Purpose of spreadsheet

Introduction
Two different ways the spreadsheet is used are example spreadsheet.xlsm this is an academic
data collective spreadsheet retention sheet this is where the students information gets the
functions and inputs down below. In the power point. I will evaluate the strengths and weakness
about both the different spreadsheets and the improvements that could be made to improve
the weaknesses. More specifically I will have focus on the purpose of the spreadsheets and what
is displayed by looking at the purpose of it and what the data shows and the datas they have,
also the features of the spreadsheet , features that will advance productivity and the usability of
the spreadsheet.
Our aim is to analyse the positives and negative points about the 2 different spreadsheets , we
must identify them and should also be explaining the features of them in detail.
More specifically I will look at the purposes, what the data displays and the data they have, we
will also look into the features of the spreadsheet, the features that will improve productivity
and the usability of the spreadsheet and if there are improvements that could be made to
improve the weaknesses.
Purpose of spreadsheet (result table retention sheet)
The purpose of this spreadsheet shows the results and predicted success of all the
students. And the results from IT course F08011.it also shows us the digits of how
many students that are enrolled currently in a college and when they are leaving.
The spreadsheet will show the students names, personal code, their predicted
achievements and maths and English grades, whether they passed or failed the
course and how far above or below the national averages of the students are. It
also gives information about what the grades of students will result in, it can also
be their predicted grades displayed, this is so that we would know the probability
of the students if they'd make it to university or either if they have plans to go for
jobs instead. The spreadsheet is made clear, labelled and highlighted so that
everything is understandable. These formulas are for the accessibility use and that
it is understandable and easy for others to read i.e. having colours sectioned. The
use of first spreadsheet is used by entering names of students and he grades
achieved by them in Maths and English. The first spreadsheet is used to work out
the grades that the students are predicted for the students. Formulas are made for
improving usability and productivity because they simplify the whole process and
understandable for users , aid usability and productivity as they are made to

The purpose for this spreadsheet is to show profits and losses that the company comes across
and it makes basic calculations for the users of the sheet. The spreadsheet will show the cost of
the sales ,the gross profits ,expenses and the net profit , you also have the availability to show us
the initial investment what shows the original amount that had been invested in to whatever the
company wanted to invest their money into. It also shows units that were sold and the total sales
also the selling price for every month, 2nd spreadsheet is used by entering digits to calculate the
tax, cash flow and the investments. The difference of spreadsheets is the first Spreadsheet is
used to work out the losses and profit that the company will have. Cell formatting the colours in
each cells helps the usability as it makes the heading the focus also stands out. This sheet shows
us a detailed structure of what kinds of debts the company is experiencing. This type of
spreadsheet is useful for large companies, developments, corporates or businesses.

Calculates division, it is used to work out the percentage of the

Auto sums they're used to solve sums up automatically and in a quicker pace just like how it
works with a calculator, it would save time and boosts the speed of using the mathematics in
Excel for the users this improves the productivity by investing in less time by using this feature
rather than taking up time doing individual and specific calculations. The use of a calculator
figures out sums automatically so this means the accuracy is on point they are more likely to be
correct because of the built in program that supports this whereas someone doing it themselves
has more likely chance to get their calculations incorrect .
Tables Formatting - used for making and adding information into tables more easily and the
tables can be made to look better in appearance as this improves the usability of the spreadsheet,
this makes the tables look more presented ,ordered and its more easier for us to understand it.
Macros records information with data rays full of numbers and it points out what is going on
when you automate it and run it onto a system such as seeing how many people are attending
the concert etc.
Charts - They show you a visual of the records and data that is being collected such as the age
groups that will be there it will show e.g. a pie chart and will label how many of them groups are
going to be there it could be colour coded and which ever colour is persistent and has more

they had also invested/gained or lost.
The spreadsheets of the students uses formulas in aiding usability and productivity as they are
made to simplify the entire process for the use of the spreadsheets.
The formula features helps improve the spreadsheets with accuracy because for the adding and
subtracting options its being done for the users and it works out in a correct way for accurate

ease for the users of the spreadsheet and not having to go through the difficulty of making different and separate

Weakness
1 The weakness that is in the spreadsheet about the result table is that it could have more information
about students like a picture or their predicted grades for an example so it gives the teacher who is going
to be marking this an insight of how the students outcome will turn out. This would boost improvements
of the usability and productivity because it allows you to identify students without going through extra or
excessive effort in searching for them.
2 There isnt any cell protection in any spreadsheet i.e. you cant lock it and this effects the privacy of ones spreadsheet. The formulas
can be altered making them very unreliable as it can be altered by anyone

and portioned in an orderly and spacious form.
The spreadsheet is not very appealing because there are a lack of colours used. On the table information that is present seems a bit
cramped and its also quite hard to comprehend and leaves behind a lot of understanding. The spreadsheet isnt consistent in terms of
its layout.

of presentation .
6 They have also a limited currency symbol as they only used a pound sign on one of the costs which makes it inconsistent and useless
if you re to make conversions with international currency.

understanding by almost anyone. Because the sheet is very simple to understand and use its quite easy to know

There have been colours used to make the spreadsheet to standout and look easier to make it very
understandable. Boxes what have been coloured and highlighted makes the information far more visible and
easy for us to understand.
The count formulas will improve the usability of the spreadsheet by doing all the calculations and the counting's
of the students for the user. This saves the time as it puts the students in orders for you and aids in productivity.
