History of space management in facilities management

Space management typically falls under the facility management category, which started in
the 1970s and mainly focused on reactive cleaning and maintenance. There were no tools or solutions
to measure occupancy or test to see if space was being used in efficient ways. However, the priorities
of companies and the expectations of employees were also different.

Throughout the 1990s and 2000s, space planning and reallocation strategy became more and
more important. As it out today, organizations are trying to find new ways to better utilize the space
they have to be cost effective and productive.
Space Management Concept

• For big organizations such as higher education industry, space management plays an important role to
control space effectively without wasting space. This is to prevent indirectly resulting in an adverse
impact on the cost of that organization.

• The space management is a proactive management of the research and best practice initiatives to
support the strategic planning goals and also respond to legal requirements.

• Space management include alternative officing, free addressing, group addressing, virtual office, space
sharing and management.
Benefit of space management

Efficiency
Information about how space is being used or not used provides the basis for decisions on expansion,
reduction or changes. These actions can produce major savings in real estate expenses by reducing
wasted space and producing a better fit between space demand and supply

Effectiveness
Information about how space is occupied provides guidance for departmental assignment, allowing
work groups to work in proximity in space suitable to their tasks. Knowing locations of available
workspaces supports a smooth on-boarding process for new employees and avoids the frustration
of having to search for empty desks.

Foundation
The information collected for space management will serve as the base for most other functions in
facility management including move management, facility maintenance and strategic planning.

A good space management system will provide a facility manager with essential space information for
benchmarking against other organizations, planning for future growth and evaluating a building’s efficiency.

In conclusion, space management is one of essential component in facility


management. Physical resources are a valuable asset and an organization can
generate revenue if managed effectively. If the physical resource is not managed
properly, efficiently and effectively, it will create problems and added expense to
continue and meet the organization's mission and
