Social Networking During Office Hours


 
About case
 

The general objective of this case study was to assess the influence of social media
on employee productivity in Bless eye clinic.
The Bless eye clinic was setup in mid 1990 by Dr. Mukherjee. Minu, who was working
as a front office co-ordinator at Bless eye clinic was hold accountable for misguiding
the patients many times and Minu wasn’t performing well.
Sargi Desai, the HR manager of the Bless eye clinic, determined to have a word with
her regarding the poor performance but Dr Sargi Desai found out that Minu was
operating her Facebook account with two open chat windows and using the
smartphone during work hours. HRA manager raised the issue with the senior team
and decided to keep Minu under observation.
 
Issues found in case
 Casual attitude of staff at front desk.
 Employees using social media websites during working hours.
 Internet usage policy was not implemented strictly.
 There was no official/separate cell phone to communicate with
patients.
 Internet connection to employees was not restricted.
 Directly affect the clinic goodwill and business.

•If staff have the ability to access social media at work ensure
that it doesn’t affect productivity, customer service, colleagues
and their work
Major Policies to be Implemented:
 Implement strict internet policy and communicate it to all the
employees in written form.
 Clearly mentioned that if any employee is caught using social
networking sites during working hours they will be facing strict
action.
 Implement a network firewall which will block social networking
sites and monitor activity of employees through it.
 Issue an official cell phone to communicate with patients. So the
records can be monitored easily.
Immediate Action?
• The immediate action would be to issue a warning to all employees using social
networking sites.
• As for Minu, she is a resourceful employee of the clinic and has contributed well to
make the working efficient by introducing the Excel based patient scheduling system.
• She was good at dealing with doctors, hospital staff and patients.
• A warning to her will be enough to correct her and make it clear if caught again the
consequences will be worse.
 
Core Solution
• A strong monitoring system is required to allow and deny
access to employees while using internet.
• This is the way to control the usage of social networking
websites during working hours. As it will monitor activity of
each computer separately and it can be identified if any
employee tries to access social media websites.
 

Conclusion
 
Social media is a double-edged sword for employers. Bless eye clinic should not
terminate Minu for her behaviour; instead they should issue a warning letter for
her casual attitude towards work. A suitable action has to be undertaken on the
efficacy of the use of social media policies as well as disciplinary action to deter
the use of social media during working hours.
