WORKING HOURS AND ATTEDENCE POLICY

The company will have a 5 and a day 48-hour working week with an interval of 30min. For lunch and two tea/coffee breaks of 15 min. each. It is mandatory for each employee to sign in the attendance register from the day of joining. Every employee is required to sign In the attendance register daily upon the his/her arrival and departure from the office. The register will be available at the main gate.

Employees are required to sign up their attendance by their stipulated time; however there will be grace period of 10 min. in case an employee is late due to any reason, he/she must contact HR-Department immediately an arrival. If any employee comes after the grace period of 10 min, red mark will be put in front of his/her name . Every 3 such late mark in a month will be treated as one days with out pay.

The Employee will be marked absent in case he/she has not signed in the attendance register. In case of absence Employee will be liable for disciplinary action and no salary will be paid for that period. In case an employee goes for outdoor/official work, he/she has to inform his/her supervising officer accordingly, fill the outdoor duty form and pass it to HR-Department. In case an employee has to move out of the office for any reason except during lunch hours, he is required to get prior approval from his/her immediate manager or HR.

ATTENDANCE POLICY

Section1:How and when attendance is submitted Compiling monthly attendance is the HR Heads responsibility in the prescribed format to the finance for processing the payroll. The HR-Dept. collects the attendance date, compiles the same and sends to finance Dept. on 25th of employment for processing the payroll. The payroll attendance cycle is 26th of previous month of 25th of current month.

Section2:Card forgotten In the event an employee forgets the identity card, the concerned employee needs to fill up the card forgotten form available at the HR-Department and submit the same to HR Department duly approved by the immediate supervisor for manually updating the attendance.

Section3:Out door duty form In the event an employee is out an official work, the concerned employee needs to intimate the same to the HR by filling the Out door duty form or sending by EMail alternatively, the immediate supervisor shall approve of the absence from office and intimate the same to the HR who will record the same in the attendance register.

Section4:Leave Maintenance System HR Department has provided individual leave card for employees for managing and recording the leaves. Its the responsibility of an individual employee to collect the leave card from office and intimate the absence from office and intimate the same to the HR who will record the same in the attendance register.

Section5:Cost Centre & Project recognition The cost centre and project identification against each employee has to be done by HR in co-ordination with operations, if any employee has to be transferred from either a cost centre to another, a transfer from has to be designed which should be duly requested for and approved by the respective cost centre head/project lead with the date of the transfer. The same has to be approved by the HR head before the actual date of transfer.

Section6:Adding Leave In The Payroll Mas Updating the Payroll master (Including Confirmation, date of leaving, freezing employee salary etc) is responsibility of HR head. Whenever a new employee join, the Cost Centre and the projects has to be identified by the HR in co-ordination with the operation.
