Chapter I INTRODUCTION

1.0 1.1

Research Description Overview of the Current State of Technology In todays modern world where technology is the primary basis of

development and change, we must take in consideration the part that it takes in our lives so that we will be able to maximize the use of it. The evolution of man as well as the technology, every now and then technology plays a big part of mans life and it really helps minimize mans work. Moreover, the development of technology increases its number as time goes by.

Technically, some people really depend in technology right now and some of the good examples of these technologies are computer and cellphone. Computer is one of the best technologies invented all because it does really help a person such as minimizing their works inside or outside the work area. On the other half, cellphone is also one of the well-known technologies right now because for various people mobile phones are an essential tool of business used for fast
communication. It is a necessity, just like a wrist watch. But for far too many, it is not just a tool of communication. By these two technologies as time passes by the needs

of people advance with it to sustain the changing needs of mans life.

One of the most common used features of a mobile phone is the Short Messaging System also known as SMS (Short message Service). It has a 160 character length that can be sent to other Mobile Phone. There are systems that

combine and collaborate to each other in two different matter but act as one and we called it as a convergence system. Convergence is a coming together of two or more distinct entities or phenomena. Technology is available for everybody. Maximizing its uses is an advantage and the researchers of Pilar College of Zamboanga City decide to take advantage to further help their own academy to improve the process of the system. Talking about system of Pilar College of Zamboanga City, the researchers decided to develop a Convergence and SMS Inquiry System for the Cashier and Registrar Database because it has not been implemented, yet the process before of retrieving of grades was given through a form of a printed paper whenever the student wanted to go to the Registrars office, on the other half, in the process of inquiring of balances is just manually given to students. With the help of cell phones the users will just have to text for their request and the system will process their request and text them back the information they are asking for. An added feature is the Announcement System where it also helps to inform the students of Pilar College the activities and pertinent information that will and be happening in and out the school.

1.2

Research objectives 1.2.1 General objectives

This study aims to develop the Pilar College Convergence and SMS Inquiry System for the Cashier and Registrar Database.

1.2.2

Specific Objectives

In order to meet the general objectives, the researchers identified the fallowing specific objectives: 1. To retrieve data both from the Registrar and Cashier databases like students grades and their account balance through SMS. 2. To design and to develop an OCX (Ole Control eXtension) file that can be used on the future development. 3. To assess the efficiency of the system. 4. To design a module to generate reports.

Scope and Limitation The proposed project is intended for the college students of Pilar College.

All College students and also the administrator are the ones who can access the proposed system. Only cashier and registrar are involved in the said system. The system is designed to process the request send by the students and send them back the information they have inquired. Every student will be having their own I.D number and password to prohibit anyone from accessing any data in the system. Through the proposed system not only the students but also their parents can use the proposed system as long as they have the I.D number and password of their children. It will help the students and parents to ease from asking certain information whenever and wherever they are. The students can inquire for his/her Grades and tuition fee Balance only Every time a student is inquiring for his/her grade the system will send his/her grades both the previous present term.

1.4 Significance of the Research

With the help of the proposed system, this will be more important for the school because it sees improvements and brings a good service for both students and parent/guardian. Parent will be aware of their child/children status in terms of balance and grades. Through the proposed Convergence System students of Pilar College can easily access and get their grades and account balance easily and faster. They can also keep track of their grades anytime and check if the grades in there enrolled subjects are already release. The proposed system helps both staff of Cashier and Registrar in giving the certain information which is requested by a student and it does lessen their works after all. And it can also be used for the future developers that would develop or update any systems of the school that have to deal with the students grades and account balances.

1.5

Research Methodology The researchers have decided to follow waterfall model in developing the

system, because it is one of the effective ways to design a system. The researchers also had used the experiments type research where the researchers were going to test the systems efficiency and reliability. The researchers found out that there would be an easier way for the students of Pilar College of Zamboanga City to retrieve their grades and balances which was manually processed and given to those students who were requesting for grades or balances. The researchers saw

that both cashier and registrar staff are giving the information which was request by the student through printing of papers and manually written in a paper.

1.5.1

Planning The researchers had set their time frame on how long it would take them

to finish their research. Setting limits and procedures in how to start up with the said system, processes were tackled for all the expected inputs and outputs in every stage of the development of the system. Interviews were made by the researchers to the students and administrator who were involved in the system. And observe the current setup or procedure in acquiring the grades and balances of the students. Tasks were distributed to each researcher for the system to be finished on time.

1.5.2

Requirement Analysis In this phase, the researchers analyzed that every student should have

their own ID-Number and password which will be use for accessing the system, A GSM Modem will also be needed so that the system will be able to send and receive message, provided that the students has his mobile phone to send and receive the request that he/she is acquiring. The modification is just to improve the current process into a more easy and faster which will give a better service for the students or to their parents.

1.5.2.1 Sampling Design Convenience random sampling design was used as a tool in order to indentify who will be the respondents and who will perform the test cases during the testing phase.

1.5.3

Design The researcher had a brainstorming on how to construct their design. The

researchers used Entity Relationship Diagram and Data Flow Diagram as the blueprint of the research construction. After several attempts, the researchers decided to use Visual Basic 6.0 for the Graphical User Interface. With the help of at-command it would be used to drive the GSM modem that is in charge in receiving and sending of text messages. MySQL will be used where the data are going to be stored and queried by the system.

1.5.4

Programming and Debugging the System The researchers programmed the Graphical User Interface by the used of

Visual Basic 6.0 in order to connect the MySQL which was also programmed and it is used for the database of the system. Both Visual Basic 6.0 and MySQL are programmed for developing the said system. The student ID-number will serve as the primary key in the database where the data of the students are stored and retrieved. Any errors occur will be debugged after the codes have been constructed.

1.5.5

System Testing and Evaluation

1.5.5.1 Respondents
During the testing and evaluation part the researchers chose twenty (20) respondents who evaluated the system. A one (1) dean of I.T.E. department is chosen to check and critic if the system is really working or functioning; four (4) staffs of I.T.E department as well are chosen to check also if the proposed system has this correct design and give some feedback about it, and lastly, fifteen (15) random students from different department are chosen to check if the said system is easy to learn and operate.

1.5.5.2 Test Cases During test cases, the researchers gave a test questions in relation to the system, test cases were given randomly to respondents who are involved in the system like the students in different department and some staff to critic the system. The researchers have to ask first the users or the proponents to test the system before answering the questionnaires and giving them instructions on how to use the system.

1.5.5.3 User Testing After giving questionnaires to proponents, the researchers conducted again a user testing to the appropriate users who will use the system. In other words, the students and the administrator of Pilar College were the end users of the system. If an error occurs the system will be re-evaluated after fixing the errors until the system will be error free.

1.5.6

System Evaluation After the testing part, the researchers let the right respondents who also

test the system to critic and evaluate the system together with evaluation sheet. Recommendation will be added after the final evaluation. A bunch of recommendations which have been suggested by numerous respondents, almost all of their suggestions are the same.

1.5.7

Implementation After all the phase have undergone, the system is fully developed and

running in binary format, in other words, the system is installed. The system runs without bugs or any errors within it. The system is ready to use for the improvement of process of the said academy. The researchers planned with the consent of the Pilar College staff. The researchers will implement the system and teach the users of the system in how to use it.

Chapter II REVIEW OF RELATED LITERATURE

Today, researchers are witnessing the materialization of a connected, mobile society with a variety of information sources and means of communication accessible at home, work, and school and in the community at large. Researchers had search and studied some softwares that are almost the same with our proposed system and some businesses that integrated SMS in their system. "A fully integrated/converged system requires direct access to all the security systems, information sources and databases; direct access to all the applications." remarks Grossi. In terms of security, efficiency and operation conveys about by single-point provisioning of multiple systems/applications brings forward the benefits that a convergence system offers to an organization and due to shared infrastructure like cabling, it will be less expensive in terms of maintenance. All of this ensures a costly exercise, and as the benefits are still indecisive (in terms of return on investments), companies are putting a cut short on them until the economy has recovered. The first security or IT Company, or set of companies to develop a fully functional converged platform will enjoy a strong competitive edge in the market. The Idea of Information Communication and Technology (ICT Convergence) has been accorded tremendous importance by practitioners and academics alike when describing the process of technological change through digitalization. Many organizations have used the concept to justify large investments or to solicit funds for entrepreneurial endeavors. But convergence is also seen as one of the driving force for the development of new information infrastructure and services, and is therefore important to understand from a system design perspective.(Lyntinen & Yoo, 2002) ICT convergence is not new to people since it has been intensively discussed in the academic literature for more than 30 years already, and has established the disciple of ICT (Information Communication Technology) in most of the fields in the industry like Computer Science, Management, New Media and even Economics. However, there is no generally accepted definition for ICT convergence despite the fact that it is being utilized in most fields. Many had approved that the system of convergence requires a systematic theoretical analysis. Most countries like Philippines, is still very slow when it comes to the growth of new developed converged services like IPTV, a convergence of the TV and the Internet or Mobile Internet. The three (3) major ways of Convergence, this is according to Graham Murdock (2000). The following identifies the following trends of convergence in todays media. The convergence of cultural forms The convergence of communications systems, and The convergence of corporate ownership

Websites that we have in the internet is one of the preeminent examples of convergence of cultural forms. A lot of people can communicate around the

globe using the major forms of communication like sound, written text, moving image, with the utilization of internet. The basis is converging of communication system; therefore, digital technology is the most central part of media convergence. Watching favorite news program in small screened mobile phones or reading articles of news paper in TV monitors will be offered to clients as technology progresses. In connection to it, digitalization brings many questions and problems with it. National technology programs developed technological standards to every country, and these countries must know if their consumers can afford expensive devices. Colegio De San Juan De Letran, one of the famous schools in the Philippines offers this SMS Services where students can access any wanted information through their mobile phones and SMS. Students of the said school can request a text message that will send to them to inform them about their account balance in school, their grades and news. Researchers will also used GSM modem and connect it on the USB Port, like how they developed their SMS Services System. Since all records of the students are stored in the registrar, researchers will develop software to drive the GSM modem and to tap the database from the school registrar. Mobile phones are nearly the most common and most used technology today, this includes mobile technologies wherein individuals have the liberty to no longer stay near landline phones to avoid missed calls. This technology also involves communication, entertainment, exercising and travel. Almost all people around the globe have their own mobile phone, even in the most remote areas in the world users are connected to each other instantly where ever their locations are. Mobile phones are used by some people not only for communication, but also for sharing data across the cellular system. At times, people use their Smartphone to act as modems for laptops.

Short Messaging System (SMS) or TXT Messaging is one of its best features, it enables users to send and receive text messages. SMS are also being used for business purpose like such as sending products' promotions to customers, receiving customers' feedback, informing customers about upcoming events, and even more.

We should find a solution on how to support sending/receiving SMS via computers, in order to perform this business operation. One of the solutions is by using a GSM modem that is connected to the computer, and relevant software that can communicate or control the GSM modem. Using AT COMMAND will enable as to control and use the GSM modem to transmit standard ATCOMMAND with the use of serial port. This is how the basic AT COMMANDS are being used to send and receive SMS in TXT mode.

Set preferred message format (+CMGF)

There are two kinds of formats supported: text mode and PDU mode. If you are using a mobile phone as your GSM modem you most also find out if the mobile phone that you are using supports the format that you desire to choose. But in this article we will be using the text format. To set the preferred message format as text mode: AT+CMGF=1+CR Possible response from the GSM modem: OK

2) Send SMS (+CMGS) To send as SMS in text mode: AT+CMGS= da +CR + text message + Ctrl-Z da is the destination address or the recipients contact number.

Text message is the message that you want to send to the recipient. For example, to send the message "How are you?" to the number "12345678", you key in AT+CMGS="12345678"+CR The GSM modems will response with the character ">". Then you key in your text: >How are you? +Ctrl-Z The GSM modem will respond with the following, if successful: +CMGS:+mr OK "mr" is the message reference, which is a number from 0 to 255 returned by the GSM modem. This number begins with 0 and is incremented by one for each outgoing message.

When a new SMS arrived, the GSM modem would send the following byte stream: AT+CMTI: "SM",1 To read the message, the computer/software needs to send the command: AT+CMGR=1+CR The GSM modem will respond with something similar to the following: +CMGR: "REC UNREAD","12345678", "08/10/01 18:20:35+00",+CR+LF How are you? OK

Normalizing your database will make it work faster than de-normalizing

it. Because optimizing what is slow will make it work slower. DBMS are designed to be used with normalized database, so design your database with normalization in mind. By not using select * in your database. Most of use programmers use

select * when doing our queries but try to be more specific and specify only the row that your want to use. This will: o o o Reduce memory consumption and network bandwidth. Ease of security design. Gives the query optimizer a chance to read all the needed columns from

the indexes. It is good practice to know how and when your data is being accessed. A robust

index design is one good thing to do when dealing with your databases because every time you add an index to a table, things get faster in SELECT, but the INSERT and DELETE will be much slower. Using transactions especially when dealing with long-running queries.

This will save you when things get wrong. Dont open large record sets because the user of the system wont like to

browse for like 10,000 records just to find what he/she is looking for. The secret to this is a good user interface because you should only show 100-200 records to your user. Do always test with large database. Most programmers develop a small

database for testing, and the end user using a large database. This is wrong. Disk is cheap and performance problem will only be noticed when its already too late.

Using VARCHAR as data type is more reliable than TEXT data type

which is not that flexible to query because it is slow and waste a lot of space when used incorrectly.

Poor Design/Planning Designing your database is one of the things that you would like to focus

and give proper care and attention. Since database is like the corner stone of every project if it is not designed/planned well. The chances of facing problems during development stage will be high and risky and you will end up changing a lot of your database structures.

Poor naming standards Naming your database is the far most important line of documentation in

your application. The need of consistency is needed in this phase because not only it will help you on remembering all the names you have used and declared but it will also allow future programmers to easily understand the nature of your database. And how the data are stored and used. It will save the future programmers to search for 500 pages of your documentation just to understand the meaning of some wacky word that was used.

Lack of documentation The location where the documentation is placed is a big issue not only for

the programmer but also for the company because the reason for doing your documentation is to provide information so if you handover the database to another programmer, they could just easily determine how to fix minor bugs.

Lets face it. Testing is the first thing that is being given much attention

when time slips a bit. But what suffers is the efficiency and functionality of the system because a major bug comes out. And not only that but it will be harder for the programmer to diagnose because they will be dealing with live data to get their work done. Maybe it would just take a week to take care of a minor bug such as data aberration but the point is if the system undergo proper testing it would not take a week just to solve the problem. Proper training wont find all bugs, but it will get you to a point where your system is functioning almost error free.

OCX file is an Object Linking and Embedding (OLE) custom control that is developed by Microsoft to interact with other programs such as resizing an open window or how a scroll bar will work on a specific program. OCX provides a lot of help for us users to make our work faster a great example is the ability to drag and drop between two applications. Not only it makes our work faster but it also makes our work more efficient. But not because a file is an OCX it means its safe most developers use OCX file extension to pose great treats for users, because some programmers develop OCX files to harm computer servers.

OCX file as also called as ActiveX is implemented as Dynamic link library (DLL) module. OCX file still has its pros and cons like an OCX file can run in different threads but is slower compared to DLL. Using OCX files in a program will increase its

stability and overall quality. OCX file are not only develop to do some important things for the operating system. There are some systems or software that are bundled with software development kit (SDK) to help programmers develop and improve the software/system.

Chapter III THEORETCAL FRAMEWORK


3.1 Convergence Theory The researchers come up with the multiple concepts and ideas in developing the said system. As a start of all, the system is base from the concept of Convergence theory which is according to Clark Kerr (1960s) that in the state of industrial whether capitalist or communist would converge in their social, political and economic system. On the part of converged social, political and economic they come up with solution of the best part of the development of the types of society. The theory made a big help for the researchers to construct there system. From the convergence theory they come up for combining the two systems in a setting to a common centre. This theory, from the word alone the researchers able to setup and construct the registrar and cashiers databases by converging them.

3.2 Concept of Waterfall Model According to Winston W. Royce (1970) who really invented the Waterfall Model he wrote a scientific article that contained his personal views on software development. In the first half of the article, he discusses a process that he calls grandiose. He even drew a figure of the model, and another showing why it doesnt work (because the requirements always change). This model is the waterfall. He used it as an example of a process that simply does not work. The researchers used the waterfall model as the basis of the development of the system which they did the same steps and these are the following: Analysis, Design, Implementation, Testing, Documentation, Evaluation and Maintenance.

3.3 Concept of FIFO FIFO is an acronym for First In, First Out, an abstraction in ways of organizing and manipulation of data relative to time and prioritization. This expression describes the principle of a queue processing technique or servicing conflicting demands by ordering process by first-come, first-served (FCFS) behavior: what comes in first is handled first, what comes in next waits until the first is finished, etc. The FIFO (First-in First-out) method was used by the researchers for the SMS Inquiry System in which it will responds to the first request coming from the sender and processing it out afterwards via SMS.

3.4 Concept of DBMS DBMS (Database Management System) is a software package that enables the user to access and modify the information in the database, queries are said to be the tool of fetching data inside the database. The DBMS was one of the methods used by the researchers for manipulation of the databases and query database content in order to extract and respond within the database, users number is securely stored inside the database.

Pilar College Convergence and SMS Inquiry System for Cashier and Registrar Databases
This section of the system will tackles about the features, objectives and the benefits of Pilar College.

4.1

System Overview The Pilar College Convergence and SMS Inquiry System for the

Cashier and Registrar Databases have the capability of retrieving grades and balances by the used of SMS, moreover, the system has an can send an announcement which will be given by the admin of Pilar College for the student also by the used of SMS. The system is valid only for the college student or their parent of Pilar College of Zamboanga City. College student or parent who is not yet registered is required to register first before using the system. The registration requires I.D number of a student and their password. And for the registered college students or parents, the fields required for using the system are their request for balance or grades and their password, hence, they can also change their password as they wish for. For the admin part, the admin is the one who will send the announcement by the used of SMS, furthermore, he has the control with the system which includes the students profile and transactions under OCX.

4.2

Software Objectives The following are the objectives of the system:

To retrieve grades and balance through SMS. To design and develop an OCX to manage different database file types. To design a report generation module. To design a module for announcement system.

4.3

System Scope and Limitations The system which was called the Pilar College Convergence and

SMS Inquiry System for the Cashier and Registrar Databases has these best feature for easy retrieval of grades and balances and announcements. The academy will avail a Postpaid which is unlimited service for every month and all the kinds of networks can be accommodate and every request of balances or grades cost for only 2.50php. Student who has unlimited text is not counted for sending a request, all request of balances or grades are not free. Student can only retrieve their request on the current semester or else their request will not be granted. A college student must register first through the used of SMS registration, at first, registration must enter the following: (REG I.D. NUMBER PASSWORD) after registering the system will store it in a database and then on the next the system will only requires a request e.g. (BAL PASSWORD) or (GRADES PASSWORD) and if the student wish to know the process of registration the student must key-in the word (INFO) for further instruction. For the parent registration, the parent is requested to register in Pilar College school, after the registration the parent can now request for his/her childs grades and balance by entering the right keyword for the request, the following keywords are the following: (P BAL) for balance and (P GRADES) for grades. The system

will confirm it then the request will be send right away. Students/parents Sim number must be eleven (11) digit so that the system will recognize it. Notice via SMS given by an admin will only received for all of the college students/parents who are already registered in Inquiry System and the announcements are given to students by specified course and selected year/s. Any inconvenience of sending and no respond are due to network problem and if request wasnt able to reply there is a possible that the request is unsuccessful, the system can determine those request which are failed to respond and it can send it back to the pending request of students. OCX is the one will tap to query data from both databases of Cashier and Registrar. The OCX contain the fields that can be query and these are the following: I.D number, School Year, Course, Grades (Prelims, Midterms, Finals and summer), Subjects, Semester (First, Second and Summer) and Balance. The OCX can run in any databases like MySQL, FoxPro and MS Access and the Operating System which is fitted for the OCX are: Windows 98, Windows 2000, Windows XP, Windows Vista and Windows 7(recommended an installation). OCX has this module of Data Report which shows the lists of transaction in SMS and it can print as needed.

4.4

Architectural Design

The Pilar College Convergence and SMS Inquiry System for Cashier and Registrar Databases facilitates the students to retrieve their grades and balances through SMS by their request, on the other haft, the admin can send an announcement. The admin has the overall control of the system and with that

he/she can manipulate the content of the system, updating, supervising and modifying it. The figure 1.0 shows the overall process of the Pilar College SMS Inquiry System. The figure 1.1 shows the overall process of Pilar College Convergence System for Cashier and Registrar Databases.

4.5

System Functions The Pilar College Convergence and SMS Inquiry System for the

Cashier and Registrar Databases have these following functions: Login

Allows the admin to sign-in in the proposed system.

Modem Status

This shows the condition of the modem.

This section enables to set Terms and Port Number for the retrieval of request for the current time.

This section shows the transaction of every queries of a student. The admin can delete queries or print a report for this module.

This section enables the admin to show the student accounts; the admin can edit or delete the account if it is requested by the student for his/her account.

Bulk SMS Allows the admin to send a message for the student different department of Pilar College by year and coarse.

4.6

Physical Environment and Resources The researchers used an assortment of software for developing the

said system. Visual Basic for the GUI (Graphical User Interface), FoxPro and MySQL for the database, Adobe Photoshop for graphic editing and designing.

4.6.1

User Specification By this system, the main user of the said system is the College Student of

Pilar College of Zamboanga City or their parent alone who wants to retrieve their grades or balance in easier way; one must have a cellphone to interact with the said system.

4.6.2

Hardware Specification Requirements for the hardware are the following:

Computer: Monitor CPU AVR UPS Mouse Keyboard 128 MB of RAM (minimum) 40 GB HD (minimum) Processor (Pentium 4 above) 256 MB Video Card (SVGA) (minimum)

Cellphone: Sim Card (any network)

4.7

Feasibility Study 4.7.1 Technical Feasibility

In this feasibility area which is the technical part of the system takes the specification of hardware, the Pilar College of Zamboanga City is required to add one (1) GSM modem (postpaid) for the use of the system. Since Pilar College is a private Institution they can simply afford to buy a GSM modem and maintain the use of the system.

4.7.2

Economic Feasibility

The system which Pilar College Convergence and SMS Inquiry System for the Cashier and Registrar Databases is fitted for every student because it cost for

only 2.50php per request of balance or grades and it does not need to be in school just to request for your grades or balances, students or parents can be anywhere else and they can have their request in just a text away. The old process which is the retrieval of grades does cost a much for the printing and paper for the request and it cost for 5.00php unlike in the new process it does not cost too much. And the school could benefit by collecting the college students during enrollment for the maintenance of the system.

4.7.3 Operational Feasibility As researchers proposed this system it was rest assure for a quick retrieval of grades or balance for the college students and announcements given by the admin. The system will make a big change for the process that the old process will be change into a fast and new process of retrieval of grades or balances wherever they are.

Chapter VI DESIGN AND IMPLEMENTATION ISSUES


The researchers used an assortment of software for developing the said system in the Pilar College of Zamboanga City. Visual Basic for the GUI (Graphical User Interface), FoxPro and MySQL for the databases, Adobe Photoshop for graphic editing and designing. The researchers came up with different designs that will suit for the system. Selecting the best color and looking for the appropriate design are hard even the scope of graphical user interface is just small. At the end, the researchers had their final design for the said system. In coding part of the system, regarding with database the researchers found out a problem which that they thought that both registrar and cashier databases are not running in one server but it runs in one server only, the researchers made a different approach with that problem after the recommendation that the researcher will use an OCX to construct the system. The researchers had a hard time to write the codes for every function of the system. The researchers took time to construct the OCX module which will be the one will tap the both system because both system of Registrar and Cashier are already connected in one server. During testing and evaluation, the proponents tested the system one at a time because of inadequate of resources specifically the units and modems, so it consumes a lot of time just to finish every single question for the proponent to test the system but in the end we finished the testing in 8 days.

Chapter VII SYSTEM EVALUATION RESULTS


This section shows every result of System Evaluation Results of Pilar College Convergence and SMS Inquiry System for the Cashier and Registrar Databases.

6.1 Test Cases During testing, the respondents found out some errors in the system under the settings like changing Port # but didnt change at all after it was saved, an error also occur in the part of SMS Inquiry System were multiple messages are not able to handle by the system so the researchers fixed it to be able to handle the multiple message, moreover, the proponents let it test again to the respondents to show the changes made in the system. Comments/suggestions were able to comply after the test cases.

6.2 System Evaluation The researchers made their evaluation sheet form which was already validated. The evaluation sheet form which was given to the respondents who evaluated the system, evaluation sheet was categorized in four different areas (Design, Efficiency, Security and Reliability) for both admin and student. The respondents found out some deficient areas but after that the researchers work it out and did some changes over the suggestion of the respondents.

6.2.1 Testing Tools The evaluation form, see Appendix C for the sample evaluation form was made by the researcher by the suggestion which it is divided into four different issues and these are the following: Design Part, the design do reflects the systems interface and usability so

some proponents suggested that to put the proper location and size of buttons and labels, also included in the comment about the typographically errors under the settings module. Security Part, the system has not yet attain the highest level of security in

terms of log-in for the admin which was discuss during the evaluation, one account for all of the admin was rejected and suggested that to have an individual account to keep track the admin who used the system. Efficiency Part, data redundancy was the concern in this part because

password used in registration was redundant for using as the primary key. Student/parent who will register will cost too much for registering the right password to input. Password can be generic to avoid cost in student/parent part. Reliability Part, results are good and no suggestions where given and it

only means that the system is reliable at all times.

Design The system is well designed because the system is interactive to the users and very easy to use. Data are well organized and can easily be retrieved. The user interface color suites in every objects and objects are properly located for the

ease of the users. The system is designed for the convenient of the students to retrieve their grades and account balance in cashier. All function are properly working and students tested it encountered no problems. Through the system, students and parents/guardians can get their grades anytime and anywhere without much hustle since it is text based. 80% of the respondents agreed that the system is good in terms of design.

Security Because the system process the balance account and grades of every student of Pilar College the system is designed to be well secured and based on the evaluation that was made majority of the respondents agreed that the data are well secured because every account is password protected. Only the administrator is allowed to use or log-in in the system and the system prevents users/texters from spamming.

Efficiency The system is said to be efficient because based on the evaluation that was made the system can immediately process the request of the respondents in less than 5 minutes, it provides the exact information that the respondents are requesting and because the system is tested to run in different database formats.

Reliability The system was designed to be reliable because based on the evaluation that was made majority of the respondents agreed that the system is reliable. the output which was revealed by the system is correct and updated. And 80% of the respondents agreed that the system is giving the correct and reliable information that they are requesting. and since the system supports different database formats 80% of the respondents agreed that the system can be used for long period of time.

Chapter VIII CONCLUSION AND RECOMMENDATION

This section shows the conclusion and recommendation of this study.

7.1 Summary The researchers focus on the Convergence System that taps the Cashier and Registrar Databases, by the help of SMS Inquiry System it really sees how it made the transaction more relevant under the Convergence System works by retrieving information through SMS. The researchers conduct a testing for the right respondents to show how effective and how useful it was, moreover, the researchers undergone with a recommendation to inaugurate the needed things.

7.2 Conclusion The system was refurnished after the suggestion given by the respondents especially in admin part, errors are fixed base from the test cases results and evaluation sheet. The researchers therefore to conclude that the Pilar College Convergence and SMS Inquiry System for the Cashier and Registrar Databases do really gave benefits to Pilar College of Zamboanga City in which it improved the good service and system process by the use of the Pilar College Convergence and SMS Inquiry System for the Cashier and Registrar Databases.

7.3 Recommendation The Convergence and SMS Inquiry System for the Cashier and Registrar Databases were designed for the Pilar College of Zamboanga City. It is first recommended that the user should first read the user manual before using the system to avoid technical problem in the system. The system needs a little improvement to achieve the set objectives of the system. The researchers recommended that the Pilar College should purchase a GSM Modem (postpaid) instead of using a cellphone for the best service for the student/parent. The said system will be place at the server room of Mother Ignacia building under the department of college.
