Safety Management
For safety work of the project team, we should implement the policy Safety First, Precaution Crucial. No one is allowed to work on an operation post until he/she has received normal training on safety. The operation and maintenance personnel shall follow the safety system and adhere to fire and theft prevention regulations to ensure human body safety and equipment safety Operation and maintenance personnel should be familiar with methods of safe operations and strictly follow them. During operation, maintenance, test and troubleshooting, preventive measures should be taken to prevent work injuries and communication accidents.
Secrecy Management
The preparation, receiving/sending, transfer, use, duplication, extraction, storage and destroy of documents, information or other articles that are Party As secrets shall be performed by designated personnel. No one is allowed to disclose secrets in his/her personal contact and communications. No one is allowed to talk about the companys secrets in a public place and transfer the companys secrets through any other channel Strictly follow the communication disciplines and keep alert to maintain secrets. No one shall monitor communications by customers and no one shall add, delete or divulge the relevant information.
Quality Control
To enhance the quality of our engineering services, inspection and check-up shall be performed in different ways: self-check as the main way, and spot check as complementary, so as to foster a pressure for better quality.
Spot check: To be performed with collaboration of the project manager, normally once a week, two to three persons each time, and at least once a month; for an important and special job, it will depend on the actual situation
Quality Control
Self-check: Each operator shall perform self-check on the related equipment according to the regulations, so as to correct any failed item. Anything abnormal shall be singled out; for anything important or special, a report shall be submitted to the technical director or project manager, and an Abnormity Work Order shall be filled out with description. Check on equipment in storage: Check shall be performed once a week on the quality of parts, components, tools and meters in storage, a quality check form shall be filled out, and anything abnormal about the quality shall be notified to the related parties
Documentation Management
Documents and notices from the headquarters of the company and from the operation/maintenance consignor shall be received and registered by dedicated persons of the office. The undertaker shall see that the document is read by all those concerned or handled, according to the stipulation in the document or instruction by the leaders. Document handling shall be checked and urged. Clerks shall remind and urge handling of documents with instructions by the leaders and documents issued by the company, to avoid delay or omission.
Documentation Management
The project manager is the owner of the preparation and report of the Project Weekly The operation/maintenance personnel shall make record of work every day, including patrol inspection and troubleshooting, and equipment module replacement, and shall timely circulate related information A document with secrets shall be marked with Confidential by the reviewer, and the scope of persons/departments to receive the document shall be specified. A confidential document, according to the regulations of secrecy maintenance, shall be prepared, printed and sent by the designated personnel.
On-duty System
Engineers on duty are to be available in this commission maintenance center, so as to ensure 24-hour service for receiving any notice from Party A. Engineers on duty dispatch resources for rush repair, arrange coordination with the property owner and accompanying engineers for the project according to the work process, and report to the manager if necessary. Personnel on duty for arranging rush repair should be arranged for 24-hour service. Engineers on duty will provide their services at the following time (a 3-shift 2-relief system): 2.1 Night shift: 20:30 to 8:30 the next day. 2.2 Day shift: 8:30 to 20:30.
On-duty System
When receiving a notice from Party A, an on-duty engineer will fill the content in the CALL LOG software system, which will track the problem and generate a weekly report and a monthly report.
Table of On-duty Engineers and Table of Personnel On-duty for Rush Repair are to be arranged by the project manager, and shall be submitted, at each weekend, to the commission maintenance owner of Party A, and to be published to personnel of the company to be on-duty. A plate with names of those personnel on duty shall be available in a place where it can be seen clearly.
On-duty System
Engineers on duty shall fulfill their tasks in succession in a designated place at the designated time, and shall not stop midway or leave their post, and shall have their meals and accommodation in a place designated by the commission maintenance center. In case of any matter out of his/her right, an engineer on duty shall immediately report to the manager for a solution. Messages received by an on-duty engineer shall be handled as follows: Any message within his/her right shall be handled immediately.
On-duty System
A message beyond his/her right shall be transferred to the owner of the relevant department depending on its nature. A confidential document or one with time limit shall be submitted to the relevant leader immediately, with the document intact. The on-duty manager shall fill a report of matter handled, and submit it, after handover of his/her duty, to the office director for inspection.
For all proposals and adjustments, the Project Team shall make a report every week on project summary, and copies of the report will be sent to the relevant departments for timely understanding and control of the overall implementation of project, and for making supervision. Special topics shall be made into a report in time and be copied to the relevant departments, for engineers of both parties to accumulate and enhance their technical competencies. Project Team shall, before the project is finished, submit a complete summary report, and shall send copies to the relevant departments for filing and acceptance.
Dedicated persons shall be appointed to exert management on construction documents, acceptance reports, adjustment records and databases: Timeliness Documents shall be recorded and modified timely depending on how the system is updated; Accuracy We will constantly check whether the document records are consistent with the system data, so as to ensure accuracy of records.
A weekly meeting system (bi-weekly as required by the carrier) and a daily internal meeting system are exercised. A report on project implementation shall be submitted every two weeks to the relevant departments of the carrier. The project owner shall hold a meeting in the Project Team every day for internal work exchanges and supervision of the work of each functional group, so that internal information and technologies can be shared in the team. A regular reporting system is implemented. At the start or end of every work stage, a project coordination and summary meeting shall be held with the carrier for timely communication and exchanges with the client.
