Write a Formal Letter

A formal style of letter is required for


professional correspondence, business letters
and occasions when you must show respect to
the person with whom you are corresponding.

It is important to consider standard guidelines


when writing a formal letter.
Step 1
Choose formal 8 1/2-by-11 inch stationery
with a matching envelope.

The paper should be a neutral color such


as white, cream .

Avoid stationery with bright colors or


distracting graphic elements.

If the letter is for businesses purposes, use


company letterhead.
Step 2
Include your return address in the
top-right corner of the letter.

Add the recipient's address on the


left of the page just below the return
address.
Step 3
Skip two lines and write the date.

Be sure to spell out the month.


Always avoid abbreviations in a
formal letter.
Step 4
Skip two lines and begin the letter with an
appropriate greeting.

Include the name of the recipient if possible.

If you are unable to determine the name, direct the


letter to "Sir or Madam." Be sure to include the
correct title in the salutation (such as Mr., Mrs., Miss,
Ms. or Dr.).

If the recipient is a woman and you are not sure how


she likes to be addressed, use the neutral title "Ms."
Step 5
Skip two lines and write the introduction.
The initial paragraph should state the purpose
of the letter, whether to inquire about a job,
file a complaint or request information.

Do not be vague. The recipient should not


have to guess at the meaning of your letter.

This is also the place to introduce yourself if


the recipient does not know who you are.
Step 6
Write the main body of the letter.

This should include relevant information


that supports the purpose of the letter.

Make sure your comments are organized in


a clear and concise manner, and avoid
unnecessary information.
Step 7
Create a closing paragraph that communicates
an action you expect the recipient to take, such
as sending you information, contacting you for
an interview or providing you with a refund.

This is also a good place to make reference to


future contact if you expect to see this person
or talk to her at a future date.

If the purpose of the letter was to make an


apology or express appreciation, restate
that intention.
Step 8
Write closing remarks. Use "Sincerely,"
"Yours" or "Yours Faithfully" if you do not
know the recipient's name and "Yours
Sincerely" or "Yours Truly" if you do.

Use "Best Wishes" if the recipient is a


close friend.
Step 9
Skip four lines and include your name
and title, if necessary.

The four lines will allow you enough


space to sign the letter before
sending it.

Curriculum vitae is a summary of an
individual's education and work experience.

abilities, more so than a typical resume.

Step 1
Write or type all of your personal
information first (name, address, phone, cell
and fax numbers, and email address).

If this curriculum vitae will be viewed by


online employers as well as those in a
traditional office setting, remove
information like address and phone number.
Step 2
List all license and certification
information.

This information should be at the


beginning of your curriculum vitae in order
to catch the attention of the person
reviewing your information.
Step 3
Insert all information regarding education.
The information will need to be listed in
chronological order.

This section will contain all post-graduate


education and certification institutions.

Also, include the names, addresses, years


attended, and degrees or certifications
received at each institution.
Step 4
Provide all of your work experience.

All information should be listed in


chronological order, and include addresses,
phone numbers, and term of service.

Another option for this section is to include


information in regards to the amount of pay
you received at each place of employment.

You should reference as far back as needed


when listing work experience.
Step 5
Create a list of all your social groups
and societies to which you belong.

Your list will consist of community


participation as well as any
professional associations you may
participate in regularly.
Step 6
Gather all relevant samples of completed
work to add to the final portion of your
curriculum vitae.

There are many ways to add samples of


your work.

You can add articles, links to online


published work, attach copies of work,
photos of accomplishments, or simply cite
where an employer may find your work.

Latihan industri merupakan satu komponen
utama dalam kurikulum pembelajaran
Politeknik Kementerian Pengajian Tinggi
Malaysia (KPTM).
Pelajar disyaratkan lulus latihan industri
sebelum diperakukan untuk penganugerahan
Sijil atau Diploma Politeknik KPTM.
Pelajar akan ditempatkan di organisai tertentu
selama satu semester bagi mendedahkan
mereka kepada suasana pekerjaan sebenar.
Objektif Latihan Industri
a. Membina personaliti individu
b. Berkomunikasi dengan berkesan
c. Mengamalkan etika dan peraturan
kerja yang baik
d. Memberi pendedahan kepada alam
pekerjaan
e. Menghasilkan laporan latihan

Pelajar boleh memohon tempat latihan
industri dengan menggunakan kaedah
berikut :-

a.Melalui Unit Perhubungan dan


Latihan Industri ATAU
b.Memohon sendiri ke organisasi yang
dipilih
Memohon Melalui UPLI
Pelajar hendaklah menyemak senarai
organisasi yang menawarkan
penempatan latihan di UPLI
Menghantar dokumen permohonan
yang lengkap dan buat tempahan
permohonan di UPLI
UPLI akan membuat permohonan ke
organisasi berkenaan bagi pihak
pelajar
Memohon Sendiri ke Organisasi
yang Di Pilih
Pelajar boleh menyemak senarai maklumat
organisasi di UPLI
Pelajar juga boleh memohon di organisasi
lain yang tidak disenaraikan di dalam
maklumat organisasi UPLI. Kaedah
permohonan masih sama iaitu perlu
menggunakan permohonan yang sama
Pelajar dikehendaki menghantar sendiri
menggunakan borang permohonan ke
organisasi yang hendak dipohon
Memohon Sendiri ke Organisasi
yang Di Pilih
Pelajar perlu mendapatkan maklumat
terperinci berkaitan organisasi tersebut
sebelum membuat permohonan untuk
mengelakkan tiada kerja atau kerja yang
tidak sesuai semasa latihan. Maklumat
yang diperlukan adalah seperti berikut :
i. Latar belakang organisasi
ii. Jenis aktiviti perkhidmatan, projek ?
