LAB MASTER

INTRODUCTION: Lab Master is a versatile software for Diagnostic centres. It provides complete reporting of Pathology Labs, Radiology, Ultrasound, MRI, CT Scan etc. It comes with an inbuild library of large number of tests with their reference range and interpretations. A large number of Accounting reports and MIS are also available. Starting of Lab Master Software: Double Click on the Lab Master icon on your desktop as shown below.

The following window of security check will appear on the screen. This window ask for user name & password.enter the user name & corresponding password to start the software and press login button. This window also display the executable file and the target database at the bottom.

The following window will appear on the screen after you enter a valid user name & password.

Accept Test

This is the first option in the main menu and is used whenever a new patient enters a lab or diagnostic centre. Here we define all the information of a patient (Name, Age, Sex, Referring Doctor, Sample Received from, etc) and the tests to be performed for the patient. To enter this option, Click on Accept test which you are seeing on screen and the following window will appear.

Select the type of department and press ok and the following window will appear on the screen for Test Booking.

Patient ID : The software will automatically show the patient ID no. you can enter the patient ID yourself if the patient had visited earlier and he knows his ID. You can also enter his telephone no. LAB No. : Lab no. will be displayed automatically. Date Name Sex : Lab Master will show the current date. : Enter the patient prefix (Mr., Mrs, Miss etc.) & patient name in next column. : This field is for entering patient sex (Male or Female). If not displayed earlier.

Age (Months Days) : Enter patient age here. If the patient is below 1 year of age enter age in months and similarly enter age in days if the patient is below one month. Panel : Enter the panel name here if applicable.

Reffered By : Fill the referring doctor code here. Test ID : In this field you can enter the test code. When you entered test code it will show you the test name & price, but if you enter a wrong code, a search form will be displayed.

The search form display the list of all entries of the particular department in a tabular form with all its fields like code, name, group etc. The list is arranged in a particular order which is mentioned below the list.We can change the order of the list as per code, name or group by pressing any of these buttons. If we want see the list in order of code press code button and the list will be displayed as per code. Similarly, for name and group press the respective buttons. Start entering the name of the test and the cursor will move to that entry like if we enter BLOOD the cursor will show all test names starting with BLOOD. To Select a particular entry just click on it, or press enter on that row. Its color will change and a star will appear in the last column. Now you can do the same with other entries too. When done press F5. 3

You can also use F6 for selecting a particular group of entries what you have to do is write the name of that field, operator and then the value. Automatically the group will be selected.

You can also use Select All for selecting all the entries. We will come back to service availed screen and all the services selected will be shown here.

You can edit the rates of tests if required and press ok or F2 to save. Total Amount : This field show the total amount. Paid Balance F2 F6 : This field show the paid amount by patient. : In this field we can see the balance payment due. : F2 tab is used for save the entry. : F6 tab is used for delete the entry. select the test you want to delete from the list and press F6.the following window will confirm for deletion.press YES if you are sure to delete this entry.

F7

: F7 key is used for receipt purpose.This key is used only when you have to give any concession to the patient. Enter the concession authority, description & the concession given to the patient either in percentage or amount. If the patient has given a part payment or no payment at all then you can edit the amount paid column as well. The balance amount will be displayed in the balance column. You can also change paymode from this window. Press F7 to close this window.

F8

: Use F8 tab to add a new row while entering tests.

Setting : This option gives you the setting for system tunning variables. To use this option there are two buttons placed in the right bottom. Key in the value which you intend to set the tunning for and the press Find/Next button to locate for that value. Once found you can set the tunning values to the required.
Note : Use this option only if your vendor ask you and tense you the significance of each settings. If you change any of this settings by mistake it could lead to improper functioning of the software.

Receipt printing To print a the receipt press ok after entering all the patient and test details. Lab master will show the following window. This option will work only when we have selected as Y. The option of Connect Accept With Dos Reciept Printing from system tunning.

Press ok to print the receipt.

Modify/delete test booking

Click on booking from the top menu or right click on accept test button and select modify test booking option. The following window will appear on the screen.

Enter the Lab No. you want to modify or delete in the lab no. column or search from the list provided.

The search form display the list of all entries of the particular master in a tabular form with all its fields like labno, tdate, pcode, patname, etc. The list is arranged in a particular order which is mentioned below the list.

We can change the order of the list as labno, tdate, rctno by pressing any of these buttons. If we want see the list in order of labno press labno button and the list will be displayed as per labno. Similarly, for tdate and rctno press the respective buttons.The list can also be arranged either ascending or descending there are two check boxes below these buttons click on any one to arrange the list that order for ex. click on descending if you want to view the list in descending (Z to A). We can also search any particular value or any given field. There is a list of fields on right side of this form.

We can choose any particular field like labno, tdate and rctno the required value in the adjacent box, then click on find button. The cursor will automatically move to the required entry.

F1 key is used for Help purpose, if we want any help in this Search Form then press the F1 key. Esc key is used for quit from the search form. And lastly in the bottom we see the Total Entries. Then click on Ok.

Select the entry to be modified and press enter or ok. The booking details of the patient selected will be displayed on the screen.

Modify the required entry or add a new test using F8 key. To delete this entry press delete button displayed at the bottom. The delete button will be displayed only if you access the software through manager password. After editing 8 press ok to save.

PERFORM TEST

This option is used to feed the actual test values of the patients whose tests are booked in Accept Test option. Click on the perform test button in the main menu and the following screen will be displayed.

From Date to To Date: In this window first option is Date from, in this option you can write the starting date from which date you want perform test. Next field was Date to in this option you will write the last date. Dept. Code : If you want to see the reports of a particular department than thye that department code here otherwise for all departments leave this field blank.

Lab No. From to Lab No. To

: In this option you can write the starting lab no which date you want perform test or choose from the search form. The search form will list all the tests booked for the given duration.

Search: Search option is used for search the patient with specify in dates, name, age, sex & refered by.Select the required range of date and other informations and click on Refresh button. The required entries will be displayed on the screen. you can further select and shortlist the required entry.

Once you have selected the tests to be performed, the following perform screen will be displayed.

Enter the actual result values against each test. you can also choose from the list of options provided with any test. For detailed tests click on the edit button and edit the required report. this edited report will be saved for this patient. If you leave any test result field blank, that test name will not be printed onto the report. on the right side there is a list of Previous value for each test. You can analyse the previous values for a given test and also click on any value from the list. that value will be selected for this patient.

Save & Next: Save the entry and go to next page. Save & Back: Save the entry and go back to previous page of this patient. Preview Print : This option is used for see the windows preview of the report. : To Print the report directly to printer, use this option.

Sel Preview : This option used for selecting preview. The following window come when you will click on select preview.

If you click on yes you can select test wise preview. The following windows will come when you click on yes. select the tests to be previed and then printed and press OK or F5.

If you click on NO you can select department wise preview. The following windows will come when you click on NO. Select the department you want to see preview.

Sel Printing : This option is used to see test wise printing. this will work simmilar to the Selective preview option. Exit : Exit option is used to exit this window.

Add Info. : If you want to print any of these given fields in report than you can use this option like you want to print Image No. in print than you can enter image no. in his field. You can also use this option to print any remarks or advice/comment for this report.

Print Report

Through this report you can print reports with Lab No. You have enter Date from to Date to than you enter Lab no. if you knew it. If you dont than enter blank on Lab no. from. after enter you will see list of patients. select it from there and click on preview.

: If you want print report lab no. wise than click this option.

Date From to Date To : In this window first option is Date from, in this option you can write the starting date from which date you want Print report. Next field was Date to in this option you will write the last date. Lab No. From Lab No. To : In this window second option is Lab No., in this option you can write the starting lab no. from which lab no. you want print report. Next field Lab No. To in this option you will write the last lab no. Printing Type: There are two types of printing first is windows and second is draft if you are using laser printer or deskjet printer for printing reports than windows printing type is to be selected and if you are using dot matrix printers than draft printing type is required.

PAT NO. : If you want to print reports through patient no. than you will use this option.

Select the patient number from the list provided and press OK. The selected report will then be send for printing.

Pat. Code : If you want to print reports through patient code than you can use this option.

Select the patient code from the list provided and press OK. The selected report will then be send for printing.

Accounting

This report shows you the total collection of any date. It will show you the patient name with his total amount, concession, net amount, paid amount & balance amount for that day which you entered in From Date and To Date. You can also select a single department if you want to see collection of a single department only or leave it blank for all departments.

The following window will be displayed when you click on Draft Preview.

Before we discuss about each report, we will discuss about the output modes. Every report has a standard output mode like the printing type(draft or windows), preview or HTML format. Standard Buttons For Output Mode: Their are some standard formats of reports. Every report can be viewed or printed in draft mode (for Dot Matrix printer), windows mode (for Laser or Inkjet printers) or file formats (Text format or HTML format). Now we will discuss these buttons one by one.

When we click on print button, it will print the report directly on the printer without any preview. This option is used for windows printing i.e. for Laser printers or Inkjet printers. You can also use this button to print on Dot Matrix printer, but the report will be printed in windows format. When you click on draft print, it will print your data directly in draft format without draft preview. Draft reports are normally printed on Dot Matrix printers as they are cost effective as well as gives good speed. When you click on preview, you will get a preview of the report to be printed.

There are some buttons in preview screen as well. We will discuss the application of these buttons now.

BACK NEXT

: Back button is used to go to back page if the report has more than one page. : Next button is to view the next page.

PRINT PAGE : Print page button will print the current page on to printer. PRINT ALL EXIT : Print all button will sent the entire report (all pages of the report) to printer. : Exit button is used to exit from this preview page. 19

SHOW PRINTER: In this option you can select the printer, its properties and number of copies to be following window will appear on clicking this button.

: In this option you can select font, font style, size, effects & colour.

: In this option you can search anything, when you click on search you will see this window, type the value to search and press Ok.

Dos Print Save as HTML

: When you click on this button the report will be printed in Dos format on printer. : This button will save the report in HTML format. 20

When you click on draft preview, it will show you the report preview in Draft format.

When you click on HTML, the software will show you the same report in HTML format. The first screen will show the path where the HTML file will be save. You can change the path if you want to save it at a different path, type the desired path and click Ok. The report will be saved as an Html File as the desired path. The Html file has many advantages these can be transfered to any format like word, excel etc. and can also be pasted on website.

When you click on Exit it will exit from the report window.

Utilities

This option has some common utilities which are useful for any fault finding or correction in daily working. This option is also used for making the software tunnings as per your requirement while initial setup.

Indexing : Indexing is use to index all fields and tables in database. It is required whenever you have made any major change like editing previous data etc.any major change in the software or when you feel that the data is corrupted either because or power failure or system hangs. It is also advisable to index the file once a week and whenever you restore any data from previous backup.

Convert from Old :This option is use to convert the test library data if you are allready using the previous version Lab Master (vislab) to this new version. This option is very vital command and will erase your existing data. This option is used only by venders service engineers.

View Error Log File: Any error in the lab master version is stored with full details in this file click on this option to view the error details. Run Command : Run command is only to be used by the software service engineer .

System tunnings : This option gives you the setting for system tunning variables. To use this option there are two buttons placed in the right bottom. Key in the value which you intend to set the tunning for and the press Find/Next button to locate for that value. Once found you can set the tunning values to the required.

Labels : This option is used to print labels.

Utilities from main menu

Back Up : This option is used to take a backup of your database. It is also advisable to take backup once in a day. The following window will come when you click on backup. It is showing you where the software storing backup. Click Ok to back up.

View Query Log File: Any query in the lab master version is stored with full details in this file click on this option to view the query details.

Security Settings

: Through this option you can allow your users right. The following window will come when you click on allow user rights.

Managerial Options :

Adjust seriol no. of Test : You can change the serial no. of the test through using this option.

Ex. You want to change SGOT serial no. 7 to 8, change the serial no. (ahead of code) of SGOT from 7 to 8 and save.

Change Code of Head : Use this option to change Head code. Enter existing head code in Old Head Code column and new head code in New Head Code column and press change button.

Change Code of Test : Use this option to change Test code. Enter existing Test Code in Old Test Code column and new test code in New Test Code column and press change button. 26

Miscellaneous:
These options are for use by software engineers only. Users please dont use these options as it might lead to corruption of your data.

Normal Values: There are three options in it. Color : Select colour for normal values.

Bold

: Check it if you want to print normal values as a bold in report else uncheck it.

Underline: Check it if you want to print normal values as a underline in report else uncheck it. Through this box you can change colour. and this box is showing every where. Abnormal Values: There are four option in it Color Bold Underline : Select colour for abnormal values : Check it if you want to print abnormal values as a bold in report else uncheck it. : Check it if you want to print abnormal values as a underline in report else uncheck it.

Print Each Head on seperate Page: Check it if you want to print each head on separate page. like you have two deaprtments in one report and you want to print each department on separate page. then you can use it. Transfer Report to : Check it if report is larges than one paper then you can skip that department to another Next Page(if Excessive) page from starting. 30

: This option is use to set the top margin of report. you have to enter value in inches in this box. Test Name Width : This option is use to set the test name width of report. you have to enter value in this box. Dist. Bet. Tests : This option is use to set the distance between tests of report. you have to enter value in this box.

Fonts : This screen is for selecting font, color and size for various fields. Choose the required font, size and color for each parameter as you want it tobe printed on report.

Head Name : Select the font, size and color of head name (ex. Biochemistry, haematology etc.) .

Print after each head: You can type any line or stars which will be printed after each head. This option is useful if you print more than one head on one page than this line will be printed between two heads. Ex. ---------------------------------------, *******************************,=========================== Header Position: Here we can define the patient header position. conversion factor : 1 inch = 1440 points. Investigations : This page is for setting of investigation line ex. Test name Result Unit Normal range

Ask Investigation : Cheque this box if you want investigation line. Line Above Investigation: The line you type here will be printed above investigation line. Line Below Investigation: The line you type here will be printed below investigation line. Investigation : Select the font and size of investigation line. Dos Rep : This page is used for Dos (Draft) printing of reports.

Header : Enter the header (Lab name & address) you want to be printed on Dos format of reports. Heading For Pathology: Type the heading if required for pathology reports here. Receipt : This page is for setting of receipt header and footer. Enter the header & footer as required for receipt in their respective coloumn using update button. For Dos receipt use Dos RCT Header & Dos RCT Footer buttons.

Footer : This page is for setting report footer (text matter to be printed at the end of each report). Check the require report footer box if the footer is required and enter the footer contents using update button.

Print Auth. Signatory at Bottom of the Page: Check this box if the authorize signatory (Pathologist name) is tobe printed only on the last page of the report. Print Auth. Signatory At Page Footer : Check this box if you want the authorized signatory tobe printed on every page of the report. Report Footer Line : This value will denote the footer position of the report (default value -1).

Master

Add

: Add is used to add new records in the list.

Whenever we have to ADD a new entry or record in the master we click on ADD button or simply press the shortcut key Ctrl +A. On the screen you see the window will change. On the top of the screen you see the Ok and Cancel options, and after these options you will see various fields like code, name, group, rate etc (these fields will be different for each type of Masters and are define below separately). Enter the required value for each field and move to next field by either pressing tab key or enter. The values to be entered into these fields depends upon the type and the nature of the master. These fields are defined separately for each master later in the manual. Once you entered all fields press ok on top of the screen and the entry will be added to the list. Edit : Edit is used for editing or updating any previous record.

Click on Edit button or Ctrl +E to Edit any record. The record we want to edit should be displayed first on the entry screen. To bring the record on entry screen go to list, select the record we want to edit and press OK. The record will be displayed on the entry screen and you can now edit it. The records are also displayed on the right side of the screen. You can simply click on any record and it will be displayed on entry screen and ready for editing. Now you can make the changes in the record and then select Ok. If you dont want to save the changes select Cancel option. Back : Back button is for viewing the previous record. Next List : Next button is used to view the next record on the entry screen. :List button is for viewing the entire list of record. Select list and press enter, it will show the Search form

Delete : If you want delete any record then use the Delete button. First open the record which you want to delete either by inquiry or through list then, select delete and press enter. It will ask you to delete record or not to confirm that you really want to delete record or not. Select Yes if you want to delete, press enter; selected record will be deleted. Exit : Exit is for coming back to Main Menu. 35

Department Master: In this option we define various departments of the diagnostic centre like Lab, X-ray, Ultrasound etc.

Code Name

: Enter department code here. : Enter the department name here.

Signatory: Enter the signatory of that department alongwith the font & size required as shown in the screen below.

End of Report: Enter the remarks you want to print at the end of every report for this department as shown below.

Daily Nos.: Enter Y if daily a new number is required for this department.

: Here we define all the head names, tests their reference range, rates, default values, interpretations & all their characterstics. We can also say that this is the most important part of defining masters. Click on test library from main menu or test master from masters menu & the following screen will appear.

Tests Master

Select the department from the list and press Ok. The software will display the Test Library window on the screen. All the test are broadly divided into two types one is laboratory tests (pathology) and the other is imaging tests (X-ray, Ultrasound etc.).

Select Lab department from the list of departments shown when we click on Test Library button. The following window will appear on the screen. In this window on the left side test head names & codes are shown and on the right side all the test with their reference range are displayed for the head name selected.

Add/Update Test Head:


Click on add new test Head (at left bottom) to add a new test head or double click on the test head name shown in the list. The following window will appear on the screen.

Add / Edit Tests


Click on add new test (at left bottom) to add a new test or double click on the test name shown in the list. The Test details window will appear on the screen.

Code Name Rate

: Enter here test code. : Type the test name here. : Enter charges here.

Low Bound : Enter the lower reference range in this field. Upper Bound: Enter the higher range for this test in this field. Advance : This is an advanced option for setting the reference range. If the reference range varies for males & females and for different age, we use this option.

If the range is same for all ages but differ for males & females, enter highest age limit (125) in the first age column and the respective values of male & female lower & upper bound in their respective fields. If the reference range varies as per age as well as sex than we have to enter the reference values in cumulative form. Enter the first age range in first column and than its respective values than next age range and so on. For ex. Report Time: The time duration required for this test is entered here. Remarks : Enter remarks for this test here.

Type of Test : Enter the test type here. There are four types of tests.

Normal type is used for most of the test which dont have any specific characterstic. Sub heading type is used where we are defining sub heading for test for ex. physical examination, chemical examination etc. in test heads like Urine and Stool. Paragraph type is used for detail reports like histopathology etc. Table type is used when the result has tobe defined in a tabular form like in Widal Test. Group Under: This option is used to group a few test as single unit. By default if the test is independent than test code will be the group code but if it is under a group than the code of first test of the group will be the group code. Units : Enter test units here.

Range From: This is the strict range of the test result. Enter minimum allowed range here. Range Upto: Enter the maximum allowed test value here. Formula : This option is to enter the formula for this test.

Default Values Condition Comments

: Enter the default value for the test here. : Enter any condition applicable to this test in this field. : This field is for entering comments.

Search Parameters: Enter search parameter here. Detail 1 to 10 : These buttons are used for 10 pre defined formats of detailed reports like histopathology.

Interpretations: This window will enable you to type the interpretation of the test result. This matter will be printed every time after the test in the report.

Define Table :This option is used to define the rows and column for the tests like Widal. This screen will be displayed only if you have selected table as type of test.

Options : Every test can have upto 5 predefined options. These options are the most common values of the test and are very useful as they save time as well as avoid any spelling mistake.

Deletion of a test: To delete a test, select the test and press delete test button at right bottom of test library screen.
The software will reconfirm the deletion and if you press yes it will delete the test.

Setting Test Library For Imaging Tests


Select Imaging department (X-ray, Ultrasound, etc) from the list of departments shown when we click on Test Library button. The following window will appear on the screen. In this window on the left side test head names & codes are shown and on the right side the test are displayed for the head name selected.

Add/Update Test Head:


Click on add new test Head (at left bottom) to add a new test head or double click on the test head name shown in the list. This is simmilar to the way we added Test Head in Laboratory.

Add / Edit Tests


Click on add new test (at left bottom) to add a new test or double click on the test name shown in the list. The Test details window will appear on the screen.

Code Name Rate

: Enter the code of test in this field. : Enter test name here. : Enter charges here.

Group Under: The group code will be same as test code. Views : You can have many pre defined report formats for every test these formats ar e displayed in views column. Double click on the first option in view and define the report format. To add a new format press F5 and again define the new format.

Profile Master: If two or more tests are group together they are called a profile. A profile can be from a same test head or from different heads. The profiles are defined in this master. Click on profile master and the following screen will appear.

Add new Test Head: Click on add new test head and enter the profile code, name, rate & department.

Add New Test: Click on add new test to add tests to the profile.

Panel Master : This master is for defining the panals. Enter panal code and name in their respective fields.

Consultant Master : Here we define the Reffering Consultants code, name and personal details

Concession Authority Master: Here we can define all those persons who have the authority to give concession or discount to any patient.

User Master: This master is to define various users of the software alongwith their role & department access.

: Enter the user name here. : Enter the password required for this user. : Define the role of the user. If you want to give enter role as manager for partial access enter role as user.

Departments: If the user is allowed access to any single department only, enter that department in this field otherwise for complete access leave this field blank.

Printing
This menu is for printing of reports, receipts, ratelist & Labels.

Print Report: Print report is for printing of Test Reports. The details of this option has already been described.

Print Receipt: Click on this option to print any receipt. Enter the From Date & To Date for the duration of receipt and then select Regn. No. From & Regn. No. Up To range and click on Preview/ Print button.

Print Rate List: This option is for printing the Rate List for various Departments and Test heads.

All

: Click on this option if you want to print all the test in the selected head.

Main Only : Click this option if only main tests are required to be printed. Department : Select the department. Group From: Select the first test head name. Group To : Select the last test head name.

Print Labels: This option is used to print Labels for the test. Select the Lab Nos. for which we want to print labels and click on print button.

Balance Payments: This option is used for collection of any balance payment.

Rect. No. : This field is for receipt number. Date : Current date will be displayed here.

Lab No. : All the booking entries with any balance due will be displayed here. Select the lab no. whose payment is received. Amount : The amount received will be entered here. Pay Mode: This field displays the payment mode.

Consultant wise cuts: Here we define the cut for reffering consultants.

Select the department and all the consultants will be displayed in the list. Enter the cut percentage or cut amount against each consultant and press save. Now select another department and repeat the process. Panel Wise Rates Different panels have different rates for the tests. Here we define the rates of each panel. Select the panel from the list and test head. Press show button, all the tests of selected test head will be displayed. In the rate column -1 will be displayed against all tests. Enter the rate of a particular service applicable to selected panel. If the rates of panel for any service is same as that of normal rates, leave its rate field with the value of -1.

LAB REPORTS

Test Load Report This report will display the work load on all tests for any given duration. Enter the date range for which you want to view the work load and click the refresh button. All the tests, their head name and test code will be displayed alongwith the number of times it is performed for the given period.

Double click on any test to see the full details of patients on which this test is performed.

Test Status Report This report will show the actual status of Unperformed/ Unprinted/ Unchecked tests for a given duration. Enter the date range, select the type and click on refresh. The required tests will be displayed on the screen.

Patient History Report This report is for viewing patient history of upto 5 visits and test results. Select the patient and click Ok button. All the

Reffering Consultant Report : This report will show all the patients reffered by a particular consultant alongwith his accounting details for a given duration. Enter the date range and select consultant.

Balance Amount Report : This report will show the balance payment due for the given duration. Enter the date range and click on preview to see the report.

Panel Report: This report displays the total workload of a particular panel for a give duration. Enter the date range, select the panel and click on preview.

Dept. Revenue Report: This report will show the total revenue as per different department for a given duration. Enter the date range and see the preview. Click on details only box if you want to see only summary total.

PRO Report: This report will display the performance of all the consultants covered by a PRO.
