This “BASIC”manual is not intended to be a fully comprehensive instruction guide for all
possible options within the program, but it should cover the vast majority of options required by
the vast majority of users. It does not cover pedigree breeding or electronic ID tagging –where
required, a separate supplementary “Pedigree” manuals will be provided.
Also, the ‘Larry the lamb’software assistant is included in the program and is designed to
provide more detailed instructions where no help is provided in this manual.
• Section I is intended to help a new user get the program installed, to set up their own flock,
and to explain how to do the more important flock register entries –adding animals,
purchasing animals, etc.
— Of all the instructions in this booklet, none is more important than the backup and
restore instructions on page 18! Please take time to read these instructions as it is
essential that backups are taken frequently.
• Section II is intended for the more advanced user. It includes instructions on breeding,
health/feeding and management.

SECTION I
1. Program Installation
• Insert the Select Sheepware installation CD into your CD drive.
• The installation program should start automatically, but if it doesn’t, click on 'Start' (bottom
left of the main MS Windows screen) followed by 'Run'
• In the box given, type D:\SheepTrial.exe (where D: is the drive letter –change if necessary.
To check which letter should be used, double-click on 'My Computer')
• Click OK
Once the installation program has started, the following screen will be shown:
Click on Unzip and allow installation to continue without changing where the program will be
installed to (c:\ksheep).
Click on Next to continue. When finished, you will have a new Select Sheepware option in
your Start Menu program list.
If you have already purchased the program, you have 30 days in which to ring for a registration
code which will remove the 30 day time restriction.

2. Starting Select Sheepware
2.1 Starting the program
To start the sheep program ‘double click’the shortcut icon on the windows desktop.
If you do not have a shortcut icon on your desktop then the sheep program may also be started
in the following way:
• Click on 'Start' (on the bottom left of the MS Windows screen), then 'Programs', then
'Select Sheepware', then 'Select Sheepware'. The program will start for you.
You must login as a user. When you run the program for the
first time there is one user already in the system –‘Owner’.

The Select Sheepware option is also available from within the Kingswood Herd program, if you
have Kingswood Herd installed on your computer. To access the Sheep data:

3. Setting Up
3.1 Setting up your Flocks
(If part 2.2 was not completed then follow this step to set up the flock)
• Click on System
• Click on Flock Names
• Click on Change
The option exists to select if all animals are uniquely tagged. The user can select whether or not
to enter individual tags for all animals.

4. Introduction to using Select SheepWare
4.1 Help! –Using Larry the Lamb
From the Sheep program’s main screen, animals can be viewed. The animal list can be ordered
by Ear Tag, Type, Sex, etc. (the column headings along the bar immediately above the animal
list). Clicking on any of these column headings lists the animals by that heading, such as by
date of birth. The animals can then be sorted by ascending or descending order by clicking the
Sort Order button (far right, just above the column heading bar).
If you want to have the data presented in a different layout, you can move columns around. To
do so, press and hold the left mouse button over the column heading and drag it where you want
it and release the mouse button.
The main screen can be used to enter group events such as group sales, group health treatments,
etc. For this, the animals for grouping must be ticked in the left hand tick column.

Tick Column: The column with a tick at the top is used for quick entry of the same data for a
batch of animals. To place a tick beside an animal, click in the tick box beside it. When you
click an event button you are given the choice of individual event or group event, e.g. group
sale or group health. If you choose the group event, e.g. group health, you can enter a health
event for all the ticked animals.
Foster Column: All ewes with * showing in the Foster column are fostering another ewe’s
lamb.
FootRot Column: All animals with * showing in the Footrot Column are prone to foot rot.
Change by clicking once in this column.
Worms Column: All animals with * showing in the Worms column are prone to worms.
Change by clicking once in this column.
Reset table: Restores the order of the listing to the standard layout.

4.3 Using Filters
By entering values in the appropriate boxes, the program will filter or select the required
animals. For example, filter out all animals of a specific breed.

5. Adding Animals
There are 4 situations in which you will want to add animals –when:
1. Setting up the program for the first time
2. Adding lambs born on the farm
3. Adding purchased animals
4. Adding lambs which are being tagged immediately before being sold
5.1 Adding Animals when Setting Up the Program for the First Time
• Click Tagging/Retag
You can then choose either to enter the animals one at a time (Initial Tagging / Retag
Individual), or to enter them as a group (Initial Tagging/Retag Group).
When you choose this option, you must select the reason the animal is being tagged –animal
tagged for the first time, animal retagged etc. When you’ve clicked on the reason, click
Continue.
The program will have entered your own Flock Number for you. You must enter the
Department Tag. In Ireland, there are input boxes for left tag, right tag and farm tag. For other
countries there may be only two input boxes –Department Tag and Farm Tag.
In Ireland the only tag colour allowed is white. For other countries, you may select the tag
colour from the drop down list.

Notes:
The Animal Type must be entered –lamb, hogget, ewe or ram. The breed is not compulsory
but the date of birth is. An estimated date of birth will suffice if the actual date of birth is not
known –the program uses this to automatically transfer lambs to hoggets and hoggets to ewes
at predefined ages.
If entering a breeding ram, it may be useful to enter an animal code in the Farm Tag/Code
box, even if you’re not using farm tags, e.g. you may want to add TEX as the code for the Texel
ram.
This method of entering animals individually is slow. It is much faster to enter the animals as a
batch or group (see Section 4.3).

For Ireland:
Choose from the list the reason the animals are being tagged. The program will automatically
enter the tags to the correct ear with the correct tag colour. For example, if you choose
'Animals Tagged for 1st time' the program will enter the left ear tags with tag colour white.
The flock register total will be updated with the number of lambs
purchased, but the individual animals will not be created on the
main screen.
This will create individual animal records, enter the individual tag number to the flock register
but not change the total numbers in the flock register.
The same principle applies to births and sales –you have a choice as to whether or not you
want the animals to be individually tagged or not.
If you’re not getting these choices, check the flock settings in the system area:
• Click System in top left corner of main screen
• Click Flock Names
If you have the tick box All Animals Uniquely Tagged ticked then you won’t have the option
to record untagged animals.
NOTE: This option does not apply if you have set the country to be Ireland, as all sheep in
Ireland are individually tagged.
If entering a group, all animals of that group must all be of the one type, i.e. lambs, hoggets,
ewes or rams.

5.4 Entering Details for a Group of Animals –All Individually Tagged
If you select to tag animals as a group, you will see this screen:
Just as for tagging, you can either record births one at a time, or you can record a batch of
lambs born.
If you want to keep management information on the mother ewe, you must choose individual
lambing. This option will be covered later in this manual. If you want to create a group of
lambs, recording their birth dates but not linking them to the mother ewes, click on Group
Lambing. The screen for group lambing is virtually identical to the one used for group tagging
as described above. The main difference is that the program will automatically put the animal
type in as a lamb and the entry in the flock register will show Birth rather than Tagging.

5.6 Adding Purchased Animals
* Note: in Ireland, animals purchased must be tagged with the farmer’s own tags at the time of
purchase. For other countries, this may not be the case –please contact us if the purchase screen
needs to be amended to suit the requirements of a country other than Ireland.
Enter:

• Supplier
• Animal type

Notes:
In Ireland, if the animal is tagged only in the left ear tag when purchased, you must enter your
own tag in its right ear –New Right Ear Tag. You do not have to record the individual tag
numbers from the tag of origin, just the flock number of the tag of origin.
If the animal is already tagged in its right ear you must retag it, entering both the Right Ear
Tag When Purchased and your replacement tag number.
Left Ear Tag is not compulsory to record in Ireland.
As before, enter:
• Purchase Date
• Approx Birth Date
• Animal Supplier
• Animal type

5.7 Adding Lambs which are being Tagged Immediately Before Being Sold
Note that not all countries use a combination of right ear and left ear tags. If you have set the
flock country to one other than Ireland, your only choices are Department Tag and Farm Tag.
If you are retagging an animal and you know the tag number it had before it lost its tag, just
double-click on the animal on the front screen and change the tag number –the program will
detect the tag number change and will record the retag.
If you are retagging animals and you don’t know the original tag numbers before they lost their
tags, just follow the previous instructions for Tagging/Retagging. Choose the option Animal
Retags when prompted for the reason for tagging.
The program will create the animals with the new tags, but will leave the flock numbers
unchanged in the flock register.

6. Sheep Reports
To access the reports:
• Click on the Reports button
To leave columns off the report altogether, click on Change Columns and select or deselect
columns to be displayed on the report.
Many users will want to use the program purely for Flock Register purposes. If so, it is not
necessary to use the various management reports shown above at all.
However, if you want to retrieve management information from the program as well as keeping
the flock register, there are a large number of reports available as can be seen in the report
screen above.
Note:
Under new European decoupling rules, detailed health records may be required. The KW Sheep
program has very detailed health recording facilities.
The list below is a brief summary of the reports available. Please be aware that, as the program
is developed, new reports may be added and some reports may have their titles changed.

6.1 Flock Reports
Flock Register:
can be refined by including a Start Date, in the format dd/mm/yy or dd/mm/yyyy.
REPS:
requires just a report year to be entered.
For countries other than Ireland, the Flock Register report buttons may be different to those
shown above.
Ewes Due To Lamb, Due Pre Lambing Feeding and Services/Scanning/PD: These are
management reports which are dependant on the user entering individual services for the ewes.
Ewe Comments: This report shows recorded comments and ewe sales entered against ewes
during lambing for example.
Weighing Report: List lambs, from a given date, showing weight, weighing date, weight gain
per day, weight gain since birth etc.
Sale Reports: Sales performance report with details of price, grade, weight etc.
Purchase / Sale Report: A basic margin report giving purchase price, sale price and margin.
Animals Due To Cull: When entering events such as services or lambings, you can tick the
‘cull’box and enter a cull comment. This report lists all animals that have been ticked for
culling, complete with the cull comment.
Animal Death Report: Lists animals which have died, including a reason for death.
Ewe Past Performance Report: Report giving each ewe’s performance, including number of
lambs alive, prices of previous lambs etc.
Sire Performance Report: Report giving the total number and average performance of lambs

produced by each ram.
Health Report (Condensed): A report on group health treatments, including details such as:
• Where a group of animals was treated
• Total number of animals treated
• Drug used
• Reason for treatment etc
• (And more. Note the individual animals treated are not shown.)
Health Report (Detailed): This report is similar to the condensed version except that every
individual animal is listed –it can therefore be quite a long report if there are a lot of sheep in
the flock.
Animals inside withdrawal period: A list of all animals treated with drugs and which are still
within the legal withdrawal period.
* These animals must not be slaughtered for human consumption.
Feed Purchases: Details of feeds purchased as is required by some of the quality assurance
schemes.
Feed Summary (Condensed) and Feed Summary (Detailed): Very similar to the equivalent
veterinary reports, only with feed information instead of veterinary information.
All reports in this block are designed to meet the various Farm Quality Assurance requirements
for Fields and Medicines. You can not add of remove columns or apply filters to these reports.
NOTE: This may not be a complete list of the reports available as more reports will be added
as the program develops. The reports available may also be dependant on the version of the
program purchased, for example the pedigree reports are only available if you have purchased
the pedigree option.

7. Taking a Backup
It is essential to take regular backups if you wish to ensure that, in the event of a problem with
the data on the main computer, you will be able to restore accurately from a backup.
To backup:
• Click on the Backup button
When you do a group event, which can update a large number of animal records, the program
creates an undo point which you can get back to.
8. Using Undo
• Click on Backup, then on Undo. An Undo a screen like the one below will be displayed.

From the list of dates and times shown, choose a date and time which you would like to restore
your data to.
• Double-click on this date and time
The program will exit when it has restored the data. You will need to restart the program.
Note: You should not use the same floppy each time you backup! Rather, use at least 3 floppy
disks in rotation –such as Disk A, Disk B and Disk C, Disk A, Disk B and Disk C, repetitively.
This way, should one of the disks fail (as can happen) the previous restore point will not be so
old.
There is an emergency backup and restore program supplied with the sheep program which will
allow you to backup the sheep data or restore from a previous backup. This emergency program
is useful if the sheep data has got corrupted in some way and the sheep program won’t start.
The instructions from then on are the same as for Backing Up, Restoring or using Undo as
described earlier.

9. Breeding
• Click Breeding
This option allows the user to use an AI ram for breeding purposes which may not be part of
their own flock. AI rams can be added and amended.
9.2 Service

Group service is similar to individual service. Create the group by ticking animals on the main
screen.
9.3 Weaning

• Select the correct animal either by ticking the animal on the main screen before entering
Weaning or by using the animal search tool from within Weaning

• “t”in the box beneath Weaned
• Enter the Wean Date
9.4 Fostering
• Click on Fostering
• In the fostering screen, tick the
white boxes under Fostered Off to
confirm for each lamb and then
enter the ear tag numbers of the
foster mother in each case

10. Health/Feeding
• Click Health/Feeding

The box, right, will appear. Choose the correct option:
• Individual Health Treatment is straightforward. Complete
each box appropriately
• Group Health Treatment applies the same as above but to
all animals ticked on the main screen
• General Health Treatment allows you to record a treatment
of a batch of sheep without identifying the individual animals.
E.g. suppose you have a group of lambs which have not yet been tagged. You may use the
General Health Treatment option to record health treatment for these lambs.

This option allows you to record the weight recording of individual animals on certain dates.
11.2 Shearing
• Click on Shearing
This option allows animals to be transferred into or between new or different batches or feed
groups. First tick the animal(s) you wish to move on the main screen.

12. Guide to using TGM Remote Control Support
Many computer problems are easily repaired by adjusting the software settings. This could
sometimes be done over the phone, or it sometimes required an onsite visit by a TGM
technician.
Since 2005, TGM Software Solutions has been able to offer customers an alternative
service! We now have the option of utilising Remote Desktop, a tool which can allow us to
operate our customers’computer systems over the internet from our office.
Please note: this system is secure, we can gain access only when a customer permits us and,
whenever remote control is established, the customer can disconnect us at any time. To allow us
to connect to your PC to resolve technical issues:
• At the bottom of the section Product Support, click on the Click Here link
• Click on OK
This will give TGM control of your desktop.
