DEVELOPMENT OF MANAGEMENT INFORMATION SYSTEM FOR CAVITE CENTER FOR MENTAL HEALTH TRECE MARTIRES CITY

Rationale

Cavite Center for Mental Health was originally established on January 1967 as an extension of National Center for Mental Health. At the time of its operation, there were 79 patients. Because of the continued admittance of mentally ill patients, an additional ward and administration building was constructed. January 23, 1979 pursuant to Ministry Order No. 96 Series of 1978, this extension of service became the psychiatric unit of ABMH where in Dra. Evangeline C. Delos Reyes, then integrated Regional Consultant of out-patient at Batangas city, was further designated to assist in the care of patients but under the administrative supervision of the Regional Health Office No. IV. Presently, the Province of Cavite continues to take its burden supporting psychotic patients coming from the province as well as to its adjacent provinces. Furthermore, there is also an existing program Operation Vagrant Psychotic of which vagrant psychotic roaming around Cavite has been given the importance of assistance, several participating agency are given the task to bring patient of the hospital for proper treatment as well as reuniting with their long lost relatives, there are more than one hundred vagrant psychotic who had been benefited from the program.

As of February 2012, the organization employs 102 employees (see Figure 1) that provide services to 318 patients composed of mentally ill patients, rehab patients, red and green ward patients and female ward patients (see Figure 3). The introduction of technology into the modern world offers different organizations evolve technologically in terms of serving clients with productive and best services.

A Management Information System (MIS) is a formalized, computer based system able to integrate data from various resources to provide the information necessary for management decision making. It has the capability of integrating and summarizing detailed data to produce relevant management information (James O. Hicks Jr., 1984) Management Information System in Cavite Center for Mental Health aims to have a more systematic and faster patient accommodation procedures, effective accounting, prevent loss of data, historical data preservation, inquiry, display and electronic dynamic reporting. Objectives of the Study This study generally aimed to develop Management Information System for Cavite Center for Mental Health Trece Martires City. Specifically, it aims to; 1. identify the problems within the organization through initial inquiries or interview; 2. analyze the problems identified from the existing system; 3. design and develop Management Information System using Microsoft Visual Studio 2010 as programming language and MySQL Server as primary database; and 4. evaluate the developed system through series of tests for system implementation.

Significance of the Study The study will benefit Cavite Center for Mental Health Trece Martires City by developing and providing an accurate and highly computerized record management system capable of having an integrated view of patients data, storing, retrieving, printing of all of the patients record or selected records only and monitoring the patients population accommodated. Clinical members and staffs involved in processing the patients records will help lessen their paper works. The management information system will help them to accommodate patients effectively with fewer efforts required. Reports about patient status, nurses on duty will also be easily monitored. The proponents of this study will help them to have further knowledge and skills while developing the system. Furthermore, future researchers will benefit this study when they are making some innovations on the developed software. Methodology Unified Process will be used in developing the study. The unified process recognizes importance of customer communications and streamlined methods for describing the customers view of a system. It emphasizes the important role of software architecture

Problems from the current system will be identified and at the same time analyze and evaluate to specify and identify the requirements. This includes gathering the needed information and reference material and setting and identifying the program specifications. Design Strategy The designing and system interface were identified and categorized on the respective module. System interface were defined based on the requirements gathered. Designing of the user interface is done in this phase until solicited opinions regarding the visible aspects of the system from the intended users were satisfied and in conformity with the requirements. Use case diagram will be used as tool for define purposes, to have an overview of the architectural components as part of the usage requirements for the system. In this way, visualization of the expected and possible design output are shown accordingly. Coding

In this phase, Visual Studio 2010 will be used as the programming language in designing and developing the system; MySQL as the primary database and Apache as the main server. Adobe Photoshop was also integrated in designing the user interface. Macromedia Flash was also considered in providing animations and graphical interfaces. Testing The whole system or major subsystems will be tested to determine conformance with the functional specifications. Different approach in testing was done to the system to determine and identified possible fault and loop holes of the created system. Integration testing was performed. Each module will be tested if it is working correctly when combined with other modules. To integrate every module to form subsystems then to produce the final system, the bottoms up approach was used. Bottoms up approach will also be considered for module integration testing. Bottoms up approach will be used to evaluate modules of the system. In this application, level of software developed will be determined and it will be easier to report testing progress in the form of percentage. Expected Output Log in Module This module allows the user of the system to login into the system using the username or password for security purposes. This module may also include the function of changing or updating the users password. Patient Admission Module

This module allows the user to admit patients requiring them to input the basic information including the name, age, gender, address, height, weight, blood pressure etc. Patient Discharged Module This module allows the system user to view admitted patients and discharge them. After discharging the patient, the record of the patient will be send to the table of discharged patient from the admitted patients. Employee Management Module This module allows the system user to add, delete and update information regarding with the employees information. Billing Module In this module, the system is capable of generating payments of discharged patients. Report Generation Module This module allows the user to generate reports of all admitted and discharged patients. The system is also capable to generate reports of selected records only.
