Abstract

The human interaction with machines is now very much affecting the life
style and is making things possible with accuracy and without errors. It is
obvious that these machines have some limitations like physical access to

devices e.g. computer at your home or office when you are away from it.
The devices like Computers and mobiles are frequently used for the
business purposes. As we know what computer can perform, a cell phone
cannot perform many operations especially when we talk about files and
data which reside in our computer. In case if the user needs to access that
files which are in the computer of user from a distant place, an ordinary
cell phone cannot access that data which is present in our computer. We
can develop such an application that enables a user to have access to the
computer which is miles away from the user and allow the user to fax or
email files using his cell phone.

Scenario
The situation is that user is away from his computer and he needs to fax
or email very important business files. The situation arises like the user is
travelling in the train or car and obviously he has no internet source or
web enabled phone and it is important to send those files as early as
possible. Neither internet is available nor the web enabled phone and the
files are important to be emailed. In such situation Mile mail offers flexible
options of emailing and fax without having internet connection or web
enabled mobile phone.

Introduction
Since travelling and business are side by side as meetings, tours and
outstation visits are parts of business which results in situations such as
you need to email or fax some important files which you were working at
your home or office. This situation can be handled in different ways but
what our application offers is flexibility and ease to fax or email files by
dialing into the computer using a modem and a cell phone.

Even though there are more sophisticated devices like PDAs and laptops
but what we want to facilitate is an ordinary cell phone user having no
such devices which makes our system cost effective solution of the
problem. User will be able to tell the application either he wants to email
or fax and then specify the file name that is needed to be emailed or
faxed.

The user will simply make a call from his cell phone to the PC which is
connected through a modem and the application will automatically attend
the call by playing an audio file which will guide the user how to perform
the operations like email or fax using his cell phone.

Problem Statement
In our project, we are trying to focus on the need of a person who is away
from his personnel computer and wants to send a file from his computer.

Conventionally, we use PDAs and some of the mobile phones to do this job
but it is restricted to that device only. This system is very much useful in
following ways:

1. User does not need web enabled phone

2. User does not require Internet.

3. User does not require GPRS

4. Enable user to fax/email from a distant place

5. User does not require PDA/notebook PC

6. Can be accessed anywhere from the world

7. Power up your PC incase if PC is switched off

8. Saves time and money

Features
Our automated file sending utility is activated by receiving a phone call
from the user and then it prompts the user to press 1 to e-mail document
and press 2 to fax the document. After selecting the desired method, the
system prompts for the file name with extension. We will enter the file
name and if there is a mistake we can press # at any time to restart the
system. In the end we will enter the desired e-mail or fax and press 1 to
send the document.

Some salient features are given below;

 Auto search to find the documents

 Call back the user in case of failure

 Extensive file search options

• It can search emergency (specified) folder

• It can search drives in case file is not present in specified

folder.

 Supports almost all the file extensions e.g. doc, xls, ppt, pdf etc.

 Activates itself by just receiving a phone call

Project Planning
Different modules will be assigned to each group member by the group
leader or as advised by the advisor. The group members will be
working on each module simultaneously and coordinate with leader
and advisor as required. The team leader will ask for feedback every
week that would help leader and team member to coordinate and
make this project a success.

The total time period for whole project will be 8 months and time
division will be done based on different activities of the project. Further
time divisions will be decided after a few meetings with project advisor.

Deliverables:

Following components will be delivered after the completion of the project to

the project coordinator.

 GUI which enables all the services on the user computer

 Working Application with all the features described above

 Documentation

How it will work:

1. User will dial using a cell phone to his PC which will be connected to
a modem.

2. Mile Mail will receive the call and play an audio file which will work
on key stokes to perform the operations like email and fax.

3. The receiver’s email address and file to be attached will be sent to

the Mile Mail during the phone call.

4. We assume that the PC is constantly connected to internet source

and a telephone line through modem.

5. Mile mail will search the file in a specified folder (emergency folder)
and in case the file is not present in specified folder Mile Mail will
search file in drives.

6. After the search of files is accomplished, Mile mail will email the
files.

7. Acknowledgements of failure and success of email or fax will be

done through a call back to the user.
