What is SAP R/3?

It is the classification of IT software solutions with these
characteristics:
 Enterprise-wide integrated information system (for big
business [a group of companies], each company with
multiple departments, in multiple sites, all linked into a
single server using a common computer system)
 Real-time data encoding (although some encoding can
be batched), real-time data processing and reporting
 Powertool to run businesses into profitability and global
competitiveness
Logging on
1. Double-click on your SAP-LOGON icon in your desktop.

2. In your SAP-LOGON pad, click on the NEW Button.

3. Enter the Server name, the application server,


And ’00’ as your System Number. Click OK.

Logging on

To use SAP you need to LOG ON

Access to SAP requires a USER ID which is fixed and pre-assigned to you

Access to SAP also requires a PASSWORD. The INITIAL PASSWORD is given by


SAP Admin. You must change it the first time you log on.

To start, select the desired server on your logon pad and click LOGON.
Logging on - ID and Password

A new window appears

Enter your USER ID

Enter your PASSWORD

The “Client” as well as “Language”


are “defaulted” by your SAP Admin

Press Enter

The INITIAL PASSWORD is given by SAP

The system automatically displays a


“dialog box”

Enter your new password in the “New


password field”

Enter exactly the same new password in


the “Repeat password field”

OK by pressing “Confirm”

Combination of alpha-numeric characters are allowed


 letters A through Z
 numbers 0 through 9
 punctuation mark (but not as a first character)

In SAP, passwords are case sensitive. User ID’s are not case sensitive

If you have successfully logon the SAP, you will proceed to the SAP EASY ACCESS

Access a Transaction

You can select the desired transaction by


navigating through the tree menu which is
found at the SAP Easy Access Screen.

If the T-code is not shown in the tree


menu, you can display it by going to
Extras ->Settings. And then check on
Display Technical Names

You can also access a


transaction by typing the
Tcode in the command
field

• /n – Go back to SAP

Checking the Transaction Code

1. On the status bar, click on the white box at the bottom right.

2. You can also go to SYSTEM -> STATUS.

1. In your standard toolbar, click on the LAYOUT Button.

2. Select OPTIONS from the drop-down choices.

3. Check on your Preferences.


Multiple Sessions
in SAP
Multiple Sessions - Use

• Multiples sessions will allow you to work on different


tasks at the same time jumping from screen to screen.

• Up to 6 sessions can be opened in SAP

• Each session is independent.

• Closing one session does not close the other ones (i.e.,
does not log you off)

• However, one of your sessions may lock another one


(i.e., maintaining the master data blocks you from creating
transactions concerning that master record). Just close
the session which causes the blocking.
How to Create a Session

1. You can create a session by clicking on the CREATE SESSION Button


in your standard toolbar or by clicking the icon below.

2. By typing /O in your command field. And then click on Generate.

3. To create a session and start a transaction at once. Type /O + TCODE in the


Command field.

4. Right-click on the SAP instance in your taskbar, and click on


CREATE SESSION.

CREATE FAVORITES

1. “FAVORITES” will give you ready shortcuts to your SAP


transactions!
2. Each user can create his/her favorites
3. Favorites can contain
- SAP transactions
- Files or Web addresses
4. Favorites can be organized in folders
5. Favorites can be moved or renamed
How to insert Favorites

1. Select on the desired TCode from the tree menu and drag and drop it to the
ocation of your Favorites folder.

2. Right click on the desired TCode and select ADD to Favorites.

3. If you know the transaction code, go to FAVORITES -> Insert Transcation

Create a Shortcut on your Desktop

1. To create a shortcut for a specific transaction in SAP, go to the desired


Transaction, and click on the CREATE SHORTCUT button in your standard
Toolbar.
Set Start Transaction

1. In SAP, you can set the initial screen with your frequently used
transaction code. To do this, you go to
EXTRAS -> SET START TRANSACTION

2. And then, enter the Tcode of your desired transaction.

3. To set SAP Easy Access as your starting screen, type in SESSION_MANAGER.


Typical tasks or steps in SAP

1. Input field- Required input fields may be marked with a question mark (?) or
a check mark.

2. Drop-down box – list of possible values for a certain field

3. Possible Values Button – list of possible values for a certain field. You can
use F4 key as shortcut.
Limit Drop Down Values

1. You can limit your search by entering specific parameters in value


range box.
2. You can also use the asterisk (*) as wildcard for partial matches, e.g
*account*, *depreciation*
3. The maximum no. of hits is 500. But you can change it with the
number of your preference.

In multi-faceted SAP transactions, “TABS” are


present, and they allow you to flip back and forth in
sub-tasks inside the transaction, much like having
folders in a transaction “filing cabinet” easily accessible
with mouse clicks.
MULTIPLE SELECTION

1. You can find the multiple selection button in any field that accepts more
than single value.

2. You can enter single values, ranges, and even restrict values or ranges.

1. Some quick ways when you are using SAP.


a. CTRL-Y – Used to mark portion of the screen that you want to copy.
b. Quick Cut and Paste - Activate Quick Cut and Paste in your
Layout.

- Hold the left side of your mouse, drag it to the text that you
Want to copy, and then position your cursor in the field where you
Want to copy. And then, right click. A copy should be created.

“Pop-ups” or “Dialogue Boxes”


They are:
• either built in within SAP transactions (for critical go,
no-go SAP “dialogues”, i.e., the system “asks” you for a
YES or NO)
• or they are defined to pop up per user even for less
critical dialogues, i.e., warning only, depending on the
user’s degree of familiarity or ease with SAP

LOGGING OFF

1. By going to SYSTEM -> LOGOFF

2. If you will close the remaining one session in SAP, automatically, it will
prompt you for logoff.
LOGGING OFF

1. By typing /nend in the command field. The


system will prompt you for logoff.

2. By typing /I in the command field. The system


will prompt you for logoff.

3. By typing /nex in the command field. The system


will close all sessions without prompting you for
logoff.
