Google Calendar is a
free online calendar
offered by Google.

create personal or
public calendars
after signing up for a
Google account.

You could also schedule
events, share your
calendar
as well as set
reminders
and notifications for
your events.
You dont have to
download any special
software

to access the calendar
because its in the
Web.

Thus, users can view
and make changes to
calendars
from any computer
connected to the
Internet.

To access the Google
Calendar, you should
have a
Google account first,
in any Google
application.
A very common Google
application is the
Gmail.
If you already have a
Gmail account
then you can access
your Calendar from
there.
From your Google App
homepage, click on the
apps icon
on the upper right corner
of the page.
From there, click on
Calendar.
This is the Google
Calendar window.
How to Create or Edit a
Calendar
Secondary Calendar
The calendar that
youll first see when
you open
Google Calendar is your
primary calendar.
But you can also create
secondary calendars
like for your family, a
book club,
or for church
activities
to help you get more
organized.
To create a calendar,
click the dropdown
arrow
of My calendars on the
left side
and click on Create new
calendar.
This window appears.
Enter in your desired
calendar name.
Enter in the description.
Enter in the location.
Enter in your country
and time zone will
automatically appear.
Click on Create calendar if
youre done.
Your new calendar appears
under My calendars.
The first on the list is
your primary calendar.
Editing Calendar
Details
You may edit your
Calendar details if you
like.
Click on the dropdown
arrow of a calendar.
Then click on Calendar
settings.
You may now edit by
clicking on the desired
fields.
Dont forget to click on
Save.
Deleting a Calendar
You may also delete the
selected calendar
at the bottom of this
page.
Scroll down until you see
the Delete calendar
section.
To delete, click on
Permanently delete this
calendar.
This window appears. Check
this box to confirm.
Click on Delete for
everyone.
Family Calendar deleted!
Calendar Color
You may also change the
color of your calendar.
Click again the
dropdown arrow of a
calendar
and click on your desired
color at the bottom.
Calendar color changed!
Calendar View
You can view your
calendar by day,
by week, or by month.
You can also customize
it to display
as many days as you
want in one view.

To change your Calendar
view, click on Settings
icon.
Thats the gear icon at
the upper right part
of your calendar page.
Then click on Settings.
This is the Calendar
Settings page.
Scroll down until you see
the Default/Custom view.
arrow to show other view
options.
Click on your desired
Default view.
Same process with Custom
view.
Custom view.
Click on Save.
There are also view
shortcuts on the top
portion

of the calendar home page.
You may click these to
change view
immediately.

Going back to the Calendar
Settings page
you may also change the
language here
Country and time zone
Date format
Time format
Default Event Duration
The day the week starts on
Event dimming
Show weekends
Your Location
And showing of weather
based on location in C/F.
Dont forget to always
click on Save.
Add or Subscribe to
Calendar
Google Calendar offers
a selection of
calendars covering
popular holidays
sports team schedules,
and more.
To access these
calendars, click on the
dropdown arrow
of Other Calendars on the
left side.
Then click on Browse
Interesting Calendars.
A directory of Holiday
Calendars appears
As well as Sports Team
Schedule Calendars.
Click on Preview to view
events on the calendar.
Click on Subscribe to add
the calendar in your list.
It will then be added to
the Other Calendars list.
You may also want to
add a calendar
of your Google
Contacts birthdays.

To do this, type in
contacts:

in the Add a friend's
calendar field
Then hit Enter on your
keyboard.
The calendar is then added
to your list.
Google Tasks
Google Tasks can help
you get more organized.
To do this, simply
create a task
and assign a due date.

Click on an empty space in
the calendar.
then click on Tasks on the
left side.
The Tasks section appears
on the right side.
Click on the right arrow
to enter the details.
Click on the due date
field
and click your desired due
date in the mini calendar.
The task appears on the
due date in your calendar.
Type in the Notes field
the details of the Task.
Click on Back to list.
Task added to your Tasks
list.
Check the box on the list
or on the calendar when
accomplished.
and it will be marked as
done.
How to Create or Edit an
Event
Create an Event
You can create an event
in four ways:
1. Click on the day and
time of the event.
Click on a day and time in
your calendar.
Then type in what your
event is in the box.
Click on Create event
to add it in the calendar.
Or click on Edit event to
add more information.
2. Use the Quick Add
feature.
Quick Add is a feature
that can figure out
what
you mean and pop the
event right onto your
calendar.
To use Quick Add, click
on the down arrow
of Create button
or type "Q" while
you're in Calendar.
Quick Add window appears.
Type in your event with
time and day.
Click on Add.
Quick Add will know
what you mean
and adds the event onto
your calendar.
3. Use the Create
button
On the calendar home page,
click on Create.
Enter in the title of the
event here.
Click here and choose the
starting date of the
event.
starting time of the
event.
ending time of the event.
ending date of the event.
Check All Day if its a
whole day event.
Check Repeat if its a
repeating event.
Click on how often the
repeat is.
Repeat every how many
weeks.
Repeat on what day.
Type in the starting date.
Choose when it should end.
Click on Done.
The repeat is noted here.
Enter in the location of
the event.
You may add here a
description of the event.
Click on Save.
The event is added onto
the calendar.
4. From the calendar
list
From the calendar list
on the left side
click on the dropdown
arrow of the appropriate
calendar
Then click on Create event
on this calendar.
Fill in the details
like what weve done
in the previous slides.
Save.
The event will then be
added to your calendar.
Edit Event Details
To edit an event, click on
the event
then click on Edit event.
The event details window
appears.
Click on the field you
would like to change.
Type in the details.
Click on Save.
The event was updated.
Invite Guests
to Your Event
You may create
invitations for your
events with Google
Calendar.
Anyone with an email
address can receive
invitations
whether they use Google
Calendar or not.

If they use Google
Calendar
they will receive the
invitation based on
their notification
settings.
Notifications will be
discussed
in the later section of
this tutorial.

If they dont use
Google Calendar
they will receive the
invitation via email.
To invite someone to your
event, click on the event
The event details window
appears.
Enter in here the email
address of people
you want to invite.
Click on Add.
The person is added in
your guest list here.
Add more people if you
like.
Check here appropriate
options for your guests.
Click on Save.
Click on Send.
Invitation is then sent
to the guests.
Privacy Options
You will also see the
Privacy Options
on the lower part of
the event details
window.
Here are the Privacy
options.
Default means this event
will follow the sharing
setting
of your calendar.
Public makes all of your
calendar information
available to the public.
Private will hide all event
details from anyone unless
they
have "Make changes to
events" level of access or
higher.
How to Share a Calendar
With Google Calendar,
you can control
who can see your
calendars and events.

Share with the Public
When you make your
calendar public,
people can search for
it and find it
even in Google Web
Search.
To share your calendar
with everyone
calendar
then click on Share this
Calendar.
Check this box to make it
public.
Check Share only my
free/busy information
to hide the details of
your events.
Click on Save.
On the other hand, if
you want your
Calendar to be Private
go back to the Share
this calendar window
and UNCHECK these boxes.
Share with Specific
Users
To share your calendar
with specific users
calendar
then click on Share this
Calendar.
Type here the email
address of people
you want to share your
calendar with.
Select here the level of
permission for that
person.
Click on Add Person.
The person is added in the
list.
Click on Save.
or click on the Trash Can
icon
to remove the person from
the list.
You can share your
calendar with
up to 75 users
per day.
If you'd like to share
it with more users
wait for 24 hours
before trying again.
Share with People
Who Don't Use
Google Calendar
You can share your
calendar with other
people
who dont use Google
Calendar
by using your
calendar's address in
HTML format.
To do this, click on
the dropdown arrow
of the appropriate
calendar
then click on Calendar
settings.
Scroll down and look for
Calendar address section.
Click on HTML icon.
Your calendar address
appears.
Share this address or URL
to other people
who dont use Google
Calendar.
Embed Calendars on
Your Website
To embed your calendar
in your blog or website
youll need a code that
you can
paste in your website
or blog.

To see this code, click
on the dropdown arrow
of the appropriate
calendar
then click on Calendar
settings.
Scroll down and look for
Embed this Calendar
section.
Copy the code and paste in
your website.
How to Set Reminders and
Notifications
You can choose to
receive your event
reminders and
notifications
via SMS messages,
emails, or popups
within Google Calendar
itself.
To set a reminder on an
event
click on the event
Here is the Reminders
section of the Event
Details window.

Choose Email if you want
to be reminded through
email.

Choose Pop-up if you want
to be reminded through
pop-ups.

Click on this dropdown
arrow

and click on your desired
parameter.

Type in here your desired
number.

To remove a reminder,
click on the remove icon.

Reminder removed!

Click on Add a reminder to
add more reminders.

Dont forget to hit Save.

Your reminder is added to
your event!

You may also set a
reminder for a
calendar.
It means if you havent
specified a reminder
in an event, the
calendar reminder
setting
will be applied by
default.
To set a reminder for a
calendar, click on the
dropdown arrow of the
appropriate calendar
and click on Reminders and
Notifications.
This is the Event
reminders section.
Click on Add a reminder.
Click on Pop-up or Email
here.
parameter here.
Type in your desired
number here.
Click on Add a reminder to
add more reminders.
Click on Remove to delete
a reminder.
Below the Event reminders
section is the
Notifications section.
Choose here how you would
like to be notified.
Click on the boxes under
Email or SMS notification.
Click on Save when done.
For SMS notification, go
back to Reminders and
Notifications window
and click on this link
below.
Mobile Setup window
appears.
Google doesnt charge
for sending SMS, but
your carrier might.
Enter in here your
country.
Enter in here your Phone
number.
Then click on Send
Verification Code.
You will then receive
an SMS containing your
Verification Code.
Type in the sent
Verification Code here.
Click on Finish Setup.
Then click on Save.
To remove notifications,
go back to Reminders and
Notifications window
and uncheck the
notification boxes.
Save when done.
