Definition of Organizing

 Organizing is a process of integrating, coordinating and

mobilizing the activities of members of a group for seeking
common goals.

 Organizing is synchronizing thinking and harmonizing action.

 likewise Organizing is a method of grouping resources and

activities to accomplish some end results in an effective and
efficient manner.
Organization
 Organization is a formalized intentional structure of roles or
position . organization is also a group of people with specific
responsibilities acting together for achieving definite purpose
determined by the organization.

 Organization is when two or more people get together and

agree to coordinate their actions in order to attain their
common goals, an Organization has been born.
Types of Organizations

 All the Organizations can be classified into two main category:

 Formal Organization

&
 Informal Organizations.
Formal Organizations

 The intentional structure of rolls in a formally organized

enterprise.

 Formal Organization is a fixed set of rules of intra-

organization procedures and structures.

 As such, it is usually set out in writing, with a language of

rules that apparently leave little discretion for

interpretation.
Formal Organization
(continue…)

 In some societies and in some organization, such rules may be

strictly followed; in others, they may be little more than an empty
formalism.

 so formal organization is kind of rigid organization and also it

must be flexible.

 by the way formal organization is refers to the structure of well

defined jobs, each bearing a definite measure of authority,
responsibility and accountability.
Informal Organization

 A network of interpersonal relationships that arise when

people associate with each other.

 Informal organization refers to the relationship between

people in an organization based on personal attitudes,
emotion, prejudices, likes and dislikes, etc.
Benefits of Informal Organization

1. To employees

 Sense of belonging: In an Informal organization can create a sense

of belonging through communicating their vision to the employee and
making them feel part of the vision.

 Aid on the job: In case of accidents or illness, members of an informal

group help one another.

 Check on authority: Informal group forces the manager to plan and

act more carefully than he would otherwise. Informal organization is a
check and balance on unlimited use of authority by a manager.
2. To management

 Less supervision: Informal group is self-policing.

This relieves the management of much of the burden of
supervision.

(ii) An aid to management: The information gives the

manager much feedback about employees and their work
experiences thereby increasing his understanding of what
he needs to do.
Disadvantages of an Informal organization

 Resistance to change: An informal organization is

bound by customs, conventions and culture.

 Role conflict and sub-optimization:

In an informal organization, everyone works towards the
same objectives. Members put their own group objectives
ahead of organization’s objectives. Hence, the organization
suffers.
 Rumor:
An informal organization sometimes
functions as a carrier of rumor.

(iv) Group think philosophy:

Workers become loyal to their groups.
Organizational division : The Department

Department:

Department is a distinct area, division, or branch or an organization over

which a manager has authority for the performance of specified activities.

Departmentation:

Departmentation is the process of dividing the organization into groups or

division over which every manager has authority and responsibility for the
performance of specified activities.
Organizational levels and the Span of Management

Basically the intention of organizing is to make human cooperation

effective, so the reason for levels of organization is the limitation of
the span of management.

in other words Organizational levels exist because there is a limit to

the number of persons a manager can supervise effectively.
Span of Control or Span of

Management

 Span of control or span of management is a dimension of

organizational design measured by the number of subordinates
that report directly to a given manager.

 It suggests how the relations are designed between a superior

and a subordinate in an organization.
Span of control has been classified into two main category :

1) Narrow Span

&

2) Wide Span
Narrow Span
 Narrow span is when there is relatively large number of hierarchical
levels where each manager supervising a small number of
employees.

 Narrow span of control is more expensive as compared to wide span

of control as there are more number of superiors and therefore there
are greater communication problems between various levels of
management.
Advantages of Narrow Span of
Management

 A narrow span of control allows a managers to communicate

quickly with the employees under them and control them more
easily.

 Feedback of ideas from the workers will be more effective.

 It requires a higher level of management skill to control a

greater number of employees, so there is less management skill
required
Disadvantage of Narrow Span of

Management

 Superiors tend to get too involved in subordinates’ work.

 Many levels of management.

 High costs due to many levels.

Excessive distance between lowest levels and top level.
Wide span of management

 Wide span of management is when there is relatively few

hierarchical levels where more subordinates report directly to a

given manager.

 Wide span is less cost than narrow span because wide span of
control means a single manager or supervisor oversees a large
number of subordinates. This gives rise to a flat organizational

structure.
Advantage of wide span of control

 There are less layers of management to pass a message through,

so the message reaches more employees faster.

 It costs less money to run a wider span of control because a

business does not need to employ as many managers.

 A wide span of control forces managers to develop clear goals

and policies , delegate task effectively .

 Since employees get less supervision , they tend to take on more

responsibility.
