The Takeaway:
The technology you never think will become universal, usually does.

So, what about video?

Organizations dont look or operate like they used to

Factors driving global/virtual workforces: Increased access to technology globally Growth of a fat broadband pipe Cost savings from the decrease in space needed to operate Public incentives, like less traffic congestion and clean air initiatives Candidates starting to see/desire virtual workdays as a benefit to working for an organization Trends in crowdsourcing and entrepreneurial drive With departments and project teams spread from coast to coast or around the globe, how do you create a culture where employees can feel truly engaged? Creating a globalized local or glocal model for HR will be a key priority for organizations throughout the coming year

and traditional conference calls just dont cut it anymore.

Because meetings that used to be face-to-face no longer are, opening up the floor to disengaged & distracted participants.

So what do you do?

Because

(and how you can too)

1. Smart Companies Are: Replacing Written Communication

Average number of emails sent/received per day in 2012 = 110!* In the time it takes you to read this 20M emails have been written People have gotten comfortable living behind the written wall and time spent sending & responding written messages depletes time for more creative and impactful projects Embedded excuses as a result of functionality of the medium Have you ever heard: Oh, it was in my junk folder! or I didnt see it must have been a glitch!

How can video help?

Okay, Im sold on this video thing but how do I get my team on board?

Awareness + Interest + Understanding = Adoption

- FOT Favorite, William J. Tincup

Create a roadmap for adoption of video collaboration tools before getting started. Heres a sample: When will you implement? Who owns the process? Who will be impacted by the rollout? How will adopting impact the organization as a whole? By department? What do you hope to achieve short term? Long term? Will you measure or track anything? What will be the recourse if not adopted? What will be the reward? How will you gather and communicate best practices moving forward? Whats in it for the company? Whats in it for the individual?

Work the plan.

Make it Easy
Establish your key players in the implementation process & get them involved early Establish a timeline for rolling out the your plan, with 30, 60 & 90 day goals defined Ex. 30 Day Goals: Host live training with all teams involved Teams replace 3 written conversations with face-to-face, video interactions Recruiting teams should host 3 video interviews Ex. 60 Day Goals: All teams are fully familiar with the platform and have submitted two bestpractice observations Teams replace 6 written conversations with video interactions Team leaders should host 2 video meetings with virtual teams or clients - Ex. 90 Day Goals: Written conversations are being replaced frequently goal of 12 total by this date Implementation team hosts a follow up meeting to discuss success and areas for improvement Recruiting team has conducted 12 video interviews

Make it Accessible
Kick the wonk talk & tailor process documents and training guides in your organizations vernacular tech team not necessary Give departments advanced notice of the rollout so they can carve out the time to introduce to their teams Dont be a process spammer - host live and interactive training sessions (one of the reasons youve adopted video collaboration, right?...) Define expectations and goals clearly in the training Dont compromise. Stick to your guns and work your plan.
**FOT Guarantee 60% of the time it works every time.

Top-Down Adoption
Have department/team leadership should send out a recap note post-training that reinforces goals & objectives of the session Senior team members should take first step in adoption & share their experience with their team and the company as a whole Implementation team should work with leadership to establish a plan to share best practices & offer continual training Recognize challenges early & tackle them, dont let issues fester or team members fall behind Dont make it a to-do have fun with it create a commercial spot with some leadership outtakes to drive interest

Stimulate New Users

Build the hype for the shiny new toy Highlight the benefits of adopting for the company as a whole AND highlight the benefits of adopting as an individual whats in it for them? (This should be in your roadmap.) Illustrate the practical uses and how it makes their job better or easier Offer incentives for early adopters & a rewards program for users whose best practices make the cut Virtual workdays Bonus compensation for ideas that are adopted Make them a thought leader in the organization through leadership recognition

Plan Ahead Work the Plan Make it Easy Make it Accessible Incorporate Senior Leadership Build the Hype and Offer Rewards
