Productivity
CONTENT STANDARD
The learners demonstrate an understanding of: the
use of advanced tools and techniques found in
common productivity and software applications in
developing ICT content for the academic track.
PERFORMANCE STANDARD
At the end of the two-week period, learners should be
able to independently apply advanced productivity
tools to create or develop ICT content for use in the
academic track. These may be in the form of, but not
limited to designing letterheads and business cards
What was your earliest memory of
productivity tools?
Three basic functions of digital tools are combined to
support decisions in business or management, and in
communication contexts. These 3 basic tools support
writing, numeracy and presentation skills.

Mail Merge and Label Generation
Mail Merge

 Mail Merge is a software toolkit that is used to produce

multiple documents with a given template, editing the basic
information that is supplied by a structured dataset.
Mail Merge

 A sample output are certificates of attendees in a seminar.

Instead of manually and individually inputting information,
it is automatically generated when using Mail Merge.

 The template of the certificate should, of course, be

uniform, but the names should be customized for every
individual.
Steps in Creating Mail Merge
 Create recipient list

documents
 Word
 Create your merged or

templates of the letter and
documents
ACTIVITY Below is a sample of what you
might want to create.
 Create an invitation for a
party at your house.
 Send the invitation to five Dave Jr

of your friends with the

corresponding Name,
Address and other
information needed of the
letter.
Reflection

1. In what means can Mail Merge help you in these

task?

2. What are the advantages of using Mail Merge?

The Hyperlink
A Hyperlink

 Hyperlink A hyperlink is a reference to another file that is

represented by a word, an image, or any document element on a
document processor.
 The file referred to by the hyperlink can be accessed by clicking or
hovering the cursor on the hyperlink itself.
 The source code is a term used to describe a document that
contains hyperlinked elements. Usually, hyperlink texts are colored
blue for distinction and noticeability.
Two types of links
Anchor link Inline link
This is a hyperlink that points This is a hyperlink wherein the
to a portion of the same content is located in other or
document. The contents are remote files. The link searches

Two basic
parts of Hyperlink:

URL and the display text

for misspellings.
Reflection

 In what kinds of projects is the hyperlink very helpful?

Custom Animation and Timing
Animation basics
Animation can help make a PowerPoint presentation more
dynamic, and help make information more memorable. The
most common types of animation effects include entrances
and exits. You can also add sound to increase the intensity
of your animation effects.
Animation basics
Presentation experts recommend using
animations and sound effects
sparingly. Animation can be useful in
making a presentation more dynamic,
and help to emphasize points, but too
much animation can be distracting. Do
not let animation and sound take the
focus away from what you are saying.

Embedded files and data
Embedded files and Data

An embedded file refers
to any type of multimedia
file that you might insert,
or embed into the Web
page. This includes files
like graphics and sound
files.
Performance Task
Your family clan will hold its annual reunion two months from now.
You are asked by your grandmother to design the invitation for all
family members. The invitation should be personalized, and the
name of each recipient should be written in the salutation. You are
asked to write a unique four-digit number in the invitations for the
raffle draw in the reunion. Your grandmother will check the file of
the saved finish product before the invitations are printed. You are
expected to successfully generate a list of attendees together with the
raffle numbers.
Advanced and complex formulas
and computations
A formula is an expression which calculates the
value of a cell.

Functions are predefined formulas and are

already available in Excel.
A formula can contain any or all of the following: functions,
references, operators and constants. Always start the formula
with an equal = sign.

PARTS OF A FORMULA
Functions The PI() function returns the value of pi: 1.1416...

References A8 returns the value in cell A8

Constants Numbers or text values entered directly into a formula, such as 7, 6, 1

Operators The ^ (caret) operator raises a number to a power

The * (asterisk) operator multiplies numbers
The + (plus) operator adds numbers
The — (minus) operator subtracts numbers
EXCEL FUNCTIONS
=SUM Calculates the sum of the values of a range of cells
=AVERAGE Calculates the arithmetic mean of a range of cells or values
=MAX Gives the maximum value in a range of cells or values
=MIN Gives the minimum value in a range of cells or values
=COUNT Counts the number of cells in a range of cells or values
=IF Shows a series of calculations using the same formula but a
different value for each calculation to determine whether the
formula is true or false
Other Functions
FINANCIAL FUNCTIONS
Computes the payment required to amortize a loan over a specified number of
PMT periods.
Computes the interest portion of an individual loan payment, assuming a
IPMT constant payment and interest rate.
Computes the number of periods required to amortize a loan, given a specified
NPER payment.
SLN Calculates a straight-line depreciation for an asset.
LOGICAL FUNCTIONS
IF Applies a logical test that results in a True or False.
Nested IF Creates a hierarchy of tests.
Returns FALSE if any of its arguments are false, and returns
AND TRUE only if all of its arguments are true.
Other Functions
TEXT FUNCTIONS
CLEAN Removes all nonprintable characters.
CONCATENATE Combines text from multiple fields into one cell.
EXACT Compares two text strings to see if they are the same.
LEFT Returns the first num_characters in a text string.
UPPER Converts text into all-uppercase characters (SHIFT + F3).
DATE & TIME FUNCTIONS
TODAY() Inserts the current date
NOW() Inserts both the current date and time.
WEEKDAY Returns the day of the week for a specific date.
DAYS Calculates the number of days between two dates.
Other Functions
LOOKUP AND REFERENCE FUNCTIONS
Searches the first column of a table_array and returns a value from the same
VLOOKUP row in the column indicated by col_index_num.
Searches the first row of table_array and returns a value from the same column,
HLOOKUP in the row indicated by row_index_num.
ROWS Returns the number of rows in the specified range.
MATH & TRIG FUNCTIONS
Combines the IF and SUM functions to add specific values in a range according
SUMIF to the criterion you supply.
Similar to SUMIF, but count cells in the specified range that match your
COUNTIF specified criterion.
PRODUCT Multiplies all of its arguments.
ROUND Rounds a number by using this function for a specific number of digits.
