Acsys – Purpose of this manual

This Training manual is to help guide users on the proper use of the SCGS Keys and PL5 Padlocks.

 At the end of this training session, people trained MUST acknowledge that they have fully understood how to use the
Software, keys , locks and agree to sign off this document.

 The system administrators will be trained on both software management and use of keys and locks.

 The field engineers will be trained on the use of keys and locks.

The following items are covered in this training guide:

o CGS+ Key Introduction.

o How to Request opening code using a Mobile Phone with registered Number.

o How to Request closing code using a Mobile Phone with registered Number.

o How to power on your key and enter codes

o Meaning of each LCD display notification

o How to input the codes received through (-SMS Request- or -Calling NOC-)

o How to Operate the lock (open/close) and close rubber cap.

o On site Troubleshoot Techniques

Acsys – CGS + Key Introduction
The SCGS Key is the latest key hardware technology offering the best usability to the Key User. The SCGS Key is
mainly designed for the CGS + technology. The SCGS Key with LCD offers a high level usability by indicating the
user the status of the key and also the buttons pressed by the user.

LCD Display Hardware Features:


- Top multicolor LED (Green, Red, Orange) indicating lock opening result
- LCD display
- 7-button keypad with 1-6 digits and “OK” located in the middle for OK
- It powered with two LR1 batteries that can last 2 years of 25,000 openings
- Key has golden contact PIN on the blade, the blade of the key should always be kept clean.

Firmware Features:
- CGS + technology compatible
- Before a key is issued out, its programmed with user ID info, names, mobile number, email address etc.
- Lock specific Temporary Access created upon the entry of 10-digit CGS + Code
Keypad - Code entries into the key requires that you enter the first 5 digits, and last 5 digits.
- Two types of Temporary Access Rights: 10 Minutes and 8 Hours
- 10 Minutes codes is received via SMS from a registered phone BUT 8 hours codes and Unblock
Codes are ONLY by calling NOC.
- The code for each lock changes Every 10 Minutes
- Once a code is received the user has up to 10 minutes to enter the code into the key.
- Can have up to 10 simultaneous temporary access rights to open up to 10 specific locks.
- Key is splash proof but not water proof, so do not deep the key into water.
- Key is blocked automatically if accessing a lock with no access rights 3 consecutive times
- Code request are of two types, to open a site, you request for OPEN code and to Close the site, you
LED request for CLOSE code
- Removing Batteries from the key for more than 5 minutes will reset the time and date in the key
hence key will display UPDATE on LCD.

- 2 x Green LED: Access Granted (Recorded in the access logs)
- 2 x Red LED : Access Denied (Recorded in the access logs)
- Access Logs: Last 1000 access (FIFO)

How to use CGS + during site maintenance.

Q1) How to Request opening code:

STEP 1: Arrive at the site

STEP 2: Request to open the site

STEP 2.1: Using a mobile phone, the Field Engineer sends an SMS request to open the site.
e.g.: SMS Gateway Number: 849992004
Message Body: “O, <SITE ID>, <PIN CODE>”

STEP 2.2: Acsys server receives the message through the SMS gateway and verifies the identification of the Field Engineer.

STEP 2.3: Acsys server sends to the Field Engineer the CGS + code(s) based on the asset type to which the Field Engineer belongs too.
By default all Field Engineers belong to asset type front gate.
e.g.: Code Entry Validity: 10 minutes
Code 1: 24232 35462  (Front Gate)
Code 2: 25433 36523  (Other Assets based on the asset to which the user belongs)

STEP 3: Open the site

Step 3.1: The Field Engineer must enter each CGS + code during the code entry validity period as indicated in step 2.3. Once the CGS +
code is entered in the key, the key will have a temporary access right for 10 minutes for each lock for which the code is entered. If the
code is not entered within Code Entry Validity Period, then the Field Engineer must make a new SMS requests.

Q2. How to Turn on the key and enter CGS + code

e.g. The CGS + Code to open lock front gate located at site ID 77 is: 32513 21653 (10 minutes code)

Note: You now have 10 minutes open the lock. A user may request an 8 hour code if a site is down only through the NOC
operator, this function those exist through SMS request.

STEP 4: Request to close the site


STEP 4.1: Using a mobile phone, the Field Engineer sends an SMS request to open the site.
e.g.: SMS Gateway Number: 849992004

STEP 4.2: Acsys server receives the message through the SMS gateway and verifies the identification of the Field Engineer.

STEP 4.3: Acsys server sends to the Field Engineer the CGS + code(s) based on the asset type to which the Field Engineer belongs too.
By default all Field Engineers belong to asset type front gate.

STEP 5: Close the site

code is not entered within Code Entry Validity Period, then the Field Engineer must make a new SMS requests.

Step 5.2: Use the CGS + User Key to open the locks.

STEP 6: Return to vendor regional office

STEP 6.1: Insert the CGS + User Key in the IP programmer to upload the access logs.

NOTE: Between Step 2 and 4 the field engineer may request access to the same site as many times as possible without the Key letter “O” for open and
“C” for close site. Once the site is closed, the field manager may request to open any site, not other requests will be accepted. If the site is already open
the field engineer must first close the site before opening another site.

Acsys – The ACSYS water proof cap

The ACSYS waterproof cap is recommended for use in areas/assets subjected to abnormal amounts of water , seasonal flash floods or
in areas known to face extreme humidity. The ACSYS waterproof cap can also be used when the standard cap is broken or where
padlocks need to be installed upside-down.
Failure to protect the ACSYS padlock from water ingress might lead to the product not functioning as prescribed, and in some cases
might lead to the voidance of the product warranty.

Acsys – Basic Troubleshoot
 What to do when you enter a wrong code

 When a wrong code is entered, the key will return Error on LCD
 Verify the code and enter it again while observing that each code entered is displayed on LCD
 If you received the code via phone call from NOC, reconfirm the code with NOC
 Make sure your keys is not expired
 Make sure your key is not blocked, this can be seen on the key LCD screen with the word BLOCK
 Request for another code

 What to do if the code is expired

 If the code has expired, the key will return Error on LCD
 In this case request for another code.

 What to do if the code entered doesn’t work

 If the entered code does not work, first ensure that you have turned on the key and the LCD
message is on Code?
 Ensure that your key is updated with the system and LCD does not display UPDATE
 Make sure that you reconfirm that the code the code received is the code entered in the correct
order.
 Ensure that your key is not blocked, this can be seen on the key LCD screen with the word BLOCK.
 Request for another code

 Where to call if something doesn’t work (NOC/Acsys support)

 Before the users are issued with SCGS keys, they are given the numbers to call for site access as
well as support.
 Engineers will also be given SMS number to use for sending code requests.
 Users will also be given a quick manual provided in the key box, to help guide them incase they
forgot a process.

 Where to call if they need a 8hr access code

 In order to request for a 8 hour code, the engineer must call NOC, give reasons for request of 8 hour codes i.e. to access
a no coverage area.

 What to do in case the key falls in the water

 The Acsys keys are splash proof, so once the key has fallen in water, quickly flush out the water and clean the blade

 Show them what to do in case the padlock falls in the water

 The Acsys padlocks are splash proof, so once the padlock has fallen in water simply flush out the water, clean the rotor
to keep the communication contacts PINS dry. Also for areas exposed to high level of water, we recommend the use of
our water proof caps
