insert in each letter. To create a data file: 1. Open a new document. 2. On the first line of the document, create a header record by entering the name of each data field. Press TAB between each name. Continue until you have entered the names of all data fields in your form letter. For example, if you are creating a form letter with the data fields customer and product, your header record would look like this: customer product 3. After entering a header record, press Enter to start a new paragraph.
84 DageshPro Users Guide

4. In the new paragraph, enter a data record. Each data record is one paragraph with all data to be inserted in one form letter. In data records, you must: Separate different kinds of data by pressing TAB, and Press ENTER only after entering all data that belongs in one form letter. For example, after entering two data records, your data file might look like this: customer product CorelDRAW! Moshe Mizrachi DageshPro Karen Silverberg This data file tells DageshPro to create two form letters, one addressed to Moshe Mizrachi and one addressed to Karen Silverberg. Notice that the columns do not have to line up on screen. What matters is that each field is separated from the next by a single TAB. If you enter two TABs with no text between them, you create a field with no text. A paragraph (i.e., a record) with no text results in a copy of the form file with blanks where the data fields are defined.

Executing a Print Merge

To execute a Print Merge: 1. Check that the form file is open and is the active document (the insertion point is located in that document). 2. From the Utilities menu, choose Print Merge. The Print Merge box appears. 3. In the With Data File box, enter the path (the drive and folder) and file name of the data file you created previously. 4. Choose to send the completed forms to the printer and/or to save them as you do other documents:
DageshPro Users Guide 85

To send the completed forms to the printer, click the Print box so that an X appears. To save them as you do other documents, click the Save Results box so that an X appears. In the Save Results box enter a file name, or click the To File button and select an existing file name. 5. Click OK.

Advanced formatting techniques

If you want to give your document a consistent, professional look, you can create and apply different styles. For information about how to use styles, see the section on paragraph styles in Chapter 3. If you work with particularly long documents; if you have many documents that must all look alike; or if your document has very complex paragraph and character formatting, DageshPro provides you with more powerful tools for formatting styles consistently. You can: Create document templates; Share styles between documents; Selectively modify styles, using Inheritance mode; or Create styles that format one or more characters without affecting the underlying paragraph style.

Basing documents on templates

You can automate your work and achieve consistency across several documents by saving frequently used text and graphics as a special type of file, called a template. When you create a new document based on a template, it already includes text and graphics as well as the formatting information, such as page size, page margins, headers and footers, and styles. Any existing document can be made into a template by saving it as a file with the DGT extension.

86

DageshPro Users Guide

To create a template file: 1. From the File menu, choose Save As. 2. In the Save File As Type box, click Template Files ( *.dgt). To open a document from a template: 1. From the File menu, choose New From Template. The Create New Document Based On Template box appears. 2. Select the template from the Template File Name box. 3. Click OK. This opens a new document based on the selected template. You can revise a template as you would any other document. The changes that you make will be reflected in any future documents based on that template, but will not affect any documents that were based on the previous version of the template.

Sharing styles between documents

Another way to ensure uniformity across many documents is by sharing styles. To share styles, you can save them in a separate file called a style sheet. Style sheets are files with no text, only formatting information. They are saved with an STY extension. Creating style sheets To save styles in a separate file: 1. From the File menu, choose Save Styles As. The Save Styles As box appears: 2. In the File Name box, enter a name. The STY extension will be added automatically. 3. Click OK. Linking style sheets to documents Once you save a style sheet, you can link as many documents to it as you want. Documents, however, may be linked to only one external style sheet at a time.
DageshPro Users Guide 87

To link a document to a style sheet: 1. From the File menu, choose Link to Style Sheet. 2. Choose the external style sheet that you need. 3. Click OK. The external style sheet that you chose is linked to the document. Changing styles in a linked document After a document is linked to an external style sheet, you can still change its styles. If you change one of its styles, DageshPro asks if you want to make the style local. Click OK. The changes are saved in the document and do not affect the external style sheet. To save the changes as a new style sheet: 1. From the File menu, choose Save Styles As. 2. Select (check) the Local Styles box. Any new styles or external styles that were changed and made local are saved to the new style sheet. 3. To save any external styles that you are using in the current document to the new style sheet, select (check) the External Styles box. 4. To link the current document to the new style sheet, select (check) the Link to New File box. 5. Click OK. If you wish to change the link, choose Link to Style from the File menu. Select the style sheet you wish to link to the document. If the document is already attached to another style sheet, you can either make those styles local or discard them: To retain styles from the external style sheet, choose Made Local. To remove styles from the external style sheet, choose Discarded. Paragraphs formatted with styles from the external style sheet will revert to NormalPar.

Controlling style modification (Inheritance)

When you create a new style, you can base it on an existing style. DageshPro takes the attributes for the new style from the old one. If you create a chain of styles, one based on another, DageshPro dynamically searches up the chain of styles until it finds values for each attribute. (See the section on paragraph styles in Chapter 3 for details.) Because styles are based on other styles, if you modify one, you automatically affect the others. To control this process, you can work in Inheritance mode. Working in Inheritance mode does not change the behavior of paragraph styles. But it allows you to view which attributes in a style are copied, or inherited, from other styles, and which attributes are new, or actual. Working in Inheritance mode also gives you the additional option of creating character styles (see section below). To work in Inheritance mode: 1. Choose Options from the Utilities menu, then choose Use Inheritance (a checkmark should appear next to the word Inheritance). 2. From the Format menu, choose Define Paragraph Style or Define Character Style. 3. Give your style a name and click Add, or select an existing style to modify. Notice that: You can set a value, i.e., you can select left alignment or right alignment. Or, You can tell DageshPro to inherit the value, i.e., to copy the value from the underlying style. In the Format Character box, to select the attributes Bold, Italic, Underline, Strikethrough, and Hidden a checkmark must appear in the box. A blank box means these attributes are not selected. An up arrow in the box means that the attribute is inherited from the underlying style.

DageshPro Users Guide

89

When you choose Inherit for an attribute, DageshPro checks the underlying chain of styles until it finds a value for that attribute. The Format Character and Format Paragraph boxes contain a button labeled Actual. If you choose Actual, a display-only box appears showing the resolved values of inherited attributes.

Using character styles

If you use certain character formatting repetitively, you may find it useful to create character styles. A character style saves all the instructions of character formatting under a style name. Character styles are useful because they format a letter or word in a paragraph, without changing the style of the rest of the paragraph. To use character styles, you must first turn on Inheritance. From the Utilities menu, choose Options. Make sure there is a check next to Inheritance. (For details about Inheritance, see the section above.) To create character styles: 1. From the Format menu, choose Define Character Style. 2. Enter a style name in the Name box, and click Add. 3. Click Char. In the Format Character box, choose character attributes. By . default, all attributes are inherited 4. Click OK. 5. In the Character Style box, click Close. To apply a character style, choose it from the Style box on the style bar, as you would a paragraph style. Remember that character styles are only listed if Inheritance is on. When you apply a character style, it affects only the text that is selected, or, if no text is selected, it is applied to the next text typed. It is not applied automatically to the entire paragraph where the insertion point is located. If Inheritance is on, but no character style is selected, DageshPro takes character formatting from the underlying Paragraph style.

Troubleshooting
Fonts
Dagesh uses the GalTech Multilingual Font for its multilingual menus and messages. Do not delete this special font. Certain Hebrew fonts (bitmapped fonts) might appear incorrectly on the screen when displayed in half sizes. These bitmapped fonts are not installed with DageshPro, but might have been installed on your computer by other programs.

Printing
Some printing problems are due to problems with Windows Printer drivers. To identify such a problem, try printing using different printing emulation modes that your printer driver supports or try another printer driver. Always check with the printer manufacturer to verify that you are using the latest version of the printer driver.
DageshPro Users Guide 99

The page orientation (portrait versus landscape) and page size that you set in Dagesh override the settings in the printer setup. Paper size information in the printer driver setup only determines which size paper the printer driver asks the printer to load.

Editing tips
If you made changes to your document that you want to erase, you can cancel your most recent action(s) using the Undo button. (See the section on Undo and Redo, in Chapter 1, for details.)

E-mail
To use DageshPros Send Mail feature, you must configure your MAPI compliant e-mail package as the default MAPI client. For more details, contact your Internet service provider. Note that DageshPro Send Mail does not work with Outlook Express.
